Creating Approvals for Contract Amounts in SAP Ariba Contracts

Approvals are one of the main features of a contract workspace lifecycle. They are not typically created manually within the project by the end user. Rather, administrators set these at the template level so that company practices can be applied to Ariba projects across the site. If needed, project owners can add additional approvers or reviewers, but they cannot remove anything that is set from the template. This video demonstrates how administrators can use the Approval Rule Editor to set up approval flows to trigger automatically and how conditions and other advanced rule features can be used to enforce a company's contract review workflows. We will create an approval task for the contract amount. This is the view of a procurement contract workspace and we want to create an approval task for the entire workspace based on the contract amount. We select the Approval option under the Task Creation menu. Since we are within a template, there are more features in the approval task like Allow Auto-approval or Repeat for Each Document Draft which are helpful in some scenarios. More information on these features can be found in our documentation. What we will look at closer is the Approval Rule Editor where nodes, conditions, and actions are set up. The first section is a graph with each node which is a box for each potential approver. Keep in mind that there might be a condition applied to that approval node so the approver is not always a constant. We can add more nodes for multiple approval options and set the location and title. Once a node is selected, you can then edit its attributes below. The first attribute is our Rule Title and Description. We will set a rule where an approver would only trigger when the contract amount is greater than 1000. We need a rule title and specify an approver within the Action section at a minimum, as asterisks indicate what is required. Since the Action drop -down has Group, we will add the system group Budget Approver. We enter some text in the Reason. It will be visible on the submitted document's approval graph as a help text stating why the approver was added. The checkbox approval required determines if the group is an Approver or a Watcher. If the approver is a group that all users in group have to approve, checkbox indicates if all or one must physically approve. We can change the action drop down to something other than group, but this may change the parameters below depending on selection. When building out an approval flow, it is not required to specify a condition, but it is very helpful for pulling in dynamic approvers based on field values. Now let's create the budget approver rule. We go into Reference to Condition and Create Condition. We add a title and then build out the strings based on field values. We choose Field Match within the arrow and this taps us into the fields on the contract workspace class where we see standard and custom fields. We find the Contract Amount field and because it is an amount type we select the operator list. We choose greater than or equal to and then specify the amount is 1,000. The final step that administrators want to ensure is that they like the placement of their new approval task in the overall setup of the template in the task flow. Lastly, it's a good idea to run a test project and check the document's task approval flow is working properly before publishing the template. This test is a template functionality where you can check that conditions are working well to your expectations. Once we create the test, we go into my task and see that ours is working since our Budget Approver group is visible. This concludes our video on building approval rules for contract amounts.
