Configuring Situation Handling for Maintenance Task Lists in SAP S/4HANA Asset Management

Welcome! In this microlearning, you will see how to configure situation handling for maintenance task lists using pre-delivered templates. Situation handling allows you to automatically inform the right users about something that has occurred to a situation object. For example, users can be informed automatically when a maintenance task list is created or updated. The users are proactively informed about the situation. This helps the users take any necessary action immediately. In maintenance management, the Extended Situation Handling Framework is used. The Extended Framework offers three new configuration apps: Manage Situation Objects, Manage Situation Scenarios and Manage Situation Types Extended. It also contains an enhanced end-user app, My Situations Extended, and a Situation Handling Demo app. A situation object is the model of a business object. It connects business application artifacts to enable situation handling. This includes CDS views, value helps, events, navigation targets, and actions. For task lists, EAM_MAINT_TASK_LIST situation object is the pre-delivered one. A situation scenario is the technical description of a business scenario and provides the foundation for defining multiple use cases in the form of situation templates, which serve as blueprints for situation types. EAM_MAINT_TASK_LIST_PROCESSING -situation-scenario is created for maintenance task lists by SAP. Manage Situation Type's extended app is used to create situation templates and types that can be used in the extended framework for situation handling to inform end users about issues requiring their attention. The Situation Template EAM_MAINTENANCE_TASK_LIST allows you to create situation types that can trigger situations when a maintenance task list is created or changed. From the Situation Instance Details, you can navigate to the related app Find Maintenance Task List to view details of the Task List. In this example, we will click on the Create button and choose Create Situation Type. Please input the required ID, name, and description. and select the EAM_MAINT_TASK_LIST_PROCESSING sitation scenario Finally, select the EAM_MAINTENANCE_TASK_LIST situation template from the list and click on the Create button. Make sure to set the status to Enabled to use the situation type. For the batch job scheduling, please add a start time. Click on Add and input the required start time. In the Situation Trigger section, if you click on the Maintenance Task List trigger, you can refine the filter's conditions to your specific needs. The template is delivered with the filter task list status equals to created one. If the value help usage brings up a warning message, then the I_EAMSituationHandlingVH gateway service is not activated. Please make sure that it is activated in your system. In the other sections, you can define the situation display, the notifications lifecycle, and the actions. In this example, we won't make any modifications to these. For more information about these sections, you can visit the SAP Help Portal's Manage Situation Types Extended page. As a last step, you need to go back and maintain the recipient section of the situation type. Situation handling uses responsibility management to determine the users that are responsible for a situation. When you create a situation type in the recipient section, there are two basic options for defining these users. Responsibility by Teams, which determines the users with the help of a team category. Responsibility Rules, which determines the users with a body business logic. In our demonstration, we will use the Responsibility by Teams option, so we need to delete the pre-delivered maintenance task list rule template. For the system, to be able to determine recipients using the Responsibility by Teams option, some prerequisites have to be fulfilled. You need at least one team for the team category. You need to have users assigned to the team under Team Members. You need to enable the team. You can perform all these required actions by directly using Create Team or View Teams to navigate to the Manage Teams and Responsibilities app. For detailed information about teams and responsibilities, you can check out the following video on learning.sap.com. With this final step, our Situation Type setup is complete, and we can click on the Create button and start testing it out. After creating and saving a task list that matches our filters defined earlier, for testing purposes, we can manually trigger the batch job via the Manage Situation Types Extended app. With the Trigger Batch option in the header section of the Situation Type object page, you can immediately start the batch process for batch -based situation types. As soon as the batch job is finished, you can see the new instances in the Situation Instances list that you access with the manage instances you may need to refresh the table view before you can see the new instances created by the batch job. After this action you immediately receive a Fiori notification please note that situation handling uses the SAP Fiori Notifications framework for displaying notifications for business situations in the SAP Fiori Launchpad. Make sure that the configuration is correctly maintained to receive notifications. If you still face any issues of receiving notifications, you can follow this blog post to get more insight and troubleshoot your issue. If you click on the notification to view details of the situation, then you are taken to the My Situations extended app. Here you can immediately take action and find the created task list. In the app, you can display all situations in your area of responsibility based on the extended framework for situation handling. From the overview table you can go to the situation page where context information and related actions help you solve the situation. You can use this app to get an overview of the situations in your area of responsibility. See which situations are still open and which have already been assigned to a processor. Display the situations for a specific situation scenario. In our example we can find and open the related task list that was just created. Thank you for watching this microlearning video.
