Analyzing Recurring Revenues Generated from Subscriptions in SAP Subscription Billing – PET 2026

Welcome everyone to the product expert session on analytics for recurring revenue SAP subscription billing. My name is Oliver Gass. I'm a product manager for subscription billing responsible for AI and analytics topics for those of you who are not familiar with the product SAP subscription billings is SAP's cloud solution to manage different aspects of a subscription business model most importantly to manage your subscriptions to price your subscription offerings to rate incoming usage and also to prepare billing data related to a subscription business model. SAP subscription billing tightly integrates into other apps of the lead to cash process. For example, we leverage solution order management to create subscription contracts, but we also leverage, for example, sales billing to do the final, the legally relevant billing and invoicing of subscription business models. Today, however, we are not talking about the operational process. The feature I want to introduce here is a new analytics app in SAP subscription billing, which allows you to track the recurring revenue of your subscription portfolio. Recurring revenue is a very important KPI in the industry to track the health of your subscription business. Hence, it's of other most importance to get real-time insights here to make the right decisions when needed. So our app allows you to analyze past, present, and future recurring revenue per month. In the industry, it's called monthly recurring revenue per quarter or per year in the industry called annual recurring revenue. Especially the first and the third are very important or very common KPIs in the industry. We also now calculate new insurance recurring revenue per month, quarter or year. We calculate the average recurring revenue per subscription and we allow end users to drill down into these KPIs for particular markets, subscription offerings, products and customers. And of course we show trends such as growth rates, between different base periods so growth between months to months quarter to quarter year to year and for any user defined time frame so without further ado i would now switch to a demo tenant and show you the new analytics dashboard live in the system so let's get to the live demo i'm now logged into our subscription billing tenant of our education landscape e0t so for those of you who have access you are able to retrace my steps and try yourself first i navigate to analytics i go to the subscription analytics app this app is not new but it has been enhanced so what loads first is an old analytics story that shows us the absolute number of active new expired canceled subscriptions gives you a nice overview of the number of subscribers and subscriptions you have in the systems but what it doesn't show here are monetary values, neither for single subscriptions nor subscription products, markets, or customers. We changed this. We added two new stories for recurring revenue. The first one shows you the totals. And these are huge stories, so they have to load a little bit. and the average recurring revenue per subscription. We have different filters to influence what we see here. First, we have the date range. The date range is the base for everything we calculate here. If you see a total recurring revenue of $21 million here, that applies to December 2025 to December 26. We can filter by market, product, or customer. And then, as I mentioned earlier, we actually provide three new KPIs, monthly recurring revenue, quarterly recurring revenue, and annual recurring revenue. We decided to show all three of them in one story. And to switch between the KPIs, we just changed the base period. So here it's set to month. This is the most information, so obviously it takes the longest to load. let's switch here to quarterly. I'm going to close this update. So now we see it calculated for a base period of a quarter. We see here the absolute recurring revenue numbers for the different quarters. We see also a trend and an average growth rate. Same applies here for the average recurring revenue per subscription. And then of course we can apply a filter here here, let's just select the cut group box and the cloud storage. They should give us meaningful values. And now you can compare how, for example, a cut group box tier performed from quarter to quarter. You can compare it to your offering cloud storage. and you see again the average deal size and how it changed from quarter to quarter. So now let's switch to the new insurance revenue story. I'm going to remove the product filter again to give us a little more information here. Basically the same concept. We have the numbers per quarter. We have a growth rate. We can compare between customers, products, and markets for new and churned recurring revenue. So the question now is, where is the data coming from? So in subscription billing, we have a concept called snapshots. So whenever you change something, when you create a subscription, you have your first snapshot with your prices, with your terms and so on. If you change something to the prices, for example, or the number of seats, you create a new snapshot that gets active at a particular date. And then when the subscription expired, there's also a last active or valid snapshot. So, we use the first snapshot and the activation date to calculate or count this revenue towards that quarter's new revenue. And the last snapshot, before the subscription expired, we use to count it towards the churned revenue of a particular quarter. In between, it's possible there are multiple snapshots. Unfortunately, we don't track the revenue of those and the changes in between these different snapshots at the granularity that would allow us to actually track the history of absolute recurring revenue for one subscription over quarter to quarter. So basically, that means we can tell you what new recurring revenue occurred and we can tell you what current recurring revenue happened. But unfortunately, we cannot tell you in between you have new recurring revenue to an upsell or a downsell or the change in subscription parameters because we don't track, let's say, the business reason for a new snapshot currently. Small limitation. However, compared to what we had before, just absolute numbers, I think this provides some value. Now we get real -time financial numbers, and that hopefully helps you to steer your subscription business more efficiently. So that concludes my demo. I hope it was interesting for you.
