Creating SAP Fiori Launchpad Layouts for Custom Business Roles

Hello, my name is Jocelyn Dart. I'm a User Experience Strategist in the SAP S/4HANA Regional Implementation Group. In this video, we will see how you create Fiori launchpad layouts for custom business roles in SAP S/4HANA Cloud Private Edition and on-premise. You'll understand how layouts are structured, how they are assigned to your business role, what you need to create layouts, how to actually create a layout, and we'll finish with some tips for managing complex roles and changes over time. Launchpad layouts in SAP Fiori use a simple two-level hierarchy known as spaces and pages. The top-level "space" represents the work context, such as Purchasing, Sales, Maintenance, or Accounts Payable. The second-level "page" provides a way to split complex work contexts into sub-processes. So, for example, Purchase Order Processing or Sales Rebates, or it could be an exception process such as Shutdown Maintenance or a periodic process such as Tax Declaration. The space which represents the work context is assigned to the business role which represents the user who does that work. Now a business role can have many apps associated through different business catalogs. The pages and tiles are freely definable so you can select any app from any catalog of the same business role. These layouts are created in your Development environment. A typical flow is the space and page hierarchy with empty pages is created by the key user. The security administrator then assigns the space to the business role. This makes the next stage a lot easier where the key user assigns the content of the page bringing in apps as tiles and different links. Finally, once the layout has been tested, it is passed to the Transport Manager who transports the layout through the rest of your solution landscape. To create layouts, you'll need the apps Manage Launchpad Spaces and Manage Launchpad Pages. You'll also need to know the naming convention for your space and page IDs. This makes it easier to communicate with the technical team and find them later, and you'll need a transport request to capture your changes. You may also have other tools. For instance, there's a read -only report that can help to communicate your changes to other stakeholders. So here I am looking at my target user, the Accounts Receivable Assistant. This is a customized version of the Accounts Receivable Accountant with far fewer apps. At the moment, this Assistant doesn't have any layouts. Now, you see here they still have My Home and they can still. will find all their apps, for instance, using the Search on Apps. However, I would like to give them some better guidance on how I want them to work. And for this, I will create a layout. Let's go to the key user to do that. Here I am as my key user, who is called FioriAdmin. It can be any key user. The important thing is that they have the apps Manage Launchpad Spaces and Manage Launchpad Pages assigned. Now, if I go to Manage Launchpad Spaces it can be useful to have a look at the predefined spaces and pages to get some ideas for how you might lay out these layouts for the user so I'm going to have a look for some Accounts Receivable layouts and I can see here one that looks like it might be for an Accountant I might work through the hierarchy of the space and pages I might have a look at some of the different pages and see if there's any that appeal to me that I might be able to reuse as-is, or with a few adjustments. Now, if you want to reuse an SAP predefined page, the best option, of course, because you can't edit those directly, is to copy it into the Z customer namespace. Now, I've already done that. I'm going to show you how that gets assigned later. What I'm going to do now is go back to a more usual process, which is just to start with an empty space and page. So in Manage Launchpad Spaces in the Customer-Created area, I will press Create and here I will start to create my Space ID. Now here you need to know what naming convention you are using. So I'm simply calling it Z_SP_ for space and AR_ASSIST for accounts receivable assistant. I give it a description. This is again to help you find it. So the id and the description can be used to help find it and a Space Title is what the user will see on their navigation tab so I'll simply make that "Accounts Receivable" it's also quite handy with a brand new space to create a single empty page to get you going so here again I need to know the naming convention for pages so I'll call this the quick access page so this is sort of going to be the everyday access page And again, I can put in a description for the administrator and key users. And I can put in a Title that the user will see. Last but not least, I need to assign this to a Transport Request. And then I can press Create. Now, you can see here, my space is created. It's got a little bit of general data. We'll mention merging later on. It's got the page I've assigned. It's got the transport assigned, but it's not yet assigned to a role. Now, I'll show you why that matters. If I go down to the page level and go to edit it, I'm not getting a lot of help here in terms of what apps I could use on this page. So I'm going to stop at this point and play the Security Administrator and assign the space to the role. Okay, so let's do that. Now, as a Security Administrator, I can either use the Role Maintenance transaction or I can use the Launchpad Content  Manager Client-Specific to assign spaces. It's actually a lot easier in the Launchpad Content  Manager. So here, you can see I'm on the Roles tab. I've found and selected my Roles and I can see the Catalogs within that role below. Now, if I swap to the Show Spaces area, I can see there are no spaces assigned at the moment I can simply add a space I go and find my space this is where a naming convention is helpful so let's go and find that space. Here it is - beautiful! I will select that and that's it! It's done! So that's been added to the Role. Okay! So let's go back and be the key user again and see what a difference that makes to adding content to the page. So here I am as the key user back in Manage Launchpad Spaces and you can see my space is now assigned to a Role so I can see how many roles it's assigned to. I can also check which roles it's assigned to on the Role Assignment tab. Yes, a space can be assigned to multiple roles. Let's have a look at the difference on the page. So if I go into the page now and go into Edit mode you will see now I have all these tiles coming from - all these apps coming from the Role that I can use as tiles. So here I simply need to give a name to the Sections I want to see on the page. So I might say this one is a Receivables section and I might add another section which is Payment Advances. So they would simply give them a name. I can also change the order around if I need to. And the simplest way to add an app to the page is simply to drag and drop it. So I'm going to drag and drop the Process Receivables app in here. And you can see it's created a tile. If I want to adjust the tile type, I can adjust that in the detail area by pressing on the dot, dot, dot. Now I can also say, okay, maybe there's something else I want to add here. So I can add it and choose the tile at the type at the same time by using the Add button here. And I can choose which section I'm adding it to. And if I want, I can even select multiple tiles. So maybe here I'll say Customer Balances and maybe Manage Payment Advices. And if I select the button up here, I can actually add it to multiple sections at once. So I'm going to add that as Tile and I'll add both of those to the section Payment Advances. So I have my page already. I'll save that. And if I want to, I can use the page preview to have a look at roughly how that would look like. And also, if I've got multiple roles, I can use the context area to check what it would look like for different roles. Okay, let's have a look at the impact on our business user who's, assigned to this role. Now here I am back at my business user and you can see because this is their first page it's been automatically assigned to the pages area on their home page and also when I go across to this page you can see the same sort of layout we saw before. Now this is a flat tab because this space only has a single page so let's see what happens if I add a second page. Here I am again as the Fiori Administrator user and I'm editing my space. I found an existing page. This was a copy of the predefined SAP page and I'm simply going to add it into my space and save it. And now let's see the impact that has on the user. So now back on my user, I can see by adding an extra page, the tab has now become a menu tab and I can see the other pages. Now interestingly you'll notice that there were many more apps on this page but I can only see the apps I'm authorized to use. Let's finish with a few quick tips and tricks for complex use cases. Firstly, you can merge multiple spaces to bring all pages under a single tab. You can also merge multiple pages to bring all sections. onto the same page. When as an administrator or key user you make changes to the page, even if the user has personalized them, your changes will still be merged. So the user misses out on nothing. So launchpad layouts use a simple hierarchy of spaces and pages that give business users confidence on which apps to use for their tasks in different work contexts. You can share spaces and pages across similar roles. For more information, and refer to your Fiori Launchpad Administration guide.
