Mass Creation of General Ledger Accounts - SAP S/4HANA Finance

Hello and welcome to this microlearning for SAP S/4HANA Cloud for Finance. My name is Johannes Haselmayer and I work as a consultant in the S/4HANA  Cloud MEE team. In this video, I want to show you how you can do a mass creation of new G/L accounts in SAP S/4HANA Cloud. First, I want to talk about the purpose and what content is delivered with this  functionality that received a recent innovation with a 2005 release. After that, we will have a look into the system and execute a mass creation of new G/L accounts together. Let me try to unlock the door first and tell you something about the purpose of this functionality. In S/4HANA Cloud, the standard chart of  account, YCOA, is pre-delivered to every customer. This chart of account exists of many pre-delivered G/L accounts. For some customers and special industries, the G/L accounts delivered in standard do not fit  100% to their business model. Therefore, S/4HANA Cloud provides the  possibility to create new G/L accounts by copying them from existing G/L accounts. The new functionality in S/4HANA Cloud, which was released with 2005, makes it possible to create up to 5,000 new accounts from one existing account. Let's take a closer look at the functionality provided in S/4HANA Cloud. As mentioned earlier, you can create up to 5,000 new accounts by copying them from an existing G/L account. The execution of this job is taking place in the SSCUI "Manage G/L Account Master Data". When doing a mass copy of G/L accounts in the  SSCUI, the copy function is only available under certain restrictions. You must be in the Chart of Accounts View, and for a mass copy, only one G/L account can be selected in the tick box left of the G/L account ID. In the process of creating new G/L accounts, you enter the G/L account IDs and the description of the G/L accounts which you want to create. Furthermore, you specify which company codes you want to copy the new G/L accounts to. The account ID and the description that you select must be unique. Please keep in mind that all the general  information, like chart of accounts, account type, account group, group account number, and so on, will be copied from the existing to the new  account. Therefore, you must make sure that the account which you copied a new account from has the same basic information which you want the new account to have. If this is not the case, you can, however, still edit the basic information of a newly created account after creation. When you are done with the creation of new G/L  accounts, the log can provide further information on the job which you have executed. For the next part of this microlearning, let's move on to execute a mass creation of new G/L accounts in the system. When entering the SSCUI "Manage G/L Account Master Data", you must select from which chart of accounts  you want to copy G/L accounts. In this case, we have YCOA already pre- selected. Furthermore, we have selected the Chart of  Accounts View for the purpose of this demo, as this is a prerequisite for the mass creation. You cannot execute the mass creation when selecting the company code or controlling area view. As a next step, you search the G/L account which you want to create new G/L accounts  from. We want to copy new G/L accounts from the Bank1 Main Account. Therefore, we select the tick box next to the G/L account ID. At this very moment, the Copy button is made  available. This makes the mass creation possible. After having clicked on Copy, you define the G/L account ID and the description of the new G/L accounts. From our Bank1 Main Account, we want to copy one new G/L account called Bank9 Main Account. You can also create more than one G/L account, but one G/L account is enough for the purpose of this demo. If you would try to create a new account with a number that already exists in the system, like 11008000, the system tells you right away. After typing your account number and  description, you can go ahead and assign the new G/L  account to all existing company codes. To finish the job creation, we click on Copy. Now the system tells you that the job is running and the new G/L  accounts will be created soon. If the job is executed, you receive a notification to your user which informs you about the creation of the new G/L accounts. If you want to be provided with some further  information on this job, you can click on View Logs in the upper-right corner. After selecting your application log, it shows you that the creation of new G/L accounts worked fine. Viewing the log can especially help when the job execution failed and you want to find out why this is the case. Let's summarize the key learnings. You have learned which values you need to select in order to make a mass creation of  G/L accounts in the SSCUI "Manage G/L Account Master Data" possible. Additionally, you learned how to execute a job for mass creation of new G/L accounts and how to view the log to find out further  information about the executed job. This microlearning
