Discovering What’s New in SAP S/4HANA Cloud Public Edition, Contract Accounting and Invoicing – PET 2026

Hello, and welcome to the news in contract accounting and commercial invoicing, which is today the first half-year presentation of the Board of Expert Training for 2026. As usual, the disclaimer that this information and presentation is confidential and may not be disclosed without permission of SAP. Now, I'm Sabine Bachmann and I'm product manager of FICA in the public cloud. I'm located in Waldorf. With me today are Ping Xu, product manager as well for FICA in the public cloud. The location of Ping is in China, in Shanghai. Hi. And we also get the help of Daniel Schulz, who is the product manager of convergent invoicing in the public loan. Same location as I am in Waldorf, Germany. Now let's check where contract accounting and convergent invoicing are located in our SAP processes. So, first of all, it's part of the lead to cash process where you can find us within the invoice to cash part, here especially in the LOBs for contract accounting and invoicing. And of course, we're also part of finance and risk in the invoice to cash part. so our agenda for today is some enhancement of the display account balance app then we have a new feature mainly in convergent invoicing which is distributing the item amounts across several due dates and last but not least I'm going to show you our new apps and some new extensibility features we have in contract accounting. Okay, let's start with the Display Account Balance app. So, Display Account Balance is the central workspace for accountants. So, these enhancements shall help to empower our users with a highly flexible and customizable list view allowing them for multiple additional field options then the app also provides key insights at a glance to highlight the most important aspects of such a contract account then we also on customer request integrate integrated one-click access to contact information especially to telephone numbers and email addresses for faster follow-up and resolution processes. Okay having said that we should jump right into the demo which Ping will present to you today. In this demo I will share with you the app display account balance and its enhancement what we've done in the latest cloud release so I click this to open this app then there is a pop-up dialogue ask me to select filters for my account balance so I use my test business partner and of course you can specify further by using the app for help to select the contract accounts and also for your contract and company codes. So I display. Okay so as you already could see that this app now already provides with a detailed overview of the financial status of my business partner. So in this header next to this active filters I already could see additional tags. So those tags can access the additional information in public cloud with support like processing logs, in small plan and dispute cases, security deposits and returns and also collection items. So each button you can see there is also a number which indicated the number of the existing items. So I take the processing logs for example. Then you can get a list of logs by those log type and also you can indicate whether you would like to include active logs only or inactive logs as well. And there is also a navigation target to display processing logs so it will navigate to this app display processing logs with already pre -filled business partners and the way you can get a full list for this processing log so I back to the display account balance app and then this is also one of the new enhancements within the current release, we add this tag called collection items. By clicking this button, this will navigate to the list of the collection items. So where you can see that the list of items already hand over to this collection agency. Back to the app again. There is another enhancement. It's the business partner mass data card. So I click this contact card where you can access the contact information for these follow-up actions. So like for my test business partner, I can select for each of those channels to contact business partner like phone number, mobile phone number, or fax, or even the email address to compose an email. Then in the center of those lists, you can see that we have four tabs, account balance, payments, down information, and business transactions. So in the first tab called account balance, this already consists of all the receivable and payable items. In the bottom of this table, you can also get the subtotals per currency. So in my case, I have business transactions in this currency of the euro and other Binance transactions in the currency of the U.S. Dollars. So this list in account balance that consists of three lists like open items and cleared items and also all items which includes both open and cleared items. There is another enhancement worth to mention that we can see in this table settings. For these columns, there are already more fields provided like over 100 additional columns are available. Maybe I'll also scroll down a little bit to give you an impression. So what's those new added fields. And also within this table there is already easy multi -level grouping and auto aggregation functionality available. So by clicking this column, settings. So we have more columns available. We have sorting functionality. We have filter functionality and with this group we can also add more grouping dimensions like posting dates. Maybe the second level I add main transactions. So now I can have more dimensions for posting dates. The first level and the second level the main transactions for my account balance items now for completeness yeah maybe I also navigate further to the next steps this is the tab called payments which already includes like clearing documents or the payment accounts for all those payments