Understanding Output Management in SAP Service Cloud Version 2

In this video, we are going to demonstrate how output management works in the system. Output management comprises all activities related to the output of documents. Form based documents can be output on and ad hoc basis or as an integrated part of a business process. Let's see how it is processed in a demo. After accessing the All Settings tab, there is an output management tile with three options to choose from. After clicking on the main template hyperlink, a previously created main template is displayed, which is applicable to all org units. The main template could also be created to a specific or unit in a company. After selecting the existing template, two tabs are displayed. One is for editing and another for designing. As it is shown, the template is a default one. Under the editing tab, you can assign divers or units to the template. Within the design tab, you can adjust the template design, whether it is the logo, header or footer area. As an administrator, you can create company specific main templates for use in form template. Use the form template as a basis for the documents you want to print, such as invoices. After opening the maintain Form template hyperlink, there are two different types of templates displayed. One is an SAP template, which can be copied and used for different subtypes, and a custom template which can be edited by opening one of the SAP templates and reviewing it. You can see that it has the specific framework for the chosen language. You can also download or copy this template. If you choose this option. The system will automatically copy all the elements of the template. A custom template has the option of editing the existing information of the template. You can also copy the template like in the previously mentioned SAP template. The copy variant option allows you to create a variant under the same template, rather than creating a new template. A variant includes the language and country field options. If no specific countries are mentioned, the template will be cross country variant. As you can see under the SAP templates. Back under the All Settings tab, the select Form Templates hyperlink displays the existing form templates in the list. As you can see, only two elements are shown. Even though the templates are including several form templates. The select form templates is based on a root process, at which point a form template is going to be selected. The condition for the form templates selected is applicable for any case types and ID. There is an option to adapt columns in which you can add additional selection criteria for the condition to which form template will be selected. This is how the selection rules can be configured based on certain entities. Specific criteria. As an example for how one of the cases displayed the admin searches for the case and opens as a preview. The preview is based exactly on how the form template has been configured. This is how output management works in the system. Maintain main template which is working across entities. Meeting for template which is specific for an entity and select form template which involves rules to select one form template out of the form template list. Thank you for watching.
