Automating Intercompany Reconciliation with Machine Learning (Technical Users) - SAP S/4HANA Finance

Welcome to the micro learning session detailing how to set up machine learning technology for automating the intercompany reconciliation. My name is Swati Balani and I am from the SAP Swohana Product Success Co-innovation and Content team at SAP Labs India. This is the agenda for today. We will see intercompany reconciliation automation using machine learning and we'll see how to set up the machine learning, how to train the machine, and we'll see the inference phase. SAP S4HANA Cloud would send the unmatched documents to the machine for line item matching and reason code assignment. And the match document proposal will be sent back to the SAP S4HANA Cloud system for further consolidation and group reporting. Let us see in detail how to set up and how to train the machine, and then how to use the inference. For the setup phase, the role needed is that of the administrator. We need to provision the ICR service in SAP BTP at step one. Next, within the SAP S4 HANA Cloud, we need to activate the scope item 4LG for machine learning. Next, we need to establish the communication in SAP S4 HANA Cloud to set up the connection between the SAP S4 HANA Cloud and the SAP BTP system for the ICR service. And we also do a small configuration in SAP S4 HANA Cloud to enable the machine learning. So let us see more in detail now. As step one for setup, we need to provision the ICR service, for which we need to create a new subaccount and then assign the service and then create an instance. So let us see in system how this looks like. So we are in the SAP BTP cockpit, and we click on New subaccount. Then we click, and we put the display name and the details, like the region, the subdomain, you can put the name, and we click on Create. So once we see the subaccount, we can go and we can enable the Cloud Foundry. Here we click on Create, and thus, the Cloud Foundry is enabled. Next, we click on Create Space and enter the space name. The subaccount is created, and we will assign a service. We click on Add Service Plans, and we add the intelligent intercompany reconciliation service to the subaccount. And then we save it. Now we see the service is added to the subaccount. Next, we click on Create Instance and Subscriptions. Now we will create an instance, and we enter the service name, the intelligent reconciliations in the company service, and then we enter the instance name. Then we review it and we create it. Now you will see creation is in progress for the instance. Once the instance is created, create the service keys. We enter the service key name here, And we click on Create. Now we can view the service credentials, the JSON file. We can download this file as we will need these details for creating the communication arrangement. Next, we will log into the SAP S4 HANA Cloud system as an administrator. And we click on Communication Systems. We click on New and create a new communication system. We enter the details from the JSON file that we downloaded from the BTP. We enter the host name and the system URL details for the BTP ICR service, the authentication endpoints, the token endpoint. Next, we add users for the communication. We enter the client ID from the file from BTP. So we enter the credentials here from the file into the communication system in SAP S4 HANA Cloud. Next, we save these details for the communication system. Now we'll see how to create the communication arrangement. So for the communication arrangement, we will go to the Fiori app, and we'll search for 0553 communication, which is the scenario for the machine learning service. Now we give the name here, the ICR arrangement. And we click on Save. We enter the details, the client ID. We can check the connection here. Next, we'll see how to enable the machine learning for a matching method. And for this, we need to log in with the role of PPC expert. We can go to the intercompany settings under the closing operation. and we can configure the additional settings for matching methods, select the matching method, and enable machine learning. If you're using CBC, then these steps should be performed through the CBC system. So this was a short demo on how to do the setup for the machine learning on the SAP PTP system and on the SAP S4 HANA Cloud system. Next, we will see how to train the machine. Now, for training the machine, we need to log in with the role of Rekon Accountant in the SAP S Bohana Cloud System. And then we will click on the Tile Schedule Training Jobs. So we get a ready-made predefined job here that says Machine Learning Training for Inter-Company Matching. So here you see we get the option to schedule the job. We can select the date and the time for the job. And then we can click on the parameters and enter the parameters here, the matching method, the company, the year, and the period. So we have taken the past period and year so that the machine is trained with the past data. Next, we click on the Schedule button, and we schedule this machine learning training job. So now we will check the training status in the machine learning monitor. So right now, it says it is initiated, and it is training. Next, we will log out and log in as an analytics specialist in the SAP S4 HANA Cloud system. And we do this to activate and deploy the machine learning model. So we are in the ICR service here. So we go to the Intelligent Scenario Management Fiori app. And we go to the ICR service. Once the status is completed, click on the Deploy button and deploy this. We can see the accuracy and once the status is deployed, we can activate this ICR service for all users. So as now we see that this is activated. Now we'll see how to set up the inference job. We're logged in with the recon accountant rule and we click on manage assignments. We select the machine learning matching method and we can see the inter-company accounting documents for both partner unit and the leading unit. We see a button which says Auto-match with machine learning. And with a single click to this button, the inter-company accounting documents get matched. And this status can be seen in the monitor for machine learning. And once it is complete, and then we can get back to the Manage Assignments app and click on Check Results. 5,000 assignments for matching is completed and we get the reason code. We can also schedule the inference jobs. Again, we get a ready-made predefined template for scheduling the inference job. We can set up the time and parameters, like the period, year, and the matching method, schedule it for the background run. So these are the key learnings. We saw the setup phase, the training phase, and the inference phase. And we saw how to set up the machine learning service on SAP BTP, and how to do the setup in the SAP Swahana Cloud system for the communication arrangement and the connections. And we also see how the business users can execute the inference jobs for the AutoMatch. So these are the links for further learning. So thanks for attending this session and for your interest.
