User Administration in the Incentive Management Portal in SAP SuccessFactors Incentive Management

Hi, I'm Brian. This video introduces user management options in the user administration workspace of Sales Performance Home. Sales Performance Home is the single sign-on gateway to SAP Sales Cloud applications that offers access to several options, including business process configuration, global settings, and user administration. With the user administration workspace, administrators can assign user access to roles, grant access to applications and processes, as well as assign proxy users. There are three ways user accounts are made available to user administration. First, single sign-on with the corporate user directory can be configured. This allows access to all users and groups in the user store. Second, anytime a user is created in SAP commissions. And third, anytime a participant is created in SAP commissions, if there is a need for an administrator-only option in Sales Performance Home, there's an option to add an admin user directly to user administration. As a note, users and groups are generally not created in the user administration workspace. However, groups may be added in the user store. This gives administrators the ability to easily grant permissions to members of groups. Users are granted access to applications and processes through roles and permissions. There are four types of permissions, General, Administration, Application, and Report. Sales Performance Home has a collection of default roles that can be used to easily grant common permission sets. These include Global, Portal Admin, and Approver. Every user account is associated with the global role that grants access to basic functionality, such as logging in and viewing dashboards. Portal Admin is the master account, which contains all permissions. Approver grants access to functionality that allows a user to approve workflow requests. I'll create a role that grants access to SAP Commission's Data Loader by logging into Sales Performance Home. Now, I'll click User Administration. I'll click and open Roles. I have a list of applications which are portal permissions. I'll click the plus sign next to Caledas Portal to add a new role. I'll name this My Role. Now, I'll add permissions. And I'll click Add. Since I want to offer access to an application, I'll select Application as the type. I'll also select Commissions Data Loader as the asset. Finally, I'll use the slider to enable access, but leave Manage Security Disabled, and I'll click Save. I can now grant access for this new role to users in a group, users with a specific title, and individual users. As a best practice, I should grant access to permissions for a group or title. However, in some cases, I may wish to grant access to specific users. With this scenario, I can add an internal user. I'll add an internal user, Amy Witten. To begin, I'll click the Add Internal User icon, located to the right of Users. I'll begin by searching for an existing user by the name of Amy Whitton. I'll click Find, enter her last name, and then click Search. Since I viewed two entries, I'll click A. Whitton, and then click Add. Amy Witton now appears in the list of users. Now, I'll add Amy Witton's user record to the role that I created earlier. I'll start by clicking Amy's user record. I'll scroll down to Assigned Roles and click Add. For application, I'll select portal. For role, I can now view the role entitled My Role that I created earlier. I'll select it and click save. Administrators can unlock a user's account in the user's record. I can lock or unlock a user by enabling or disabling Is Locked. Also, if a user is inactive, but should not be purged, I can block this user from bulk data purges. Scrolling downward, I can see roles that the user has inherited through her groups, titles, or global assignments. And I can also assign another user as a proxy. As an example, I'll add Portal Admin as a proxy for Amy Whitton, so I can test her permissions. Under Proxies, I'll click Add. I'll click Find and then enter Portal Admin. and then click search. I'll click the link and then click save. As a note, due to the sensitive financial nature of SAP commissions data, administrators are the only entities allowed to assign a proxy. I'll now proxy as the user Amy Whitten. First, I need to leave user administration by clicking the return to administration link located at the top left of this page. Now, from the profile icon located at the top right corner of this page, I'll select proxy as. I'll select Amy Whitten from the list and click proxy. The first thing I notice is that Amy is not an administrator, so she cannot see the administration homepage. Instead, she can view the user default, which is currently the messages page. Now, I'll click the Application Picker. Amy Whitten has access to CELS Performance Home and Commissions Data Loader, but not SAP Commissions. When I'm ready to exit the proxy, I can simply select the User Profile icon and select Exit Proxy. Thanks for watching.
