Integrating Contact and Presence Info from Microsoft for SAP S/4HANA Cloud Private Edition and SAP S/4HANA

Hello! In this learning video we are going to cover an integration that brings in contact and presence data from Microsoft into your SAP S/4HANA. This allows you to see contact information for your colleagues from Microsoft Entra. You can also see a co-worker's status directly on the contact card in SAP S/4HANA. I'm Evandro Ramos, a UX and mobile architect and member of the SAP S/4HANA Regional Implementation Group, and together we will walk through the steps to enable this integration on your SAP S/4HANA Cloud Private Edition or SAP S/4HANA system. All right, here is what we will cover. First, we will give you an overview of the integration, also talking about some assumptions and prerequisites you will need for it to work properly. Then we will walk you through the configuration steps to get the integration enabled and tested, and to finish, we will wrap up with the main takeaways. So, let's talk about what this integration actually does. In short, it pulls in contact and presence information from Microsoft. You've probably seen this in the UI. Sometimes an email address is just a simple link, but other times you get a full contact card with more details. And to make this more consistent the system administrator can set up an integration with Microsoft. This allows the system to retrieve a user's contact information from Microsoft Entra. The only requirement is that the user's email address in the SAP S/4HANA system has to match the one in Microsoft Entra. Now, for presence information, the status that shows if someone is available, busy or away, it always comes directly from Microsoft Teams. Before we jump into the walkthrough, let's quickly cover what you need to have in place. First, and as explained, the user's email address has to be the same in both systems. The one they have in the SAP system needs to match the one they use in Microsoft Entra. This is how the integration knows it's looking up the right person. Second, you will need to have administrator rights for your SAP S/4HANA system, Microsoft Entra and Microsoft Teams. As mentioned, this integration retrieves contact information from Microsoft Entra. Entra is Microsoft's cloud identity and access management solution, offering features like single sign-on, multi-factor authentication, and real-time risk assessment. To pull data from both Microsoft Entra and Microsoft Teams, we leverage the Microsoft Graph API. It serves as a unified gateway to data and intelligence across the Microsoft 365 ecosystem, including Entra and Teams. We will consume its RESTful endpoints to extract user contact details and presence status. You can find the configuration steps from this video on the SAP Help Portal for SAP S/4HANA and SAP S/4HANA Cloud Private Edition. Just look for the topic 'Integration with Microsoft Teams', and then 'Integrating Contact and Presence Information', which which also covers the setup required on the Microsoft site. We will start the configuration by extracting the certificates from the Microsoft Graph API. We will use this endpoint just to generate a dummy request. Then, we will access the certificate hierarchy. We select the first certificate from the list and click Export. We save the certificate to a folder of our choice. And we repeat this process for the second and the third certificate, saving all of them in the same folder. After downloading all certificates, we navigate to the Trust Manager in S/4HANA. We select the SSL standard client entry and click Change. Further down, we click the button to import the certificate. We specify the path to the first downloaded certificate, and we confirm. After the data has loaded, we click Add to Certificate List, and we must repeat this process for the other two certificates. After importing them, we click Save, and we must ensure that all three certificates appear in the certificate list. Let's go to the Microsoft Entra Admin Center. We start by creating the App Registration. We fill in a meaningful description and click Register. In the Essential section, we copy and save the Application ID for later use. Next, in the Certificates and Secrets section, we generate a new Client Secret, adding a description, and from the table, copy and save the Client Secret as well. Now, let's move to the API Permissions section and add a permission. We select Microsoft Graph, and then Application Permissions. Here, we search for the permission to read presence information and add it. Now, we repeat the process for another permission. We search for the 'User.Read.All', and add it as well. Finally we click the Grant Admin Consent button and confirm. Back in the App Registrations, we need to find the authentication endpoint. We click the Endpoints button and we copy and save the OAuth 2.0 token endpoint somewhere. Back in S/4HANA, in the OAuth 2.0 configuration transaction we click Create. In the Client Profile field, we select the Microsoft Teams profile, and paste the Application ID we copied from Microsoft Entra. After confirming, in the Token Endpoint field, we paste the OAuth 2.0 Token endpoint. On the Client Authentication tab, we ensure to select Basic Authentication and click the Edit button to enter the client secret we saved from Microsoft Entra. On the Grant Types tab, we ensure that Client Credentials is selected, and we click Save to finish. To test the connectivity, we click Token and request a token from the endpoint. Finally, we check if the valid access token was fetched. Now in SM59, we click the Create button. We enter CONTACT_DETAILS as the destination name and select G for the connection type. We enter a description, then set the target host to 'graph.microsoft.com' and the port number to 443. For the path prefix, we initially enter '/v1.0' to test connectivity. On the Logon and Security tab, we click the OAuth Settings button and select the newly created OAuth 2.0 profile. We click Save, and further down we activate the SSL, and select the Standard SSL Client option. With this configured, we click Connection Test and verify we get an HTTP Status 200. Now, we can correct the path prefix. We go back to the Technical Settings tab, and change it to Slash. We finish this configuration by clicking Save. Now, in the SAP Implementation Guide, we will enable the integration scenario. We navigate to 'ABAP Platform', 'Application Server', 'Basis Services', 'Collaborative Services', and click 'Maintain Collaboration System'. In the Maintenance field, we click New Entries, then select the MSFT_CONTACTS_FETCH scenario. In the RFC Destination field, we enter the destination name created in the previous step, and we click the Save button to store the configuration. Last but not least, let's ensure the service consumed by the UI is active. In the service administration, we enter the local system alias, and the APS_UI_CONTACT_SRV service. We select it from the results list, and click to publish it, confirming the pop-up. Perform this step only if the service has not been published yet. It's time to test integration. Please note that the email address in the user's record must match the corresponding email address in Microsoft Entra. In this example a purchase contract approval was generated by John. When we click on the link with his name this very cool pop-up is displayed. Here, we can see information about him and his job title, as well as the presence information retrieved from Microsoft Teams. You can also have the option to start a chat, make a video call or an audio call, and further down, we also see information retrieved from Microsoft Entra. Since he is away and I have a question, I'll send him a message via chat. As we can see upon clicking the button, Microsoft Teams is automatically launched opening a chat directly with John. Now I can easily send a message like 'Hi John, please get back to me when you're available', and wait for a response to clarify my doubt. And that ends our test. All right, let's quickly recap the key takeaways. First, this integration brings contact information from Microsoft Entra and presence status from Microsoft Teams right into the SAP S/4HANA user interface. Second, remember that the key to making this all work is the user's email address. It must be identical in both SAP S/4HANA and Microsoft Entra for the system to make the match. Third, the setup itself is a process executed in two parts. You will register the application and grant permissions in the Microsoft Azure portal while in the SAP S/4HANA system, you will establish the secure connection and activate the service that shows the data. Finally, this setup requires administrator rights across all three systems: SAP S/4HANA, Microsoft Teams and Microsoft Entra. And that brings us to the end.
