Today, we're unlocking a powerful feature in SAP Cloud ERP, configuration set up to control triggering output during purchase order modifications. Let's make your purchase order modifications smarter and faster. In just a few minutes, you'll discover what this feature is all about. A live system demo to see it in action. I'm thrilled to guide you through this feature that brings flexibility and agility to purchase order modifications. Let's talk about a powerful feature in SAP Cloud ERP, output control. Recently, we came across a scenario where a customer wanted to control the frequency of outgoing emails based on certain conditions. Why is this important? Because unnecessary email triggers can create noise, overwhelm recipients, and even lead to compliance issues. With output control, you can easily configure rules to ensure that emails are sent only when they're truly needed. This means your communication stays relevant, timely and efficient. Now, hybris something to keep in mind. Only users with the business catalog SAPBR BPC expert are authorized to make changes to these output control settings. This ensures proper governance and security. In short, this feature helps you streamline communication, reduce clutter and maintain control over automated outputs all based on pre-configured conditions that fit your business needs. Now, let's see a short demo of how this feature works. Welcome to the demonstration. In this section, we'll walk through the process step by step to ensure clarity and ease of understanding. Before we begin, please ensure that you have access to the required business catalog mentioned earlier in this training. This catalog is essential for making the changes successfully. As you can see, I'm now logged into the demo system. I have the necessary permissions granted through the business catalog, which enables me to perform the actions demonstrated in this session. To begin the configuration process, navigate to Manage your solution. Next select Configure your solution. Within the configuration screen, choose the application area Sourcing and Procurement. Then, under the sub-Application area, select General Settings. Here you'll find a list of configuration items. From this list, select Output Control to proceed. Once inside the Output Control section, you'll see a list of configuration steps related to Output Settings. For this demonstration, we'll focus on the step titled, Fields Relevant to Print Out of changes. Click on Configure to begin. After the configuration form loads, you will notice several tabs and fields available for editing. These fields correspond to elements within a purchase order and can be customized as needed. Within the configuration form, you find a column labeled as B. Here you can define how changes to specific fields will affect the output trigger. For example, if you want to prevent the output from being triggered when the city name field is modified, simply uncheck the corresponding box. This disables the output response for that particular field. If you want the system to trigger an output based on changes made to a specific field, such as the postal code in a purchase order, simply check the box next to that field in column P. In the same way, you can check or uncheck any field in column P. Your selections will determine whether a change in that field will activate the output trigger. Once you've completed all necessary changes, click on Save to apply your configuration. Now that the changes have been saved, let's return to the previous screen. Navigate back to the output control form to verify that your updates have been saved correctly. As seen, the changes have been successfully applied. The output behavior will now respond according to the configuration settings whenever modifications are made to the purchase order. This concludes the demonstration.
