Activating the System and Getting First Time Access (Provisioning) for SAP SuccessFactors HCM

Let's start by talking about the process of the SAP SuccessFactors system access and provisioning. For the first time users and our net new customers, your SAP SuccessFactors base instance will be automatically provisioned on your license effective date or the contract start date. Here is a high level view of the provisioning process. Once the SAP contract is signed for new customers, the person who is noted as the technical administrator in the contract is designated as the IT contact. This IT contact will hold the role of the cloud administrator and would be the primary recipient of all communications from SAP. It is important to note that the IT contact plays the role of the IAS admin and the SAP SuccessFactors HCM admin. We will talk about these various types of admin in our next video. Please remember only this role of the IT contact can initiate the provisioning process. Now let's take a deeper dive into the standard process on how the IT contact logs into the system. The IT contact will receive two separate emails. One from the SAP SuccessFactors provisioning team containing the access credentials and another from the IAS team with the IAS activation link. Upon receiving these emails, the IT contact should first click on the IAS activation link. This step is essential to enable single sign -on SSO for your user, allowing direct access to the SAP SuccessFactors instance. If you have not received your provisioning access details or you don't know who was listed as IT contact for your organization, you can reach out to us now by creating an incident. Based on the SAP SuccessFactors solutions your organization has purchased, you will receive multiple system-generated emails. Typically, provisioning includes two tenants, a test tenant in the preview environment and a productive tenant in the production environment. For customers who have licensed SAP SuccessFactors Employee Central, an additional development tenant is also provisioned within the production environment. Accordingly, you can expect to receive multiple emails containing initial user access details for each tenant and corresponding emails with IAS activation information for those tenants. Additional emails may also be sent if you have purchased other solutions, such as SAP SuccessFactors, Employee Central Payroll, Learning Management System, or services like SFTP and SAP Business Technology Platform. If your organization has purchased SAP SuccessFactors, Employee Central Payroll, please take note that you will receive two separate emails, one with system access details and another with the login credentials. It is critical to note that SAP SuccessFactors' Employee Central Payroll credentials expire within 10 business days. If the credentials are not used to log in within this timeframe, the cloud administrator will need to submit a service request to have the password reset. So far, we've covered the auto-provisioning process. Now let's move on to on-demand provisioning. Not all SAP SuccessFactors modules are provisioned automatically. Certain modules are provisioned on demand, giving you, as the customer, the flexibility to decide when to initiate provisioning based on your implementation timeline and priorities. The top tile highlights the solutions that are automatically provisioned as part of SAP SuccessFactors HCM, effective from your license start date. The bottom tile lists the solutions that require manual provisioning. For these modules, provisioning must be initiated by the customer via the SAP for Me portal. When you're ready to begin the implementation of SAP SuccessFactors recruitment marketing, recruiting posting, workforce analytics, workforce planning, or learning management system, your cloud administrator can initiate the provisioning process. To do so, they simply need to log in to SAP for Me, navigate to the Systems and Provisioning dashboard, and follow the outline steps to submit the request. Once the request is submitted, you will begin receiving emails containing the login credentials for the respective tenants. Additionally, if you've purchased Solution Extensions for SAP SuccessFactors, you can access support and information through the Onboarding Resource Center. Click the link for your licensed Solution Extension to explore implementation guidance, product documentation, solution videos, and other helpful resources. Now that your SAP SuccessFactors solution has been activated and you've successfully logged in, the next step is to grant your implementation consultant access to the provisioning site so they can begin configuring your solution. Detailed instructions for this process can be found in the Provisioning Access Management Guide. Please note that provisioning access is strictly controlled and is only granted to individuals who have completed the required consultant-level training for the respective solution. To summarize, the provisioning of your SAP SuccessFactors solution is initiated once the contract is signed and all key communications are conducted primarily via email. The IT contact listed in your order form will serve as the primary recipient of all initial system generated emails. To avoid delays, please ensure that SAP sender domains are whitelisted within your organization, internal spam filters are not blocking our messages, and the correct contact details are listed in your order. Prompt action on these checks will help ensure a smooth provisioning process. Thank you for listening in.
