Using "Manage News" App to Push News to Your Users – PET 2026

Hello, everyone. Welcome to the new demo session, using Manage News app to push news to your users. I'm the speaker of today's session. My name is George Yu, and I'm a product and engineering Solution Architect at SAP. We are going to talk about two topics. The first one, I will introduce Managing News app at a high level. Then I will go through a demonstration to show you all the bells and whistles and how to effectively use this to publish your news. Several years ago, when our Fiori launchpad was introduced, everybody was thrilled to see this colorful screen. It is organized by different sections and one of them, if you pay attention to, is the news section. At that time, news only shows the news related with the SAP software. For example, if you are using the modules of supply chain or finance, then these two module related news is displayed. So for example, here there are five windows, five pieces of news it can scroll in a cycle back and forth. Many of our users are just wondering, can I post my own news? Just like in the old ACPR3 systems, if one of our listeners here had that experience, used to be like an administrator can post the news so that all the business users can know ahead of time what is going to happen. And this feature became available in the 2508 release of the public cloud system. As you can see, for this application to work, we have prerequisites. First is the posting news. If you have a system administrator role, most probably you will have the business catalog called SAP Core BCCUX News Managing. However, to read the news, SAP by default assigns this business catalog AP Core BCCUX News Display PC to one business role template called SAP BR Employee. From my experience, not many customers assign this business role to everybody because this business law has quite broad authorizations. Later on, I will show you if without this business catalog, you won't be able to read the news. It just won't display it. Now let's quickly go through the key features of the Managed News app. As I said before, this function became available from release 2508. Now in release 2602, a critical news feature is added. What it does is, a lot of times, users try to ignore all those news. They don't care. So as an administrator, sometimes you won't force the users to read the news. So if we click on this critical news feature, then news won't go away until the user acknowledges it and closes it. So hate it or love it, it's your decision, but I think this is a good feature. When we're talking about the managing news app, there are quite a few bolts and nuts. of course news article is the main piece of news how you write it what information you want to deliver to the users news images in the modern world everybody likes to see pictures so we want to associate some nice relevant images with a piece of news that's what it is useful now let's Let's say if you don't use your own images, the system will use default images for you. So kind of like force you to pick and choose some nice images to your own taste. Another concept is called news groups. Let's say you have the user focusing on sales, another group focusing on finance. Certain news only relevant to sales people, others relevant to finance people. So you can group these news together so that all the finance news are shown in the same place and all the sales news in another place. So kind of increase the efficiency of displaying the news to the end users. Last is the news app. This is another nice feature. Let's say that if you are using certain apps like manager sales orders. And if this piece of news is only targeting those users using manager sales order app, then we can assign this news to this specific app so that the users don't use manager sales order app, won't receive this news. So make it a very targeted reader group one more good news is the managing news app is available from acps for hana on-premise version 2025 onward so that means nowadays as long as you have acps for hana software public cloud private cloud or your on-premise version this Managing News app is available for all of you. With all these said, let's go into the system to take a look at it. This is my S/4HANA public cloud system. As I said that it should be the same for the private cloud or on-premise version. now on this launch pad for me today luckily nothing for me to do so i don't need to worry about that and in the news section it says no updates at this time you do not have any news okay and then here are the pages and then there are apps things like that so first thing first let me try to go into the manager news app see what's there so i click on manager news when you're coming into this app first thing you to do you just go to go button just to see if there's any news articles available well seem like there's nothing there it's fine but i need to do some preparation work so what i'm going to do is looking at the news groups so i have one it group already created to save the time now i'm going to create a business user group so i click on the create button so the title is this user group Description news for business users. Now, foot text. I usually try to put office information or even the dates there. So, for example, I put... Let's just say this news usually coming from your business leader, right? So I just put a business leader. let's say alex something like that and also i can choose background image currently i have three background images available one is a retail banking one is data center one is holiday well let's just choose retail banking and after you do all of these mandatory and critical as i mentioned that it's kind of a forced user to read the news if the news is assigned to this business user group then those business users they have to read it but let's leave them out for now so i create hit the create button so when this is done you can see that this is an image associated with the business user group and i created that using ai just say in the retail bank lobby we have tailors as well as customer something like that you put in there so there's no any copyright violation because this is a faked image if let's say that this is a business user user group you want to make an edit you just click the edit button you can make changes so for example news for business user group and then save it that's fine so let's go back now i want i want to show you how to add an image a new image so currently i have three i'm going to add another one so this one is because currently i am doing a demo to you so i do not want any other users to use managing news app to post the different news so i say image okay is a don't oh okay i say demo is in session okay image auto text is a don't use manage news app okay and the image i can load the image as you can see that i have four images so i'm going to choose this image demo is in progress and then this image is being shown. So I create. So I loaded the image into my system. Now I'm going to do a news article as I described. I do not want any users to use the Managing News app at this moment. So I created a new news article. the title don't use manage news app subtitle demo in session footnote i just put my name down there or administrator anybody like that and then i make a critical and required reading later on i will show you but i don't select them the background image is demo is in session i put