How to Assign Business Users to User Groups in CBC in SAP S/4HANA Cloud, Public Edition

Hello, and welcome to the microlearning on how to assign business users to user groups in CBC. Myself, Prabha Subbulakshmi Arumugam, manufacturing product expert from product success and cloud co-innovation team. In this video, I will explain you on how to assign business users to user groups in CBC and what are all the different types of roles or user groups that we have in CBC. Now, let's deep dive into the topic. There are four roles defined in CBC. Firstly, display user. The business users with this role will have read-only access to perform all the activities. Secondly, key user. Users having key user role will have full access to all activities with few exception to critical activities like create project, initiate change request, completing milestones and so on. Then the project lead. There are two roles for project lead. SAP CBC Consumption Activity All and SAP CBC Consumption Project Lead. Both the roles allow users to have full access to all activities, whereas the later one follows new naming convention. Functionality wise there is no difference between these two roles. Based on these roles, access to different tabs and phases of CBC has been categorized. As you see in the chart, project leads can execute all the phases and tabs in CBC. Whereas, display users will have only the read access. Key users can execute only two phases of CBC i.e. define scope item and set up the org structure and for other tabs they will have display access. With that, let's move on to the process flow on assigning roles to users. Initially, the user groups are defined in CBC. Admin user triggers a job from IPS to copy the roles from CBC to IAS. Please note that it is a one-time activity to trigger a job for copying the roles from CBC to IAS. Once the roles are copied successfully, admin can add the users to the respective user group in IAS and then trigger a job from IPS to copy the business users from IAS to CBC. Once the job completed, all the active users are created in CBC and they can perform the activities as per the assigned roles. This IPS job can be triggered multiple times whenever a new user is created or if there is any change in the user role assignment. Now, let's see the system demo on how to assign business users to user groups in CBC. Log on to IPA system, open source system, select CBC and click on jobs, trigger the read job. Once the job completed, review the job log. You can see that four user groups have been created. Then, log on to IAS. Under user groups, select the required role. Click on add and select the business users to be added under that role. Click on save. Then, log on to IPS, select IAS for CBC from the source system, trigger the read job to copy the users assigned with roles to CBC. Once the job completed, check the log that one user group updated and two new users has been created with assigned roles. Among the 16 users, only two users are active. Hence, two users created in CBC and others are not created. Now, you got an idea on the different roles in CBC and how to assign business users to those roles. For further learning, please refer the openSAP courses and the SAP Learning Journey Portal.
