Managing Position Assignment Versions in SAP SuccessFactors Incentive Management

Hello and Welcome!  My name is Varsha.  In this video,  I’ll discuss end-dating and versioning Position Assignments in SAP Commissions.  The Compensation Team needs to know how to manage Positions for two important reasons.  First, all compensations are calculated in the context of Position Assignment.  This means that the more active Positions the longer the calculation will take to process.  Second, a Commissions license is defined by the number of active Positions.  Leaving old Positions active can result in processing issues if the licensed number of positions have exceeded.  Administering Position Assignments is easy to do!  You just need to keep a few things in mind.  First, let’s make sure you’re familiar with the concept of Position Assignment.  A Position Assignment is the assignment of a Participant to a Position  for a period of time.  If a Position doesn’t have a Participant assigned,  it will not be included in the compensation processing.  It’s important to deactivate position assignments if they are not in use.  This helps to keep efficient processing times and ensure that you don’t exceed the number of positions included in your organization’s license.  To make sure that an inactive position is not included in compensation processing,  deactivate the Position Assignment.  To do this  create a new version of the Position starting on the date it must be deactivated.  In the new version,  remove the assigned Participant.  And move the Position to a Title that has no Plan assigned.  One option is to have a dummy Title in place that can be assigned to inactive Positions.  Let’s look at an example.  Melissa holds Position A in January and February.  In March, she leaves the Position, but no other Participant will take over her Position.  You can see that the new version of Position A has an Effective Start Date of March  and an Effective End Date of “End of Time”.  Let’s see how this is done in the user interface.  I’ll start in the Positions Workspace, and make sure that the default period in the tenant is January 2020.  I’ll then open Position A and note that the assigned payee is Melissa Mayer.  On the toolbar, I’ll click the Manage version icon to open the Edit Versions window.  I’ll click the plus sign to create a new version of the Position.  I’ll choose Effective From date as March 2020 through End Of Time  and click OK.  I’ll change the Title on the Position to a “dummy” Title  that is not assigned to a plan.  I’ll remove the Participant and finally click OK to save the Position.  Here are a few things to avoid while managing Position Assignments. There’s no need to end-date the Position.  End-dating means adding a specific period to the Effective End Date field on the Position.  It’s also recommended not to delete the Position.  Finally, don’t rename the Position, as the Position Name is a unique identifier for the record.  Doing any of these actions make it hard to put the Position back into action, which you may wish to do in the future.  Following these simple steps will ensure that your compensation plans are processed in an optimal manner without giving up functionality.  In this video, we learned why inactive positions must be deactivated.  How to deactivate a position  and things to avoid in managing Position Assignments.  Thanks for watching.