types and by clicking this icon details here there is also object page where you can see this detail of those payments including this summarized GL items and cleared items and of course you can always click this button open in this original app then for the payments tab it will loading a little bit, yeah, navigates to this original app called Manage Documents. Now let me back, yeah. And then for the third tab, down the information. So well, we can also show those down the information, yeah, and by clicking this detail button the object page will also be displayed so well I can see my darling notices and also the darling items and similar like what we see in this payment tab this can also be opened in the original app to navigate further to this maintain darling notice app and then for the fourth step called the business transactions then the business transactions tap also keep the records for the contract partner like the including the posting of all the types and also the change towards the master data also the correspondence which has been sent to this business partner So with this, I think that's end of my demo and in a short summary, so what's the enhanced enhancement we've done in the current cloud release is the first, yeah, we enhanced this tab for this collection items. and then for this tab account balance we have more columns yeah more fields are available and also within this mass data contact card we provide the direct link to this contact information like telephone mobile phone something like that so with this i've ended my demo thank you Thank you very much Ping for this nice demo, for your reference we collected this into one slide so what Ping just showed so you can refer to the slide later on. So next of our new topics is the distribution of item amounts across several due dates within convergent invoicing. So what is this innovation about? We wanted to enable customers to pay invoices in flexible rates with due dates printed on the invoice and reflected in the receivable postings. One requirement was to fully automate this creation during invoicing to eliminate manual effort and also to print the information on the invoicing letter. So a flexible adjustment was wanted. Therefore, we provided a cloud body so the great scenarios can be tailored to the customer's needs. Yeah, so also here we go right away into the system demo, which is provided to you by Daniel Schulz who is the PM for Convergent Invoicing. Over to you Daniel. In this demo I will show you the new possibility to distribute invoice amounts across multiple due dates and how you can print this on the invoice to inform your customer about when which part of the invoice is due to be paid to achieve the split a custom body implementation is required which I will show you in the first step of this demo logged in as the extensibility specialist let's start the custom logic app for the purpose of this demo I have already pre-filtered the selection of extension points to show only the relevant one in this case we need to implement extension point fkk underscore event underscore 2640 let's navigate to the details and take a look at the example coding by opening the code editor in this implementation we have defined a precondition to be checked to ensure the logic of this body is only executed under certain circumstances, along with the possibility to pass the number of expected installments. For this purpose, we make use of the field external run reference in the invoicing run. The logic will only be executed if the external run reference starts with the term INST, followed by a number that represents the desired number of installments to be created. In this example, one installment per month will be created by determining the respective due dates every 30 days, as you can see here in line 25. In this example, the invoice amount will then be distributed evenly across all due dates. Please keep in mind that this is an example implementation. You may define preconditions, patterns for determination of due dates and amounts based on the custom requirements in your project. project. When we look at the status of this body implementation, we can see that it has already been published. So we are now ready to show the demo of the process and to see how the invoice amount will actually be distributed across multiple due dates during invoicing. In the first part of this demo, we saw an example implementation of the body to distribute the invoice amount across multiple due dates. Now let's take a look at a live example. Let's start by uploading a billable item to the system. For this purpose, I have already prepared an upload file that contains a billable item for business partner BPDE99 with a billable item amount of 3000 euros. Let's upload this one to the system. System shows the success message that the billable item was created and we can easily navigate to the manage billable items app by clicking on show billable items. In the manage billable items app we can see the billable item that was just created with the billable billable item amount of 3 000 euros now let's select this billable item and create the billing document for it we need to select the billing process and then we can hit the bill button the system will show us the success message for creating the billing document let's close it and create the invoice for the spelling document To do so, we navigate back to the Fiori Launchpad and start the app Execute Invoicing for Business Partner. We select the invoicing process and add also filter condition for the business partner for which you want to create the invoice. Now important for this example, the external run reference. Remember the first part of this video, where I explained that in this example implementation of the body, we make use of this field to trigger the logic for the invoice amount split across multiple due