Refining Business Roles with SAP Fiori Launchpad Content Manager - SAP S/4HANA User Experience

Hello and welcome to this learning on refining business roles with SAP Fiori Launchpad Content Manager. My name is Jocelyn Dart and I'm a User Experience Strategist in the SAP S4HANA Customer Care and Regional Implementation Group. So in this learning, you're going to understand how Launchpad content is assigned to users, understand the prerequisites for using the Fiori Launchpad Content Manager, see how to copy a SAP business role to create your own custom business role, how to adjust the business role by removing and adding business catalogs, and how to adjust business catalogs by removing and adding Launchpad content. So Launchpad content is assigned to users via business roles. A user will have at least one business role, they may have more. Each role contains a number of business catalogs. You can use a mix of SAP business catalogs and custom business catalogs. To use the Launchpad content manager, you'll need to be on S4HANA release 1709 or higher. You can check the detailed prerequisites in SAP note 2809561. You'll need authorization to access the Launchpad Content Manager, which is GUI Transaction slash UI2 slash FLPCM underscore CUST. Literally, Fiori Launchpad Content Manager Customizing. You'll need a transport request because typically, you make these changes in your development environment and then transport them to your production environment. So let's get into it. Here, I'm logged on as the account receivables accountant. This is using one of the SAP delivered business roles. and you can see it's quite a full role. I'm in the App Finder here, you can get to that through the User Actions menu. The reason I'm using the App Finder is it's only in the App Finder that I can see all of the content that a business role is assigned. You can see here many of the apps that are assigned, and on the left-hand side, you can see that these apps are grouped into various business catalogs that describe what's in that particular catalog and each catalog has various apps and UIs in it. Now, I want to create a new role that doesn't have quite so much content. I want to create an accounts receivable assistant role, someone who's basically going to do some incoming payments for me. They might do some payment advices as customers tell us what they're planning to pay, and they might need a few extra items like customer balances and customer list from another catalog. So I really want to cut it down. So to do that, I'm going to go across to the Launchpad Content Manager. Okay, so there are two ways to get to the Fiori Launchpad Content Manager. If you have the Fiori Administrator role, you can get to it from the Launchpad using the tile FLPContentManagerClientSpecific. Alternatively, you can get to it in the SAP GUI using the transaction slash ui2 slash FLPCM underscore CUST, literally Fiori Launchpad Content Manager customizing. Now you see here there are three tabs and because I want to copy a role, I've gone to the roles tab and I'm just going to go and find that accounts receivable role that I want to copy. Okay so I simply search the role and here I can find the role and I can see here there's quite a lot of catalogs and there are some groups and there are some spaces all in this role so that's both the content of the role plus how what part of the role should be displayed on the launchpad. So I just want to copy the whole thing to start with so I'm just going to copy this role and I'll create a zbr-ar-assistant role, so accounts receivable assistant role. That's going to copy everything and that just takes a minute. Here we are and you can see now we have all those same catalogs assigned as we're assigned to the original role, and we also have the groups and we also have the spaces. Now, I am going to change this role quite significantly, so I'll probably end up doing my own group or space later on, so I'm just going to remove these for now. I don't need them to get to the content. As you saw, I can get to all content in the AppFinder. I'll get rid of the groups as well. We'll just select all of those and remove groups. Now I'm ready to focus on the catalog content. The first thing I'm going to do is remove all the catalogs that I don't want. I can see here, there's quite a lot that I don't want. Let me go down to document processing, one of the ones I want to keep, these ones I can take out. Okay and I'll take out the dunning, didn't want that. Take out these two, don't want those. Okay and I can take out the rest of these. Okay so very quickly I've come back to just the three catalogs I was interested in and that's all on this role at the moment. Now, I'd like to see actually what's in this catalog and see if I need to adjust the catalogs themselves further. So I'll start by selecting the catalog and going to the Catalog view, and you'll see this takes me from the Roles tab across to the Catalogs tab and focused on that particular catalog. So I can see here what's in this catalog. I can see it's got a number of Fiori apps in there, and those all look fine to me, so I'll use those as is. I'm going to go back to the role now, and let's have a look