Working with Travel Policy Administrator in SAP Concur

Travel Policy Administration After completing this lesson, you should be able to Work with the Travel Policy Administration features Build a Travel Policy Rule To access Travel Policy Administration, select Administration Scroll to and click on Travel Admin The Travel Policy Administration page has eight sections. These sections allow you to customize, per configuration or rule class, what your users will experience while booking a travel reservation. In this demonstration, you will see how to use all the Travel Policy Administration features, including how to build and enable travel policy rules. Note: The VendorFoid Admin section is currently not in use. To add a new rule class, select Edit Classes. Select Add New Rule Class. Type the travel class name. Assign your new rule class to the appropriate travel and property configurations. Select Save. To modify the travel rule class, select the pencil icon. The travel class is now editable. Move right to make selections that apply to this travel class. Select Save. Select Back to Travel Admin. To enable rules within a rule class, select the rule class drop-down arrow, then select the appropriate rule class. Use the Choose Who Will Handle the Approvals section to assign the appropriate approver. For this example, you will see how to enable a rule in the Travel Itinerary category. Select Travel Itinerary Edit. Check the box to left of the desired rule template. Select an appropriate enforcement level from the drop-down menu. Select Save. To define the lowest logical fare threshold, select Flight Edit. The drop-down options will be used to filter fare search results and determine the lowest logical fare from that search. Other options may be available and may be GDS-dependent. Be sure to consult your TMC agency in these decisions. Select Save. Use the Track Changes option to review the 20 most recent changes to a given travel policy. The Clone Rules option allows you to copy rules across rule classes. To use the Clone Rules option, select Clone Rules. Select the rules to copy from this travel class. Select Apply. Then select which travel classes to copy the selected rules to. Select Save. Another method of cloning rules is the Save to Many option. This method allows you to replace all travel rules in one or more travel classes with the selected rules from another. To use the Save to Many option, select Edit for the category that you want to copy. Select Save to Many. Select the travel class or classes to replace the rules. Select Save. Select the Policy Violation Reasons tab. Use the Policy Violation Reasons tab to create a list of reasons that employees can choose from when they violate established travel policies. This helps you to track reasons for travel policy violations. To add a new policy violation reason, select Add New Policy Violation Reason Enter the code. Enter the Description. Select the Type from the drop-down menu. Select Save. Select the Travel Fusion Suppliers tab. Use the Travel Fusion Suppliers tab to choose which web direct vendor fares will display to users. Select the checkbox for each airline vendor. Select Save Settings. Select the Travel Vendor Exclusions tab. On the Travel Vendor Exclusions tab, you can select which vendors you do not want returned to travelers. Selected vendors will be excluded from online searches. Select the appropriate vendor. Select Save. All selected vendors will display at the top of the vendor list. Select the Custom Text tab. On the Custom Text tab, you can add, edit, or customize the Company Notes section that appears on the home page. Within sections below, you can also modify the text that users will see throughout the user experience. Select the Travel Configuration drop-down arrow to select the appropriate travel configuration. Select Load. In the Company Notes section, use the word Options to customize text, add images, and embed hyperlinks. You can also use this area to customize messaging for all other available categories. To modify other messaging within other categories, select the jump to drop down option or scroll to the desired area. Select the edit button to enter custom text. Select from available options to save these changes to one or more travel configurations as well as in different languages. Select Save. Select the Regional Hotel Rates tab. With the Regional Hotel Rates feature, you can extend a hotel rate policy to include exception cities that may have a higher or lower allowance to the company's standard hotel rate cap. Select Add New Regional City Hotel Rate. Enter the location name and address. To map the location, select Geocode. Choose the default currency and rate. Enter the distance from the geocoded point to extend the rate exception to the specified radius. You can also enter different rates for specific times of the year, which will override the default rate. Select Save. When using regional hotel rates, you must also enable the Location Rate Hotel rule on the Travel Policy tab. Select the Travel Alternatives tab. Enabling travel alternatives will display a prompt to the user during the booking process for any trip that is less than or equal to one day. The information entered here is used to compute an estimated cost for teleconference options. Click on the travel configuration drop-down arrow. Select the applicable travel configuration. Select and enter Cost per person/min amounts for all or any of the available options. Within the costs are quoted in currency field select the correct currency. Use the default meeting sizes shown or you can override those with custom values. To require users to supply the exact number of attendees enable user supply data. Enter the teleconference name. You will also have the option to use the default prompt message or to add a custom message for the search screen and cost comparison prompts. Select Save Settings. Note: Should you fail to enter any required information, you will be prompted to add it. In the next demonstration, we will build a travel rule. The travel rule builder is used to build rule templates that do not already exist. In this example, we will build a location rate rule. Once built, we will enable the rule to activate the regional hotel rates. Scroll down to the left menu section of Travel Administration. Select Travel Rule Builder. Click on the rule template category drop-down arrow. Select Hotel. Select OK. Any existing hotel rules will be displayed. Select Add. Scroll through the list of rule parts to find the best description for the rule. Select the location rate rule. Set the appropriate default value with your standard rate cap. Enter the Rule Name. Select Save. The rule is now created. Use the Edit Rule Values option to return to the travel policy section. Select the desired rule class from the drop-down. Scroll to the Hotel category. Select Edit. Enable the location rule. Select the appropriate enforcement. Select Save. You have now completed the training on Travel Policy Administration overview. Thank you for watching.
