Updating Your Travel Profile in SAP Concur

Updating Your Travel Profile  Before you use Concur Travel for the first time, you will need to update your Travel profile. Even if you don't make any changes, you must save your profile before you can book a trip in Concur Travel. From your Travel Profile, you can update information such as your personal, company, and credit card information. You can update your Travel Settings, including travel preferences for upcoming trips, and add an assistant to help you book your travel. To access your Travel profile, select the Profile icon, and then select Profile Settings. You will find the most common profile tasks on the Profile Options page, or you can use the menus on the left to select a setting to update. Depending on your company's configuration, some of these options might not be available to you. For more information, check with your SAP Concur administrator. In the Your Information section, be sure to review and update your Personal, Company, and Contact Information. Verify your Email Addresses, add an Emergency Contact, and add or update your Credit Cards. To begin entering your information, select Personal Information. Verify your Personal Information. Make certain that the first, middle, and last names shown are identical to those on the photo identification that you will be presenting at the airport. If any of this information is incorrect, contact your SAP Concur Site Administrator to have it updated. Verify your Work and Home Addresses, and your Contact Information. Update any information that is missing or incorrect. In the Email Addresses section, you can add and verify your email addresses. It is important to verify your email address so that you can send and receive email receipt images for use on your expense reports. Complete the Emergency Contact fields as needed. In the Travel Preferences section, you can select your discount travel rates and fare classes, and specify your Air, Hotel, and Car Rental Preferences. If you are a Frequent-Traveler Program member, select the Add Program to add your frequent traveler information. Use the radio buttons to select if this is an Air or Rail Carrier, Car Rental Company, or Hotel. You can select the appropriate vendor from the dropdown list and enter the Frequent Traveler, Driver, or Guest Number. Note: Make sure your profile name and program match. Continue adding your Frequent-Traveler programs as needed, and then select Save. Note that if you enter a program incorrectly you will get a profile error from the reservation system. In the TSA Secure Flight section, verify the required Gender and Date of Birth fields. Complete the DHS Redress No. and TSA Precheck Known Traveler Number fields if you are a member. From the International Travel Passports and Visas section, add your passport or international visa information. This can make international travel a little easier. From the Assistance and Travel Arrangers section, if you want to assign someone to book travel for you, select Add an Assistant. Search for and select the individuals within your organization that you would like to give permission to perform travel functions for you. Select the check box(es) to allow them to book travel for you or assign them as your primary assistant for travel. An assistant must be an existing travel user. Note that you cannot designate individuals or groups as primary assistants for travel if they do not have a work phone number in their profile. When you have completed the assistant assignment, select Save. From the Credit Cards section, add or update your credit card information that you use to book travel. Note that you are required to have a credit card saved in your profile before you can book with Concur Travel. Select Add a Credit Card. On the Add a Credit Card page, you will enter the name on the card, the Card Type, the Credit Card Number, Expiration Date, and Billing Address. Your company will determine whether you use a corporate or personal card. You can designate this card as your default for Plane Tickets, Rail Tickets, Car Rentals, and Hotel Reservations. After you have updated your credit card information, select Save. After you have completed all your Travel Profile updates, select Save. Your Profile is saved, and you are now ready to book travel.
