Understanding Primary Finance Settings and Impact in SAP Cloud ERP – PET 2026

Hi, everyone. Welcome to our product expert training session. The topic that I have for you is understanding primary finance settings and impact in SAP Cloud ERP. This is a standard disclaimer, so let's move on the next slide. Let me start by introducing myself. My name is Zedma Garcia. I started my journey at SAP as a financial consultant at SAP Mexico. After four wonderful years, I was excited to pursue a new opportunity as a product and engineering solution architect, often known as a product expert, with the SAP Cloud ERP product success team. I've been happily serving in this role for five years now, so let's dive in and get started. hybris a brief overview of today's agenda. We will begin by defining the goal of this session and explaining why primary finance settings are so important in the system architecture next we will look at what these settings are focusing on the two key elements the fiscal year variant and the group currency after that we will move into the configuration process itself where we will go a step by step through the setup we will start with step 1 selecting the ledgers true scope items followed by defining the fiscal year variant and then selecting the group currency. We will also review SAP's recommendations for assigning accounting principles and discuss what's happened if these settings need to be changed after they are saved. Finally, we will close with a practical checklist to make sure everything is validated before starting the configuration. So let's begin with the goals of today's session. Session goals. This presentation is based on the Cloud ERP product, better known as a SAP S/4HANA Cloud Public Edition. One of the most frequent reasons customer requests system reprovisioning is an incorrect configuration of the primary finance settings and ledgers. The reprovisioning process can take more than three weeks, causing significant delays in implementation projects. Throughout this session, I will explain the concepts of these initial settings, where they are reflected, and why this configuration is such an important decision. Let's talk about why primary finance settings truly matter. These settings are not just technical configurations. They are the financial backbone of the entire system. They form the core architecture that everything else is built on. Financial postings, ledgers, company calls, reporting structures, all of it depends on the decisions made here. If we think on the ERP as a building, this is the foundation. Second, the impact of this decision is far-reaching. Because these settings are deeply embedded in the system architecture, they influence every transaction and every report. The choices made here don't just affect today's processes. They define what will be possible in the future. And finally, and most critically, these settings are irreversible once saved in CBC. They cannot simply be adjusted later. If configuring correctly, the only option is a complete system reprovisioning. That means additional time and cost. So the key message here is simple. Early well-informed decision prevents costly delays. These are not routine setup steps. They are strategic decisions that define the financial architecture of your organization. So let's make sure we treat them with the level of importance they deserve. Now let's look at what primary finance settings actually are. There are two core decisions we are making at this stage and both are foundational. First, fiscal year variant. This determines how your financial year is structured. Are you operating on a calendar year January to December or a non-calendar fiscal year? It also defines your postings periods and special periods for closing activities. In simple terms, this setting controls the entire period structure of your system. Every posting, every closing cycle, every financial report will follow this structure. Second, the group currency. This is the single currency used for consolidated reporting across all entities and ledgers. It ensures consistency when you are operating in multiple countries with multiple local currencies. So please align them with your business and reporting requirements from day one. And hybris the critical point. This is a one-time decision. Once these values are saved in the system, they cannot be changed without reprovisioning. There is no edit button. If a mistake is made, it means whipping the tenant and starting over, which can cause significant delays and reward. So while these settings may look simple, they are highly strategic. We must treat them not as a configuration task, but as architectural decisions that shape the entire financial framework of the system. Now let's talk about configuration. Having understood the strategic impact, we'll now look at how these decisions are implemented in the system, starting with ledgers, fiscal year variant, group currency, and accounting principal assignment. Now let's move into configuration step 1, selecting ledgers via scope items. Here we are making decisions that determine which accounting principles and ledgers will exist in the system. In SAP, ledgers are activated through scope item selection during the defined scope activity. For example, the scope item J58 doesn't need to be activated. This one is pre-delivery with the initial scope bundle and this scope item activates the leading ledger 0L for local accounting. If we add 1GA, we activate ledger 2L for IFRS. If we include 2VA, we activate 3L for US GAAP. And 5W2 activates 4G for group valuation. Each selected scope item automatically creates a corresponding ledger. Then during configuration, we assign the appropriate accounting principle to each ledger. And there are two important considerations here. First, if you decided to operate with only one ledger, such as 0L, then IFRS and US GAAP content will not be available. And second, if you choose a multi-ledger setup, you must ensure each ledger is correctly align with its accounting principles during configuration. So please read and follow SAP recommendations on how to reassign the accounting principles. For our demo, I will switch to an internal 3SL system. So I am currently in the CVC configuration environment and the configuration for this system is already complete. However, I will open the DefineScope activity to show you that the scope items corresponding to the ledger scenarios are located here. During this activity, these scope items should display an Add button to allow for their selection, which is the task you need to perform at this step. And as I mentioned it, they have already been added to this system. Let's move to configuration step 2, defining the fiscal year variant. The fiscal year variant defines the financial calendar of your organization. It determines how your year is structured, how many posting periods you have, whether you use special periods for year-end closing and whether you operate on a calendar year or a non-calendar fiscal year. In essence, this decision sets the rhythm of your financial operations. From a system perspective, the logic is straightforward, but the impact is significant. The fiscal year variant is first selected within the primary finance settings. This is assigned to the leading ledger 0L and it becomes fixed. Non-leading ledgers, such as 2L or 3L, initially inherit the same variant from the leading ledger. However, they can be adjusted if different reporting requirements exist. Now we move to configuration step 3, defining the group currency. The group currency is the common financial language of your organization. Its purpose is straightforward but critical. It enables consolidated financial reporting across your entire corporate group. When you operate across multiple countries and local currencies, the group currency ensures that financial data can be