Leveraging the Latest Updates on Requirements, Test and Document Management in SAP Integrated Product Development – PET 2026

Welcome to our Cloud ERP Product Expert Training H1 2026. My name is Annette Garcia-Lorenzo, and in this video, I will walk you through the latest updates on requirements, test management, and document management in SAP Integrated Product Development. Please note that the information in this video is proprietary to SAP. as you probably know sap ipd belongs to the idea to market business process this is a generic business process that covers all the processes associated with managing the life cycle of products and services in this video i will first give you an overview of product verification and validation then we will have a look at the latest features for custom phases category and scope Then I will show you how you can use customer specific fields and authorizations in test management. And then we will have a look at the IPD document integration with test management. First, let's look at product verification and validation. Basically, you can use test management as a product verification and validation enabler. Let's say you have different test cases created. This could be physical tests or environmental tests and so on. And as a quality manager, you want to define and execute certain tests and test cases. The test management capability is integrated with requirements management so that the requirements you receive from your customer can be validated against criteria and certain requirements that the customer expect from the delivered products. Furthermore, test management lets you organize test cases into test plans and define the test executions. You can track the progress of tests and also the execution results. You can also use test management to check the test coverage of a requirements model. In this slide, you see a high-level process overview where we start with approved requirements which are coming from a customer. The requirements are maintained in the requirements management and then approved. As a next step, we want to fulfill the requirements for testing, so we create test cases. These test cases are then linked to an approved requirements. You can create multiple tests and arrange them into a test plan. For the execution of test plans, you can create executions and link the test objects like a bomb or equipment. Then you execute the test scenarios and record the results. During those processes, you can always monitor the test setters in real time. Based on the outcome of such tests, it may be necessary to update a product or change some characteristics or properties. Now let's look at our newly added features and their respective benefits. First, let's look at custom phases, category and scope in test management. What are the challenges we're trying to solve with these features? In real-life scenarios, values for test phase, category, and scope may be missing in your system, yet those values are necessary during test case creation and execution. This new feature allows you to define additional values for test phase, category, and scope in test management. You can tag test object based on a project, an order, regulation, or a product, and you can use certain configuration apps to define values and use them later during test case creation. The next new feature is the use of customer -specific fields in test management. A lot of times customers have very specific requirements and they can only reflect them using custom fields. Such data also may be relevant during subsequent processes. In SAP IPD, you can now define and create custom fields and you can customize sections and assign them to a test case, plan and execution. You can add data like date and time, long text, number, multi-select, single select, and text field type. This makes your test cases highly configurable for specific company needs. The next feature I want to highlight is the use of authorizations in test management. You can now leverage authorization contexts to control authorizations for test management. In any real -life test management scenario, you need to grant and maintain authorizations for test management. It's important to categorize these authorizations and to give specific permissions to individual users or teams. This is now possible in SAP IPD test management. You can use authorization contexts to control the authorizations for specific users or teams. You can leverage category, phase, and scope as an attribute type, and you can assign permissions per individual test object. Another feature I'd like to highlight is the integration of test management with the SAP IPD document management. Previously the IPD documents were not directly integrated into test management and customers needed to switch apps to create and link documents. Now test management is directly integrated with IPD document management. You can link existing documents or create new ones directly in the attachment section of test management. You can also use those linked documents in DMS. So this makes document management much easier and straightforward. Now let's look into the system to see how each of these innovations work. As a first part of the demo, I will show you how you can add custom values for category, phase, and scope. So for that, let's go to test management. And in the test management areas, you see that we have apps for phase, category, and scopes. So let's go into the configure phases app. You can create a new phase and give it a name. So I will call this phase two. You see that the phase ID is automatically generated by the system. Now I choose create and as a next step I go into test management again into configuring the scope. So as you can see here, there is a scope name given by the user and the ID is again generated by the system. So this is how you create a custom scope and now let's see how you can use this scope. Let's go back to test management and manage test cases. In this app, you can see all available test cases. Now I will show you how you can create a new one. So you choose create test case. To create a new test case you have to select a face, a scope and a category. And let's also choose a scope and a category. Before there were only three or four fixed category values that you could choose from and now you can see all the categories that have been created. So how do you use a scope? A scope is a new attribute that we added to cover an umbrella around test cases, to define certain test cases for a regulation, an order or