Approving Travel Requests in SAP Concur

Approving Travel Requests As a request approver,  you can view and approve a travel request before an employee incurs their travel expenses. In the following examples, you will see how to review, send back, add an additional approver, and approve travel requests. To begin, from the SAP Concur home page, in the Required Approvals pane, select Authorization Requests. On the Request screen, select the Limit results to dropdown arrow. You can view all requests pending your approval or requests you approved this month, quarter, or year. For this example, select Requests Pending your Approval. As an approver, you will review the details of the expected expenses and any attached documents before approving the request. Note that you must approve same-day travel (within 24 hours of trip departure) within 20 minutes, or the reservation will be canceled. Let's review the request detail options. options. Select the Request Details dropdown arrow. From the Request Details menu, you can view the Request Header, Request Timeline, Audit Trail, Linked Add-ons, or request. For this example, you will return the request to the employee because it does not conform to company policy. To continue, select the More Actions drop-down arrow... and then select Send Back to Employee. In the Send Back to Employee window, you are required to enter a comment to explain the reason for returning the request. For this example, enter a Reason for Sending Back the Request... and then select Send Back. Next, you will see how to review attached documents for a request. On the Approvals screen, select the Request Name. If the request has any attached documents, an icon displays next to the Attachments menu. Select the Attachments dropdown arrow. From this menu, you can View Documents attached to this request or Attach Documents. Next, you will see how to add an additional approver to the request. Select the More Actions dropdown arrow... and then select Edit Approval Flow. In the Edit Approval Flow window, you can add an approval step for this request. Select Add Step. The default search filter for an additional approver is by Last Name. You can also filter by First Name, Email Address, or Login ID. Enter your search criteria... and then select User Added Approver. You can add additional approval steps as needed. When you are done adding approval steps, select Save... and then select Approve. In the Confirm window, select Yes to approve the request. The request is approved and will no longer appear in your approval queue. Note that as an approver, you can also approve requests from the SAP Concur mobile application.
