Allocating Expenses in SAP Concur

Allocating Expenses  As you create an expense report, you can allocate your expenses to different projects or departments. In the following example, you will see how to allocate expenses between your Mid and Small Market cost centers. First, you will allocate your Office Supplies expense. From your expense report, select the expense you want to allocate, and then select Allocate. On the Allocate screen, you can allocate your expenses by Percent or Amount. In this example, you will allocate your Office Supplies expense between your Mid and Small Market cost centers by percentage. Verify that Percent is selected, and then select Add. Your company determines the field names and field types that appear on the New Allocation tab. First, enter the appropriate information for the Mid Market cost center, and then select Save. Next, you will add an expense line item to your Small Market Cost Center. Select Add, and then select the Cost Center field. Select 3020 Small Market, and then select Save. To adjust the percentages that you want to allocate between the Small and Mid Market cost centers, first change the percentage for the Small Market line item. Notice that the Mid Market line item automatically adjusts to equal 100%. To save the allocations and return to your expense report, select Save. The expense now displays as allocated. To view the allocation for the Office Supplies expense, select the Allocated link. The allocation details appear in a separate window. Select View Allocation if you want to modify the allocation or select X to close the window. In the next example, you will see how to allocate an expense by Amount between your Mid and Small Market cost centers. First, select the expense, and then on the Details tab, select Allocate. To assign the allocations by amount, select Amount, and then to add the Mid Market cost center line item to the expense, select Add. On the New Allocation tab, enter the appropriate information for the Mid Market cost center, and then select Save. To add the Small Market line item, select Add. Select the Cost Center, and then select 3020 Small Market. Select Save. Next, change the allocation for the Small Market cost center. Notice that the amount for the Mid Market cost center line item adjusts to equal the total expense amount. Select Save. After you have finished allocating your expenses, select Save Expense. Both expenses are now allocated, and you are ready to submit your report for approval.
