Setting Up Teams and Responsibilities in SAP S/4HANA Asset Management

Welcome to the micro-learning series on SAP S/4HANA Asset Management. In this video, I will show you how to set up teams and responsibilities in Asset Management. You can use teams and responsibilities for the following purposes: You can create teams that can perform the cost approval of maintenance orders. You can set up teams for maintenance work centers. The system considers work center team when filtering jobs according to the responsibility in the "Perform Maintenance Job" app. If you have enhanced the core functions of your S/4HANA system with an additional license for resource scheduling, maintenance planners can search for people in specific work centers when assigning a person responsible to maintenance order operations. Setting up teams and responsibilities is a prerequisite for situation handling that allows you to automatically inform the right users about a situation. For example, users can be informed automatically when a maintenance plan or a maintenance item is created or updated. The teams are based on team types with the associated team category and differ by a set of attributes. In responsibility management, a team category represent a business process, for example, approval of maintenance orders. The team attributes are represented as responsibility definitions. A responsibility definition is a name -value pair that can be used to query teams. For example, maintenance plant, maintenance activity type or main work center can be used as responsibility definitions. At least one team owner must be assigned to the team. A team owner is responsible for the team header, responsibility definition and assignment of the team members and their functions. A function is a task that a team member can perform as part of the business process. In the scope items 4HH for Reactive maintenance and 4HI for proactive maintenance are active, SAP delivers pre-configured functions, a functional profile, a team category, and team types. And you don't need to perform the customizing task in the backend system. However, you can check whether this configuration meets your business requirements and adjust if necessary. With the customizing activity "Defined functions", you can create functions that are assigned to the team members, so that they can perform various tasks. SAP delivers five predefined functions that represent levels of approvals for maintenance orders, and three predefined functions that represent roles in Work Center teams. Use the customizing activity "Defined Function Profiles" to group several functions that fulfill a similar task in the business process. For example, with the scope items for 4HH and for 4HI, SAP delivers two functional profiles: a functional profile for the approval process of maintenance orders with five standard functions, and a functional profile for the management of Work Center teams with three standard functions. Function profiles needs to be assigned to a team category using the customizing activity "Assign Function Profile to Team Category". There are two standards team categories: for approval for maintenance planning and execution and maintenance work center team. In the customizing activity "Define Team Types", you can create team types and assign them to the team categories. The standard team types with the team categories are "maintenance team" and "maintenance work center team". For certain business processes, you might need to add custom responsibility definitions and assign them to the standard team categories delivered by SAP. Then, with "Managed teams and responsibility" tile, the key users can manage teams and responsibilities for the cost approval of maintenance orders and situation handling scenarios. "Manage teams and responsibilities for work center" tile is used to manage work center teams. As an example, let's create a team for the approval process of a maintenance order. Open the application and click on "Create" button. Enter Name, Global ID and Team Type. The team category is prefilled automatically, depending on the team type that you select. Maintain responsibility definitions. For example, the maintenance team is responsible for maintenance planning plant 1710. By default, a business user who creates a team is saved as its team owner. You can create the team's owner at any time by selecting from a list of potential team owners. The team owner must have the required authorization to edit, create and delete the team. You can add SAP business users with the appropriate roles as team members. You can optionally create a hierarchy in a team structure by grouping team members into sub-teams based on their responsibilities. For more information about responsibility management in S/4HANA, visit SAP Help Portal. Thank you for watching.
