Administering Travel Rule Classes in SAP Concur

You use the Travel Policy Administration feature to create a new class, enable rules, and clone rules to other classes. To access Travel Policy Administration, place your mouse pointer over Administration. Select Company Admin. Select Travel Policy Administrator. You use the Travel Policy Administration page to customize how your company's travel users can work with travel reservations. You use the Travel Policy tab to customize how your users interact with the Travel Wizard by managing classes and rules according to your travel policy. Each user is assigned to a Travel Rule class. The Travel Rule class controls how each user works with the Travel Wizard. To add a new Travel Rule class, select Edit Classes. Select Add New Rule class. Enter a Travel Class Name. Select the appropriate Travel and Property Config. Select Save. To modify a travel rule class, select the pencil icon. The travel class is now editable. Select the TripIt privacy drop-down arrow. TripIt users can link their TripIt account to Facebook, X, and other social media. Before sending to TripIt, we let the user choose whether the trip should be shared or private. The default is shared. You may override this setting so that the default is private ( but the user can still mark a trip as shared) or can force all trips to be private. Select the appropriate option. Select Save. Select Back to Travel Admin. After creating the travel class, you will enable Travel Rules. Select the Rule Class drop-down arrow. Select the appropriate Rule class. You enable rules in each category according to the company's travel policy. In the Choose Who Will Handle the Approval section, select the appropriate Approval Manager. To define the lowest logical fare threshold, select Flight (Edit). Select the appropriate Refundability option. Select the appropriate Has Contract option. Select the appropriate Number of Stops option. Select the appropriate Time Window option. Select the appropriate Airport option.  Select the appropriate Include Rail option. Select the Run Dedicated LLF (Lowest Limited Fare) Shop checkbox as needed. Select the Run Dedicated LLF Shop checkbox. Select a discount code for LLF Shop as needed. Select Save. Select Travel Itinerary (Edit). You can continue to enable rules under each category. In this example, you will see how to enable a rule in the Travel Itinerary category. Complete the options for the rule according to your company's policy. Select Save. There are two ways to clone rules across travel classes. Use the Clone Rules option to copy one or more rules from one travel class and add them to one or more different travel classes. Use the Save to Many to copy all rules from one travel class and replace all rules in one or more different travel classes. Select Clone Rules. Select the rule you want to clone. Select Apply. Select the travel classes where you want to copy the selected rule. Select Save. To use the Save to Many option, select Edit for the category that you want to copy. Select Save to Many. For this example, select Check All. Select the travel classes where you want to replace the rules. Select Save. The travel rules have been cloned to all the travel classes. This concludes the demo. Thank you for watching.
