Administering Receipt Handling in SAP Concur

There are three primary components of Receipt Handling, receipt limits, payment hold, and scan configuration. You use the receipt limits tab to configure the list of receipts the user must submit with their expense reports. Select the Receipt Limits tab in Receipt Handling configuration. Select the receipt limit, name you wish to modify. Select Modify. In this example, we will modify our Image Requirements - US and we will add a condition for out-of-pocket cash. In the receipt limit, name enter "Cash". From the receipt type, drop down select if the user is required to attach a digital image, original paper which requires the paper copy to be attached by the receipt processor, or both. Select Image. You can select which administrative group can edit this rule. It's common practice to leave this as global. Then select which group this rule applies to. Select United States and deselect Global. Be sure the receipt limit is active. Select the Next button. Select Insert. From the select one drop down select Entry. Select Payment Type. Select Equal. Select Cash Out of Pocket. Select Save. To make a similar rule you can copy previously created rules. To copy, select the receipt limit you wish to mirror. In this example, we will select Image Requirements US Cash. Select Copy. Enter the receipt limit name. Select Next. Update the conditions that require change. In this example, we are updating the amount of the receipt limit from $25 to $75, and the payment type from cash out of pocket to company paid. Select Done. You can deactivate any unnecessary rules from outside of the receipt limit. Select the rule us no longer wish to apply then select Deactivate. You use the payment hold configurations tab to limit the number of expense reports that can be paid without receipts before the user goes on payment hold. Once a user crosses a predefined threshold all of the expense reports will be placed on hold until the required receipts are received. You will primarily use payment hold configurations when paper receipts are being collected to allow for any lag time between the processing of an expense report and the receipt of the associated receipts. There are three configuration options. Setting a specific number of reports that can be paid without receipts before their user goes on hold, setting a specific number of days grace period for the receipts to be received, or a combination of these two. When using the report limit without receipts option, you define a number of expense reports that can be paid without the required receipts. Once that number is reached, the user goes on payment hold until the receipts are received. For example, if you set this value to 2a, user can have two expense reports paid without receipts. However, all of that user's subsequent expense reports will be on hold regardless of the receipt status until the receipts for the first two expense reports are received. When using the receipts grace period days option, you define a number of days that an An expense report can be missing its required receipts. For example, if you set this value to 7, a user has 7 days to get their receipts submitted. When the 8th day occurs, all of that user's expense reports, regardless of the receipt status, are placed on hold until the receipts for the first expense report is received. For example, you can configure the system so that users have 7 days to get receipts in for 2 expense reports. We recommend that you use just one setting and that you leave blank the option you are not using. Like most configuration options, you can specify that a payment hold configuration is editable by and applies to different groups. This configuration will not apply to expense reports that are submitted prior to the effective date. You use the Scan Configurations tab to set alerts that appear to the receipt processor when processing receipts. Scanning configurations works only with paper receipts and requires a barcode scanner. You only use scan configurations if your users submit paper receipts and use the receipt report. This option allows you to configure alerts that appear to the receipt processor when they are scanning barcodes. If you set the receipt container ID required option to yes, the receipt processor must enter the receipt container ID when processing the receipt packet. The Receipt Container ID specifies where the receipt packet will be stored in your receipt filing. If you set the subject to VAT option to Yes, the receipt processor will be notified if any of the expenses on the associated expense report are subject to any VAT. If you set the Has Cash Advanced Return option to Yes, the receipt processor will be notified. If you enter values in the Exception Level At Least and the Exception Total At Least fields, the receipt processor will be notified if the expense report contains any exceptions over this predetermined value. You use the Contains Exception Code option to notify the receipt processor if the expense report contains specific exceptions. Thank you. This concludes the training video.
