Configuring Email Reminders in SAP Concur

During this video, you will see how to use the Email Reminders feature to create emails that users receive to remind them to take certain actions. Examples include reminders about old credit card charges and expense reports that are awaiting approval. Select Email Reminders. There are two parts to an Email Reminder. The first part is a rule, which determines when the reminder is sent. The second part is the email content. Select the Rules tab, For this example, you will create an email reminder for unsubmitted reports older than 14 days. Select New. Enter a Name for this email reminder rule. Select the Reminder Type drop-down arrow. The Reminder Type determines which data fields are available to evaluate in the rule. You will also use this information later to help link the rule to an email reminder. Select the appropriate option. Select the Editable By drop-down arrow. Like most configurations if you have group administrators you can configure this item to be editable by one or more of those group administrators. The default group is asterisk global. Select Next. On the conditions page you define the criteria that must be true for the system to send an email to the user the process is very similar to building an audit rule or a receipt limit rule, select the data object drop-down arrow. The data object choices are determined by the reminder type that you selected during the previous step. The item that you select here will determine the data fields that are available to evaluate in the rule. Select the appropriate option. The Select Field section lists the fields that pertain to the data object selected. Select Approval Status. Select Equal. Select Not Submitted. You will add another condition so that only unsubmitted expense reports that the user created over 14 days ago will generate an email. Select Insert. Select the appropriate data object. Select Creation Date. Select Not Within Today -. Enter the number of days. Select Done. Once you have created the rule, you will create the Email Reminder. Select the Email Reminders tab. Select New. Complete the required fields, marked with red bars, and necessary optional fields to create the Email Reminder. Enter a Name. Select the Reminder Type drop-down arrow. Select the appropriate option. Select the Include Unsubmitted drop-down arrow. Select Yes. Select the reminder rule drop-down arrow. Select the reminder rule that you just created. Select the frequency drop-down arrow. Select the appropriate frequency. The frequency determines how often an email is sent once a user is in violation of the rule. You can use replacement tokens to include system data in the email subject. Enter the Email Subject. The email message will appear in the body of the system-generated email. You can use replacement tokens to include system data in the email message. Enter the email message. Select the Copy to Approver drop-down arrow. Select whether or not you want the system to copy (CC) the user's approver on this email. Select the appropriate option. You can optionally enter a specific email address to CC this email. For the Editable By field, the default group is already selected. Add additional groups as needed. Scroll down to continue. Select the applies to drop-down arrow. Select the appropriate option(s). Select the Active drop-down arrow. Select Yes. Select Save. The email reminder is now active. You can use the modify, copy, or remove buttons as needed. This concludes the demo.
