Managing Regions and Departments within SAP Ariba Strategic Sourcing

This video will help customer administrators within SAP Ariba Strategic Sourcing manage their region and department project header field data. Regions and departments are project header fields that can be beneficial within reporting and template administration. While creating projects, your buyers can assign them to regions and departments. Using the reports functionality, you can report on the projects run in a particular region and line of business. Regions are the geographical locations that your company uses to represent countries, dependent territories, and special areas of geographical interest. Departments are used to capture a company's organizational structure. Both of these fields can be customized to feature company-specific lists with hierarchies. Users will not see the region and department fields on projects until the values have been initially imported. To administer the values, both the region and department header fields have similar data administration components, as their data values must include a unique ID and a description. The Data Import Files column A will specify the system's unique value, and the description in column B is the longer display name. The last column is optional, but a hierarchical structure can be set by entering the unique ID of the region value, which is the parent value that sits above this data value in pecking order. It is recommended that the region's data values be formatted to match the ISO 3-code structure, the three-letter country codes established by the International Organization for Standardization. Customers who leverage the guided buying module will need to use this format. These data import files are included in the enablement workbook used to import initial master data. Once the data import file is ready, the import operation for regions and departments can be found in the manage, administration, site manager, data import export path. The task name search is where customer administrators will want to locate the import region codes task. The administrator will want to back up the existing values by going to the export tab and exporting a backup copy. Note that the export region's file has the same format as the import file. The import operation load will create and update, where create will only create new values and update only changes existing values. The administrator must choose the data import file for upload and the import will begin. The refresh status can be selected until it moves to complete it, and the new values will be present. The same procedure can be used to import the departments, and the format is similar, with three columns including an ID, name, and optional parent value. There isn't an industry standard for the values and structure of this field, so each organization can personalize their own.