in there now you can see status is a draft because i haven't hit the create button publish start is a little bit tricky at this moment this is a german time 6 pm 29 so if you want this news article to show right away you start time to be a little bit earlier let's say four o'clock and then it will end let's say until tomorrow this time so i just make it to be one day there so this is the information about the news article and if you want to add more information here description you just say george is conducting a demo please don't use manage news app so that is good at this moment i'm not going to go to the app assignment or news group assignment but only doing the text management description is a text management. So now I click on create. By create, that basically means now this news article is being published. So let's go there to the Fiori launchpad. Let's see that if the news is there or not. But when you come back at the time, you need to refresh because all of those information needs to be pushed over there it shows the news right don't use manager news app so if i click on that you can see the picture i put in there demo is in progress and don't use the manager news app all of those information i just put into the news article is displayed here now here you might say hmm georgio creates a very nice picture but i don't see the picture Right. Depends on this available space. The picture is either being split up in a lower portion or left and right. So if you want to see that, I can make some space available. So if you know that, if you go to my home settings button, if you unshown all of those pages. And then, let me try to refresh it. Now you can see that the right half of the icon is being used for the picture, and the left part is for the news article. Of course, the whole thing is one piece. So this is, I just tried to show you that the picture position is not fixed it moves but at this moment you don't really have a control the only control is you try to get a more horizontal space for the news article now let's go back to this news again so we come back to managing news and i hit the go button now this is my news article when i was working on that i say okay let's don't really do the critical and required reading because i want to show you what's the difference so now let me go to edit button okay i click on critical and save it again now i'm going back you can see this is a previous version now i refresh it now you see this contains critical news icon is put on top of the news so it's kind of like when you send an email you want to make it to be important so you catch users eyes okay so this is a critical how about that another feature is called required reading so let's change that see what is the required reading so i go to required reading and save and go to the theory launch pad oh you see the difference as soon as you come to this page required reading pops up so kind of a force you to read this article and you can either done or remind me later now here for the required reading this image if you can look at this image i didn't really put in there so this is the system put in there so far i haven't really figured out how to replace this image but i think you know we can live with that so when you refresh this screen okay still using the image i put in there contains the critical news and i click on that it's fine so this is a must read kind of a forced reader to read it and acknowledges the existence of this news article next i'm going to create another news and try to put it into one news group okay so let me go to managing news so create a new news okay this news i can call it like uh okay we should have some fun right let's say holiday party and uh subtitle all are welcome And who will post that? We might say, your leadership team. And we will choose a holiday picture and make it critical so everybody will join it. And here, as I said, I will put a little bit ahead of the current time. and the publish end let's see if we leave it open so basically means this is no end now news group assignment this time i will assign that into okay since i have two news groups how about i assign both of them so the first one is it in a business group so when we have holiday party anybody can go right not just limited to the business user or it people and the text so this is in the description if you want to add more so you can put a okay it is a party time so save it now i create this okay now i have two news right ones that don't use manager news app one holiday party and I didn't put don't use manager news to any business group but now I can assign that to business group so I assign to the business user group and save it so after that is done let's go to Fiori Launchpad. Now here you can see now I have two dots here. So the first dot is for the IT group user and the second dot is for the business user group. So let's go back to the IT group. Let's click on that. So now you can see that holiday party news is being displayed under the IT group. If we go to the business user group you click on that there are two news. First is the holiday party. Second is don't use managing news app. So this basically means there are two news associated with business user group and the one news is associated with it user group the same news article holiday party can be assigned to two different news group that way depends on the user right if you are a business user group user you won't miss the news about holiday party this time i'm going to associate that with the one app so let me go to the managing news again and i can see two news there so i'm going to create a new news article pay attention to manage banks app users sub title can be let's just say some new features are available right and the footnotes are whoever published that you are cash manager so let's make it to be since this is uh business related. So I put retail banking in time, a little bit earlier. Now, I'm going to do app assignment. I want this news only related or can be viewed by those users using cash management. And by looking at Fiori app, i know this application's id so i go to the app assignment i click assign okay and this app transaction code is f1474a so let's go there ah this is a manage banks version 2. so i put in there and now news group of course this should be business user related and text management okay i can just bring some text there it's a test to see the impact of app assignment save it and then create now let's go there the business user group okay let me go there and refresh it I want to look at the business user group aha so pay attention to manager bank's app users So this is the news associated with that. So why I can see that? Now I'm going to go to my user profile. So this is my user account. When I look at my user assigned business roles, one of them is BR Cash Specialist. Because I have this business law assigned, that's why I have access to ManageBank's cash management app. Let's just say, I'm going to remove that. So I go there and remove that. Now let's see what will be the result. Go back. refresh okay go to the business user group so now i don't see that manager banks that news article anymore the reason is because i removed that business role from my profile and i no longer have access to it that's the reason So you can see that we can precisely assign news to those users with a certain app access instead of publishing news for everybody to read.
