Taking a Grand Tour of CPQ Videos - SAP CPQ

Hello, my name is Pierre, and I’d like to welcome you  to a Grand Tour of the CPQ videos you will find on this site.  If you’re here, it’s probably because you want to know more about CPQ. Perhaps you’ve taken a class, or maybe you have access to a CPQ instance you want to explore.  The CPQ videos are organized into playlists, but with up to twenty videos in each playlist, it can be hard to figure out where to start, and how all this information comes together. Hence this Grand Tour.  I’m going to go through CPQ's features, and direct you to the videos that explain a topic in detail. I hope this will help you assemble the puzzle pieces. I hope this will help you assemble the puzzle pieces. I hope this will help you assemble the puzzle pieces.  I’ll start with an overview of how CPQ is used.  The user, that is the person who is creating a quote, logs in and views the product catalog, which displays a mix of simple and configurable products.   These products are added to a quote, and once the quote is complete, a quote document, usually a PDF document, is emailed to the customer.   Now, I mentioned that some products are configurable. When you add those to the quote, there’s an extra step, where you use the Product Configurator to… well, configure the product. well, configure the product. well, configure the product.  Which means selecting values for its various attributes. Once you’re done, you add the product to the quote. You can come back to the configurator when you need to reconfigure a product already in the quote.   The ‘Getting Started with SAP CPQ’ playlist  starts with a video that covers the navigation of the CPQ User Interface in general.  After viewing that, two videos cover, more specifically, Navigating the Product Catalog, and the Shopping Cart.  Navigating the Product Catalog, and the Shopping Cart.    Most of your time will be spent in the Setup Menu configuring CPQ. You may want to start with learning how to navigate this complex menu.  CPQ has entities representing both Users and Customers.  Where Users are those creating the quotes, Customers are the people these quotes are sent to. See how to Import and Export Customers using an Excel file, and how to manually add a user to your instance.  and how to manually add a user to your instance. Before you can add a user, though, you need to have defined a User Type for that User, and a Company they will belong to.  The Adding User Types and Companies video will show you how to do that manually.  Alternatively, you may want to learn how to export and import companies.   Part of the reason User Types and Companies exist is so they can be used to determine what exactly a User is allowed to do in CPQ.  Permissions are covered in Working with User Groups and Permissions.    Now, on to Products. A basic product is called a Simple Product. Learn how to manually add a simple product.    As with Users, though, before you can add a Product, you need to have defined a Product Type  for that Product and a Category it will belong to.  The Working with Categories and Product Types video will show you how to manage those.  Now the most interesting part of a product are its Attributes. You can add these manually, of course, but both Products and Attributes are more efficiently created by importing them from an Excel file.   Attributes are most useful when used by Configurable Products. Start by learning how to create them,  and then how to price them using Pricebooks.    Turning now to the quote, each quote is associated with a Currency and Market.  Learn how to define those on your system.    If you want to apply discounts to quotes, check out Working with Discounts.    The CPQ user interface also supports many languages, for which dictionaries are provided.  Work with them directly in the Setup menu, or import and export them using Excel files.  or import and export them using Excel files.  Once you’re more comfortable with CPQ, you’re probably ready to tackle the playlist titled Becoming Competent in SAP CPQ.    That playlist starts here in the Product Catalog with steps to create Guided Selling on your site to help users find the exact product they need.    You can then learn how to manage Product Versions and Aliases,  and finally how to Discontinue or Replace Simple Products.    Looking now to the Product Configurator, you can learn how to create Simple Rules affecting a product’s configuration.  Use Attribute Dependency Rules to allow only certain attribute value combinations for a given product.    And use Triggers to change one attribute‘s value in response to changing another attribute’s value.   Right at the top of the section where the configurator lists the price of the current configuration, the product’s part number is listed.  Many configurable products need their part number to reflect the attribute values you selected.  Learn how to create dynamic part numbers here.    This part number is what’s shown on the line item in the quote. Below it, CPQ displays the item’s description. You may want that description to also be dynamic; learn how to do that here in the video How to Create Dynamic Product Descriptions.  Affecting both the configurator and the quote are promotions and recurring pricing.    Once the quote is complete, your user will want to generate a quote document, usually in PDF, using a template. Learn how to generate these documents, so you can email them to your customer.  But before you generate a quote document, there will likely be a review and approval process, managed using Workflows. Workflows are state diagrams that have the quote move from one status to another, depending on which actions are invoked by the user. You may define your own statuses,  and your own custom actions.    Okay, you may at this point feel you’ve started knowing your way around CPQ. It’s time to look at the videos in the playlist titled Advancing in SAP CPQ. This playlist starts by outlining the differences between the available Configurable Product frameworks.  That’s followed by a detailed look at Collections,  System Lists,  and Parent/Child Systems of Configurable Products.  So… remember that a configurable product has attributes, and each attribute has one or more valid values. A special attribute you can add is the ItemQuantity attribute, which allows you to set the product quantity from the configurator. Cool, right?  Allowing individual attributes to have their own quantity is covered here,  while making it possible to have different quantities of each attribute value is demonstrated in the video whose title is quite a mouthful, Managing Attribute Quantiy-Related Options.  A very important kind of Attribute is the Product Container.  Learn how to configure a container able to reference multiple configurable products.  You can also configure the parent product so that one if its attributes is propagated to its child products. See here how to do that for the quantity attribute.  Product Containers can also be populated using a Custom Table.  Start by learning How to Create Custom Tables,  Start by learning How to Create Custom Tables, then look at how to load simple products into a container using data from a custom table.   An Autocomplete attribute can be configured to allow values pulled from a custom table column.  Very handy.    You can also use a custom table to populate a Quote Table, which as it name implies, appears on on the quote, and can be included in the quote document.  Adding quote tables isn’t the only way you can customize the quote screen.  Not only can you add Custom Quote Tabs and Custom Quote Fields,  but also custom fields appearing on each quote item.  All right. I haven’t covered every CPQ video available on this site, notably those having to do with connecting with other systems or scripting, but I hope this overview has helped you decide which videos to view, and how the concepts they present fit together.