at the next catalog, which is incoming payments, and I'll do the same thing. Just show me that catalog in the catalog view. Here I can see this, and this role is not too bad. Catalog is not too bad. I actually want most of this. I just don't want that payment card data because we don't use payment cards here, and they're an assistant. I don't want them messing with the job schedule, so I'd rather they didn't have that schedule mass reverse jobs. To change this catalog, the easiest way to do it and retain most of this information is simply to copy the whole catalog. So up here, I've got the catalog selected, and I'm just going to copy that whole catalog. I will create a said business catalog, AR incoming payments, and I'll just call it Light for the sake of argument. I mean, really you can call it whatever you want, but I'll just call it, so we know which one it was coming from, I'll call it Incoming Payments Light. Okay. So similar to copying the role, When I copy a catalog, it copies everything in that catalog. Okay, and it's now brought to me and I can see I've got the same list of seven apps here. Now, to remove any apps that I don't want, all I simply do is select the line and say, remove tiles target mappings, okay? And I'll do that for the payment card data and then again, for the schedule mass reverse jobs, okay? And just so if you're interested, the tile is the thing that you see on the homepage, of course, and the target mapping is what actually launches the app with any parameters and other details that you need. So I now have a catalog that's exactly what I want with nothing extra. So I'm going to go across to my role, and I will add that catalog to my accounts receivable assistant role and use that to replace, I've got it all set up here, use that to replace the existing SAP Business Catalog. Now I've got my new one in there. I'll just remove the original. Then it's just a complete replace. Now I want to look at this last one, the document processing. I'll do the same thing again, select it and go to the Catalog view. What I can see here is, I don't want too much from this role. There's maybe four apps that I'm interested in. The rest, I'd really rather they didn't have. That's not what they need. Not something I want them to play with. So rather than copy the whole catalog and then have to remove everything, I'm going to take a slightly different tack. Here, what I'm gonna do is create an empty catalog. So same sort of process, but I'll just give it a name, BC for business catalog. And I'm thinking just called it similar to the original, it helps me find it. And I'll call this accounts receivable. document processing light. Now, remember that the catalog title that will be seen in the left-hand pane of the AppFinder. So it's worthwhile thinking about making sure this makes sense to users particularly if they've got multiple roles, if they're assigned to multiple roles. Okay. So now this catalog is empty. What I want to do is go back to the original SAP catalog. So I'll just do the same thing again, select the line, go to catalog view. Then the quickest way to just add the content I want to my new catalog is to select the apps that I want to transfer across, and then I'll simply say add tiles and target mappings to other catalog. I'll go and find my new business catalog. There's my document processing catalog, and I'll add tiles and target mapping reference to those. So this is just copying the reference across to my currently empty catalog. Okay. So now I can see in my catalog, I now have only those four apps. Terrific. So I'll do the same thing again to replace the original business catalog from SAP with my own custom catalog. As you can see here, the more you use custom business catalogs, the more you control the content in your role. So I'm just going to do the same thing here. I've got it all set up. select my new catalog, and now that that's in there, I can remove the original SAP catalog and I'm fine. So I've now actually done everything I need to make this accounts receivable assistant role access those apps. There's a couple of last things that it's always worthwhile doing. One of those is just to check that all of the apps in this role are turned on. So to do that, I can simply go up to check services and check and show services. What this will do is just check that all of the Fiori apps in that role are actually active, and that means they'll have the OData service that works with the data active and also the ICF node, that's the technical entry point, and I'm just looking for green lights. So back in the Launchpad Content Manager, the last thing I would do is open the role in PFCG, complete the data authorizations, they're generated from the apps that are selected in the catalog, and of course, assign it to a user. I'll do that offline and show you the end result. Here now, I have my accounts receivable assistant role, and once again, I'm in the App Finder, so I can see all the apps that are assigned, and I can see my different catalogs that I've assigned, and everything is there, and it's all working as well, which is lovely. That's it. That was refining business roles with the SAP Fiori Launchpad Content Manager.
