Auto-Activating Work Orders in SAP Fieldglass

Did you know you can automate the work order activation step and SAP Fieldglass? In a standard contingent procurement workflow, a supplier submits a worker to the buyer. The buyer selects that worker and creates a work order for the supplier to review. When the supplier accepts the terms of the work order, the buyer activates the work order, triggering an invitation to the worker to register an SAP Fieldglass, which would begin the workers tenure with the organization. However, a function in SAP Fieldglass can save you the step of having to manually activate a work order. Auto-activate eliminates the need to manually activate a work order by triggering activation when a supplier has accepted it, and any dependent activity items, such as onboarding actions, have been completed. For example, let's say that the supplier submits Tina to you as a contingent hire to help in your organization's accounts payable department. You think Tina would be a great hire so you select her. By selecting Tina in SAP Fieldglass, you trigger the creation of a work order. When the supplier accepts it, the invitation to register in the application automatically goes out to Tina. There's no need for you to go back to the work order and activate it manually. The auto-activation functionality must be enabled in your company configuration. If it isn't, contact the SAP feel less support team to have it enabled. When the company configuration is complete, you will need to update the relevant job posting templates and select the work order rule 'Auto-activate work order (for temp only).' This rule does not have to be used in all job posting templates, but if you have several templates to update, this can be done via a job posting template upload. The system will automatically activate work orders when the rule is enabled in the job posting template settings. Unlike other automated activities and SAP Fieldglass, Auto-activation cannot be changed when creating a job posting. Auto-activation is also available for services by selecting the 'Auto activate SOW worker' rule in the SOW Worker Rule section of the SOW template. Depending upon your organization services workflow, the setting will automatically activate the work order, either when the supplier adds the worker to the SOW, or when the buyer approves the worker. The auto-activation functionality of SAP Fieldglass can streamline the process of creating work orders for new workers. But be sure it's an appropriate option for your organization before enabling it on a job posting.