dates in that body, and also to pass along the number of desired installments. so what we need to do is we need to enter INST remember that was the term that we put in the coding to check if the body logic should be executed or not followed by the number of installments that we want to see on the invoice in this case I want to distribute the 3000 euros across three due dates so enter a three here now let's execute and let's deselect all the documents that we do not want to include in this invoicing run I only want to include the last billing document I have created in the previous step when I hit the Save button the system asks if I actually want to save the invoicing document which I confirm by clicking the yes button and we can see the confirmation that the invoice was created successfully so now we can continue to check the invoice let's navigate back to the fiori launchpad and start the manage invoicing documents app the invoice we want to review is the last invoice that was created today so let's set the filter accordingly and let's pick the invoice that was just created it is this line here where we can see that one invoicing document with a total amount of 3570 euro was created now the special part is that when we look at the items we can see that there are five items in here the first is the service item for the 3000 euros net amount we have a text item for 570 euros and we have three additional items representing our different due dates or separate installments we can see that the invoice amount was distributed across three due dates and that the amount was evenly distributed. So we have three different due dates with the same amount each. We can also see that based on the logic that we created in the body, one installment is created per month. I also promised that I wanted to show you how you can print this on the invoice. And this is exactly why we create these additional items here in this invoice document. And you can see that those additional items are print relevant. So you can then, in the definition of your print form, define that this is shown as the installment plan, which you want to communicate to your customers. Of course, this is also reflected in the posting document in FICA. So, when we look at the posting document, we can see that there are three business partner items, one for each of the determined due dates with the determined due date amount. Thank you, Daniel, for this very nice demo. Again, here we compiled a slide with some additional information for quick reference. Something important to know here is that no real FICA installment plan is created with a source document and a statistical installment plan items. Rather, the invoicing document is split into several line items with different due dates. So this is important to notice. What is also important or maybe good to know is that this functionality is available already with 2602.4. So, then let's go to the part with the new apps and extensibility options in FICA. Here we do have the Manage Direct Debit pre-notifications app, which is new. So it's a list report and object page. It's especially required if you need to pre-notify direct debits that you do via the payment run. This is sometimes a legal requirement. These pre-notifications come in FICA with two different flavors. For example, the direct debit mandate pre-notifications and the SEPA mandate pre -notifications. So the list report offers a full visibility into the processing status of these pre-notifications, whether they've only been created, so they are open, or if the withdrawal from the bank has already been done, or if they have been reversed, for example. For each pre-notification, a detailed object page is available. And as mentioned, the app allows to display both direct debit and SEPA mandates, whichever is required. Okay, the next one we have is the Display GL line items app in contract accounting. it's an analytic list report which you can use to flexibly and fastly summarize GL items in your system for improved transparency. The good thing is this also works for GL items where the respective reconciliation keys have not yet been transferred to the general ledger and And it shall support your accountants in reconciliation and closing activities. It's also capable to summarize a large amount of general ledger line items. So a large number. Okay. So next one is a new extensibility option for the contract account. especially for the RUB-based Managed Contract Accounts app which has been newly introduced to releases before. It's a key user extensibility for the business object nodes. We provide three business object nodes here one for the contract account header one for the contract account partner and one for the contract account partner correspondence. The extension points which are pre-prepared are Determination, Validation and SAFE. These are available via the custom logic app. In addition to that, we provided some developer extensibility for this RAP object via the ABAP Development Tools ADT with predefined extension points for behavior definitions. and last but not least for today is the extensibility of the installment plan correspondence for this a new business context has been introduced in which is called contract accounting installment plan this business contact context consists of three different And cloud bodies, in addition, also custom field extensibility. The new cloud bodies enable, for once, the extensibility of the installment plan form by a custom fields. For example, some special data that you need to calculate on basis of some custom requirement. and it also allows to bring standard fields on the correspondence form that had not been available before. So in addition to that, you are now able to store these fields in the installment plan history for later reference. Having said this, we are actually at the end of the new features.
