Controlling SAP Fiori Launchpad Features by Role

Welcome to Controlling SAP Fiori Launchpad Features by Role for SAP S/4HANA Cloud Private Edition and SAP S/4HANA. You will learn why you might need to control launchpad features by role, checks to do before you start, and some prerequisites. You'll see a demonstration of how to set role-based configuration parameters and role-based Launchpad plugins, and you will learn why there are two different techniques. You will learn how to transport your role-based settings, get some key takeaways and leave with some resources worth knowing. SAP Fiori Launchpad provides many useful features, and each release adds new features. You might want to control these features by role. For example, you might want to explore new features with pilot users, roll out features gradually across your organization, or control who can use advanced features that have additional prerequisites. You can also use role -based features to adjust the default visual appearance and behaviors per role. There are two sorts of features that you can control, built-in features and integrated features. You can control built-in launchpad features with Role Profiles. Built-in launchpad features includes the System Information Bar, the default Theme, personalization settings, and many more. You can control integrated features using role-based Launchpad Plug-ins. For example, control who can access the Joule icon, WalkMe tutorials, Microsoft Teams collaboration, and so on. Before you start, make sure your Fiori launchpad is active and working, that you've activated one or more business roles, that you're on S/4HANA release 2025 or higher, and that you've configured your launchpad features and plugins centrally for all users to the default experience that you want. You can verify your central feature settings using the transaction /UI2/FLP_SYS_CONF for system -wide settings and /UI2/FLP_CUS_CONF for client-specific settings. You can use transaction /UI2/FLP_CONF_DEF if you need to review plug-in definitions and their associated property values. Here are the prerequisites for controlling launchpad features by role. For built-in launchpad features, you maintain the role profiles with the Launchpad Settings Profiles transaction /UI2/FLP_PROF_CONF. You'll also need the Role Maintenance transaction PFCG to assign your role profiles to your selected business roles. For integrated launchpad features, there are additional steps so you can fine-tune integration parameters if needed. First, you'll need the launchpad plug-in settings transaction /UI2/FLP_CUS_PICONF to set the plug-in to role-based. Then using the Launchpad App Manager, you need to create a Launchpad App Descriptor Item, also known as a LADI, of type Plug-in. You reference the LADI into a business catalog and assign the business catalog to the role using the Launchpad Content Manager. You adjust any authorizations needed for the plug-in using the role maintenance transaction. I am logged into my SAP Fiori launchpad with some business roles activated. You can see the role-based space tabs. Some in-built features and integrated features have been configured centrally for all users. Above the launchpad, a system information bar shows the system id and client. Search has been defaulted to Apps. A help icon opens an integrated feature to an online help site.  Most in-built and integrated features are found in the Shell bar, My Home page, or the User Actions menu. To adjust the in-built features for a role, I start by creating a Role Profile in the Launchpad Role Profile transaction. Here i have created two role profiles.  I give each profile an id and a description that explains its purpose.  For the role profile, I define the profile properties. These profile properties set launchpad configuration parameters for the role profile. I can set role profile properties for any launchpad configuration parameters available for my S/4HANA release.  Next I need to assign the role profile to the role in the role maintenance transaction. I go to the Authorizations tab to change the authorization data. I insert the Authorization Object S_SUIPRFU. For example, I could do that using the Add Manually option by entering the authorization object id S_SUIPRFU. Then in the Authorization Fields of S_SUIPRFU, I select my role profile to assign it to authorization field SUI_PRF_ID. For the field ACTVT there is only one activity: Display. I generate my role authorizations to apply the authorization changes. On the User tab, I check that the role is assigned to the correct users. If needed, I run the User Comparison. As soon as the user refreshes their web browser, the changes are applied as delta changes to the default settings for all users. Now let's see how to configure role-based plug-ins. In the launchpad plug-in settings transaction /UI2/FLP_CUS_PICONF i can view my active plug-ins. Plug-ins can be activated for all users , role-based,  or they can be disabled. First i need to find the plug-in id from the SAP documentation. The plug-in for Joule is DAS_WEBCLIENT_PLUGIN. Then I set the plug-in to Active (role-based). I can review the URL to call the plug-in. I can even maintain parameters for the plug-ins, if the plug-in supports parameters. To assign the plug-in to the role, I need to create a Launchpad App Descriptor Item, also known as a LADI, to define how the plug-in will be applied to the launchpad content. I create the LADI in a Technical Catalog in the Launchpad Application Manager. The LADI needs to be defined as type: Plug-in.   For Joule, SAP provides a LADI for you. You can review this LADI of type plug-in in the technical catalog SAP_TC_FLP_COMMON. Let's see what is in the LADI definition of the plug-in. You can see that it has the Semantic Object Shell  and Action plugin. This means the plug-in will be applied to the launchpad shell. It has a Fiori ID and a matching transaction code for support and usage tracking. You can also see the launchpad plug-in ID matches the entry in the Launchpad Plug-in Settings transaction. For your own role-based plug-ins, you may need to create a LADI from scratch. You will need to place the LADI in a custom technical catalog of type: Standard Catalog. You create a new Technical Catalog on the tab Technical Catalogs, using the action New Standard Catalog. Once created, open your technical catalog to maintain the LADIs within it. Within your Technical Catalog, you create a LADI by selecting the option Add App and selecting the type Plugin. The type presets some of the fields in the LADI. You need to add the plug-in ID. You can use the value help on the Launchpad Plug-in ID field to find the available plug-in IDs from the Launchpad Plug-in Settings transaction. You must give your LADI a description. You should also assign a custom Fiori ID and matching transaction for your plug-in for support and usage tracking. You can create the transaction using the link Click for Creation, near the Transaction Code field. Like any other launchpad content, you now need to include the launchpad app descriptor item of type plugin as part of the user's business role. In the Launchpad Content Manager, you reference your LADI into a custom Business Catalog, for example on the Catalogs tab, find your business catalog and select it. Then use the option Add Tiles/Target Mappings to Selected Catalog to add the reference to your LADI. You can search for your LADI by name or transaction id. Select the LADI and add the reference to your business catalog.  Next you need to check the custom business catalog is assigned to your custom business role. You can Show Usage in Roles on the Catalogs tab.  If needed, you can use Assign Role to select your custom business role, to add your custom business catalog to your custom business role. When you view the role in Role Maintenance transaction PFCG, you will see the catalog listed on the Menu tab. In the Applications tab, you will see the transaction code you assigned to the plug-in. Use the Authorizations tab to adjust the authorizations. Check the user is assigned on the User tab and you are ready to test. When the user refreshes their web browser, the new feature is applied. For this example, you can see Joule icon now only appears if the user is assigned the Joule role. You can transport your role-based settings using Manual Transport. Manual Transport lets you choose which settings you want to transport. The process is the same for both the role profiles or plug-in launchpad settings configuration transactions. Select the mode Transport from the menu. Provide your Transport Request number, select the entry you want to transport, press Include in Request, and then Save to update your transport request. You should transport the request before you transport related catalog and roles that reference the settings. In summary, Launchpad features and Launchpad plug-ins are controlled centrally for your SAP Fiori launchpad. You can make delta adjustments for roles by applying a role profile for in-built launchpad features. To adjust integrated launchpad features, you define a Launchpad App Descriptor Item for the related plug-in, apply it to the role, and set the plug-in to Active (role-based). You can transport your configurations for role profiles and role-based plug-in settings using Manual Transport. For more assistance on these techniques, refer to SAP Fiori Launchpad Administration Guide for your release, available in the SAP Help website.