aggregated, compared, and analyzed consistently. The group currency is applied system-wide. It affects all ledgers and all company codes within the system, without exception. Unlike the fiscal year variant, you cannot define different group currencies for specific ledgers or entities. There is one group currency, and it applies everywhere. That means these decisions must reflect your corporate consolidation requirements from the very beginning. Whether it is U.S. dollars, euros, or another currency, it should align with how the organization reports at the group level. Returning to our CBC system, we will now select the activity Specify Primary Finance Settings. Within the description, we can observe a message saying, be aware that this is a one-time decision which cannot be changed. With that in mind, let's examine the details of this activity. On the configuration screen, we are once again presented with a warning that these settings cannot be modified once they have been saved. And another engagement is that the additional of a blue information message. So, clicking the link label Global Fiscal Year Variant opens an SAP note with detailed information on the pre-configured fiscal years. So, here I strongly recommend exercising particular caution, especially when dealing with a shifted fiscal year. So, let's return to CBC. And when a CBC system is linked to a starter system, these values are pre -configured and cannot be changed. So, however, for the customer's own CBC system, specifically during its initial setup, this is the interface where these selections are made. So in that system, the fiscal year variant can be any of the options listed in the SAP note and the group currency can be any currency recognized by the system. Now we arrive at the configuration step 4, assigning accounting principles. At this stage, the goal is to ensure that each ledger is correctly linked to the appropriate accounting principle. Within the CVC configuration environment, this is done through the activity Assign Accounting Principles to Ledgers and Company Codes. For multi-ledger scenarios, SAP recommends switching the accounting principles by leading the corporate accounting principle to the leading ledger and the local accounting to any non-leading ledger. If we look at the first table, it represents the best practice content. So here the leading ledger 0L is delivery for local accounting, while additional ledgers such as 2L for IFRS and 3L for U.S. GAAP support parallel accounting for international reporting requirements. However, the second table shows an example of SAP's recommendation. In this setup, the leading ledger is assigned to IFRS and local accounting requirements are then handled in a non-leading ledger. With this setup, customers can utilize the deviation of fiscal year variance. This means they can configure a different fiscal year variant in a non-leading ledger. And I have some key notes to share. You can change the accounting principles only if you have no postings in the production system without reprovisioning. And if you have postings in dev and test system, you have to run the reset transactional data job to change the pre-delivery values. For this final demonstration section, we will work on the activity Configure Your Business processes. This is where the configuration recommended by SAP is performed, so I will use the search field to access my configuration step, assign accounting principles to ledgers and company codes. As I mentioned earlier, the leading ledger must be assigned to the corporate accounting and in this example we are using US GAAP, while for another customer it could be IFRS which is also perfectly valid. Consequently, the non -leading ledger becomes available for local accounting purposes, and this activity simply consists on leaving that specific field blank. Then the assignment is made directly at the company code level by adding the country code followed by the letters AP. And the benefit of this configuration is that And should the customer expand into additional countries, they can use a different fiscal year for their local accounting ledger. Returning to our previous screen, I will now show where the configuration for the fiscal year variant for non-leading ledgers is performed. Once again, using the search field, I will enter Assign fiscal year variant to ledgers and company codes. As you can observe on this screen, the fiscal year variant value for the leading ledger is fixed, while for non-leading ledger, it is possible to select an alternative fiscal year variant for financial reporting purposes. Let's return to the initial configuration screen. Finally, I want to show you where the currency settings are located. I will now select the configuration ID, define currency settings for ledgers and company codes. This is a setup section where you should exercise extra caution when altering settings. This screen displays the type of currency available to us. The transactional currency is used for your transactions and can be any currency recognized by the system and no configuration is required. then we have the company code currency and here the system has already established the company code currency which corresponds to the national currency of the company code this currency cannot be changed for the global currency I show this configuration is set in the CBC configuration activity under the primary finance settings and you can also create additional currencies to be used as freely defined currencies but what I want to demonstrate here is that the company code currency cannot be modified this currency is automatically assigned based on the country associated with the company code furthermore the group currency as we can observe here is the values selected during the primary finance settings activity, and this currency applies to all company codes and ledgers in the system. Therefore, the only currencies that can be configured are the freely defined currency and the functional currency. Before we conclude, it is important to understand what happens if these settings need to be changed after they are saved. The fiscal year variant, group currency, and activation ledger are system-defining configurations. If a mistake is made, the only available option is system reprovisioning. This means submitting a formal request to SAP to completely reset the tenant, and naturally this has a direct impact on the project timeline. As shown here, under a standard implementation plan, the project moves through the phases prepare, explore, realize, and deploy as a schedule. However, if reprovisioning becomes necessary, the project typically experiences a delay of at least three additional weeks or sometimes more. For those who want to explore this topic further, SAP also provides detailed guidance in the documentation reference here. Let's finish with a quick checklist to confirm everything is ready before configuration begins. First, ledgers and scope items. Verify that the correct scope items you need to select to activate the ledgers for your reporting needs, whether for local GAAP, IFRS, or US GAAP. Second, the fiscal year variant. Make sure the selected variant aligns with the company's financial calendar. If the organization uses a shifted fiscal year, it's especially important to confirm the choice using the relevant SAP documentation. Third, group currency. This decision must be validated with the finance team and should reflect the currency used for global consolidation across all entities and finally accounting principles ensure that the accounting principles are correctly assigned to the corresponding ledgers following the sap's recommendation this validation ensures the system is configured correctly from day one and for those who would like to go deeper this slide includes some useful documentation related to the topics we discussed today.