a product. So this is how you define custom values for phase and scope. For category it just works the same as in the other apps, so I'm not going to showcase it here. Now let's see how you can create and use customer-specific fields. For this feature, we have created a few new apps. You can see them here, Customize Fields, Customize Sections, Assign Sections to Objects. So let's first look into the Customize Fields app. As you can see in this app, we have a lot of fields that have already been created by various users, and you can go ahead and create a new field for our example. So I'm going to do that. I will call the field Affected Location. I need to choose a field type. So this is a multi-select field, and I choose Create, and then I can add the selection options for this field. I say Create, and so on. So you can create as many options as you would like to have. We will create this new field and now let's see how we can use this field. So we go back to the customize section and this is the section where we want to display this new field. So I have already created an additional information tab and we already have some additional custom fields here displayed. So now I want to add the new affected location field. I could mark this field as a required field which means that the user cannot save without filling. I will not do this for now I will just save the data. So you can see that this new field is now also part of the additional information. Now we need to assign this section to an object. So where should this additional tab be seen? We go to the assign sections to objects app and we go to the details section of the additional information tab. Choose edit and I assign this additional information section to a test plan. I create a field then I assign it and assign the field to the section so the section will be a tab in the front end and then I say I tell the system in which object I want to see this new tab for example in a test plan and if we now go to the manage test planes app and look at the test plans you can see our newly added additional section. So if you scroll down to the additional information you can see all our custom fields here including the new one affected location. And when we open this field you can see our three selection options Frankfurt, Munich and Ratingen. We can select the applicable options and just save. Now let's look at our next new feature, the document integration with test management. On the start page for test management you can see that the manage documents and the configure documents app are now added. Let's look at a test case and select one test case and here in the test case information you can see the attachments section and what you can do here now is that you can either create a new document or link a document directly from this Managed Test Cases app. I choose Link and this takes me directly to the Managed Documents app. In this app you can just create any document type, enter a description and create a new document. Let's call this test document. As you can see the number is generated by the system. I choose create and then I upload an existing document as an attachment. I select a document, choose OK and now you see that the system is uploading this document directly into the attachment section. Once the upload is done I save the data and I can see the information about the uploaded document. If we scroll down now to the Linked Objects page, you can see that the test case from which I created this document is linked as an linked object. So when I create a document or upload a document directly from a test case, the system automatically links this test case to the document. When we go back to the test case, you can see that also here the document is linked. If you want to remove a linked document from the test case you simply go to the attachment section and choose unlinked document. So the link between the document and the test case is removed. So this is the new integration of document management feature and it's available for all the objects and test management. So for example in text executions you have the same option of linking documents. If we go back to the overview of test management, like I mentioned before, you have the managed documents and the configured documents apps are directly available on the UI. And please note that the IPD document management service is currently a service. And you need a leading application like test management or product structure to use the IPD DMS. The next topic I would like to show you is the authorization management in test management. Authorizations in test management can be controlled via an authorization context. To see how this works, let's go into the Manage Authorization Context app. This app can be found under Common Functions. So I open the authorization context app and here you can see that I have already created one authorization context with the test scope IEC 60076 and the activity read. Users who are authorized using this authorization context will be allowed to read all the test cases within this test scope. And if we scroll down to the user assignment, we can see that this user is assigned here. The user has read authorization, so he or she can only read the test case but not update it. This means that the user can read all test cases that are of scope ISE 60076. Additionally, I can select one or more specific test cases within that scope and give additional authorizations to the user, for example, to update a specific test case. So let's see what this looks like from a user perspective. I will log off and will log on again to the system as the end user. So when the user goes to the Manage Test Cases app, he will see all the test cases that he is authorized to read or edit. So this user now sees all the test cases where he has at least read authorization. Yet updating is only possible for those test cases where the additional authorization has been granted. If the user tried to updating a test case where he only has read access, then the system would throw an error. I hope you like this demo. Let's look at our roadmap to see what's coming. You can already see some of the features I mentioned that have been developed and brought to you over the course of 2025 and 2026, like the authorizations and test management. And if you look at the upcoming features, you can see that we're planning to deliver more useful features this year, for example, with the IPD DMS integration with change management and AI-based document classification.
