Configuring a Maintenance Plan - SAP Service Cloud

Hello, my name is Max and welcome to Configuring a Maintenance Plan. In this video, I’ll show you how to enable and create a basic maintenance and service plan, and plan runs,  in SAP Service Cloud.  Maintenance plans help a service organization by executing preventive maintenance scenarios that were stipulated in the original service contract. It does this by automatically creating work tickets based on the defined maintenance schedule for the covered maintenance items.  The maintenance plan provides more than just preventive maintenance support.  You can also schedule a regular service, when customers call in. Define conditions and specific parameters for when you set up a maintenance plan. Work tickets are generated automatically if it meets the pre-defined conditions set in the maintenance plan. Let’s look at a scenario. Aspen Bikes sold several bikes to a The Pedal House, a bike rental agency. .  The Pedal House has opted to purchase a regular maintenance plan.  Every month an Aspen Bikes service tech will visit the Pedal House to perform regular maintenance on these bikes. I’ll enable this function by performing three steps. First, I’ll use the scoping feature to enable the maintenance plan feature. Next, I’ll configure a maintenance plan run and set up a schedule. And finally, I’ll set up and activate the maintenance plan itself. I will log into the system as an administrator. I’ll click on Business Configuration, then select Implementation Projects.  I’ll highlight First Implementation and select Edit Project Scope.  Now I’ll navigate to the Scoping section. Here, under Service, Entitlement Management, Maintenance Plan, I’ll make sure that the scoping Element checkbox is enabled. Continuing to the questions section, I’ll open the same element and review the business options. I’ll Select the question “Do you want to Create Maintenance Plan without any conditions?" Now I can save the implementation. The next step is to schedule maintenance plan runs in the system, to define when the system checks maintenance plans and generates work tickets for items requiring maintenance. Here’s how we’ll do this.  In the Administrator work center, under Service and Social, I’ll go to the Measurements and Maintenance section. I’ll click Configure Maintenance Plan Runs. Now, I’ll click New, then “New Mass Data Run Object Template Run” to create a new plan run. I’ll enter the relevant details and click “Save”.  Scheduling can be done only for active plan runs. To activate the run, I’ll click Set to Active. Now I can click Schedule. A new screen appears, which lets me define the running frequency.  I’ll choose Recurrence, then Monthly. I’ll define the start and end time, then click Save and Close. Now, let’s create the maintenance plan. I’ll return to the main page and, from the Installed Base menu, I’ll select the Maintenance Plans workcenter. I’ll click the plus sign on the toolbar to create the new plan.  I’ll give it a name, set the schedule type to Cyclical, and the condition to Time Based.  I’ll then click Save and Open. On the Plan Definition facet, I can add conditions to the maintenance plan.  I’ll expand the plan details, and select the plan I just created.  This ensures this plan is run automatically once a month. Next, I’ll define the condition by clicking Add Group in the lower pane. I’ll set the value to one month. In the Ticket Template facet, I can enter the details that will be communicated to the service tech in the ticket generated by the maintenance plan. Let’s set the ticket type to Service Request, the priority to normal, and set the subject field to “Regular rental bike maintenance." Now, let’s choose the items covered by the maintenance plan.  These have to be registered products, so let’s add two bikes that are currently registered to the Pedal House.  Now, it’s time to activate the maintenance plan.  From the Actions menu, I’ll select Activate.  Now, I can simulate a maintenance run. From the Actions menu, I’ll select Simulate Run.  The dialog box shows me a list of work tickets that would have been generated.  If the plan runs successfully, and tickets are created, you can view these tickets in the Related Tickets facet.  For more information on SAP Service Cloud visit openSAP Microlearning.
