Creating New Users within SAP Ariba Strategic Sourcing

This video will help customer administrators within SAP Ariba Strategic Sourcing create new users. Administrators can either mass import their users using a comma separated value file or create them one at a time in the user interface. We will start by creating a single user within the site by going to Manage, Core Administration, User Manager, and Users. The site we are working in is suite-integrated, so user data is in core administration rather than administration. The Create User option drafts a user profile and requires input in three areas, the General tab, the Invitation tab, and the Groups tab. On the General tab, the required fields are indicated by a red asterisk. The required fields to create a user include Defined By, User ID, Name, Organization, Business Email Address, and Supervisor. Defined by is set during a user's initial creation and specifies the adapter source as AribaManaged, External, or ManuallyMaintained. Ariba-managed means that the user is maintained in the SAP Ariba Administrator. External means that the user and their data fields are maintained in an external system, such as an ERP system or a set of CSV files. Manually maintained means that the source of the object is an external system. Like the defined by field, a user's user ID cannot be edited after creation. The user ID is the unique internal identifier for the user. The name is the display name for the user. For internal users or enterprise users, the organization field will default to the name of your site. The user's business email address is also required and used to validate the user and initiate the site invitation email. If the user does not belong to the No Supervisor system group, the user will require a specified supervisor. On the Invitation tab, if the user is authenticated in the SAP Ariba Procurement Solution, check the box if you want to send the user an invitation message to sign in immediately after you save. On the Groups tab, choose Add Remove to display the available groups. Choose one or more groups to assign the new user to and select Done. Finally, choose Save to save your changes, or Cancel to return to the previous page without saving your changes. Now that we have seen the user interface method, let's see how to import users. The Import Enterprise Users data import can be located either in the Site Manager Data Import Export page by searching User or by accessing the data import exports specific to user data under the User Manager section. Like other data imports, the export enterprise users can be exported to save a backup copy of the system users. The import operation you choose is important as it determines whether the system creates, edits, or deactivates the user records in the CSV file. The login ID, their email address, and the full name fields are the three required fields to create a new user via import. Check the data dictionary if you need help with the other, optional column headers when preparing your data import file. Once the CSV is ready, select the import operation and attach the data file to the import.
