Creating Event Content via Microsoft Excel in SAP Ariba Sourcing

Commodity managers and buyers often create the same type of event. To streamline the process and recycle content, or if they simply prefer to work offline, event owners can use Microsoft Excel to create sections, questions, lots and items, or to add participants. This video will demonstrate how to import content into a brand new RFP event. A request for proposal has already been created. The event rules and team members have been copied from the template the RFP is based on. but the event does not have any participants or any content. This information will be added via Microsoft Excel. On the content step, we notice three sections, Introduction, Commercial Terms, and Pricing. These have been copied from the template to give buyers an idea of the structure the event should have. For other events, depending on the template configuration, there might be more content or none at all. To add new content we click Excel Import. The easiest way to start is by opening the RFP in an Excel spreadsheet, but first we have to select the data we plan to work on offline. In our case, content and participants have to be checked. First, we click to open the event in Excel and save the file on the desktop. We then select the saved file and open it. First, we should take a few moments to familiarize ourselves with the design instructions tab. Here we find information on how to correctly fill in the spreadsheet to avoid system errors when importing. For example, the header and help rows should never be deleted. The same applies to all columns that are marked as required. The Content tab is where we enter all non-pricing related content, such as sections, questions or requirements. Notice that the three sections coming from the template are available here. we can keep them, or, if they're not relevant for this particular event, we can delete them. On the Pricing tab, we add all lots and line items suppliers must provide a price on, while the next tab hosts the pricing terms. The following tabs are used to add content conditions, event participants, and any participant-specific content we might have. For the purposes of this video, we have already filled in the spreadsheet. On the Content tab, we have different sections and questions. Please keep in mind that all columns marked with an asterisk, such as number, name, and answer type, must be filled in. Also, beware that when you are creating your own event, additional columns might be required. On the Pricing tab, we see a total of four items. For this type of information, it is required to enter value in columns such as quantity, unit of measure, and historic price. Listed under terms, we have common parameters such as quantity or extended price. Depending on the type of event, you might also see terms such as total cost, shipping costs, or tax. We do not have any conditions in the event, so we move on to the participants' specific tabs. We have three invited suppliers. If we look at the next tab, which is the item participants, we notice they have been invited to all four of the items. And also, we have entered specific values for each of the participants for the items. It is now time to import the Excel spreadsheet into the RFP. So we go to the Ariba dashboard, we click on the event, then we go to Content, and then to Excel import. On this step, we will choose to replace event content so that we can replace the event content copied from the template with the spreadsheet information. and we choose File, we select the spreadsheet we were working on, open it, and then as the final step we will click the Import button. And here we have our content that we initially had in the spreadsheet and now it is available in the event itself.
