Enabling the 'Share: Microsoft Teams' Functionality for SAP S/4HANA Cloud Private Edition and SAP S/4HANA

Hello everyone! In this learning video we will understand how to enable the Share functionality to Microsoft Teams. I'm Evandro Ramos, a UX and mobile architect, a member of the SAP S/4HANA Regional Implementation Group. And together we will review the steps to enable this collaboration feature. So, let's review the agenda. We will start with a quick introduction to the integration between SAP S/4HANA and Microsoft Teams focusing on the 'Share: Microsoft Teams' functionality. We will then move on to a step-by-step guide on how to enable the integration. Finally, we will conclude with some key takeaways. Alright, let's dive into the details of the integration. First, it's important to know that this integration is available starting with SAP S/4HANA 2023 FPS01. This learning video will cover two basic components of this integration. The first one is the Microsoft Teams tile. It's a simple shortcut that gives you easy access to Microsoft Teams directly from your SAP Fiori Launchpad. The second component is the 'Share: Microsoft Teams' functionality. This is the main feature we'll be focusing on. It allows you to share content from SAP S/4HANA directly into Microsoft Teams. You can share it as a simple chat message, as a new tab, or even as a card. It is supported in several types of applications, such as all SAP Fiori Elements-based applications, in all multidimensional data grid applications, in all Web Client UI-based applications, and finally, in selected SAP Fiori freestyle applications. Now, let's talk about a few restrictions you should be aware of. This functionality is currently not supported on mobile devices or tablets and browser support can be limited. It's always a good idea to check the official SAP documentation for the most up-to-date list of supported browsers. All the configuration steps we will describe are documented in the SAP Help Portal for SAP S/4HANA and SAP S/4HANA Cloud Private Edition, including the specific settings for both the Microsoft and SAP integration sides. Let's go through the configuration steps. Access your company's Microsoft Teams admin center, where you navigate to the Teams apps section and then the Manage apps section. By clicking the Org-wide app settings button, we must verify that the 'Third-party apps' and the 'New third-party apps published to the store' options are turned on. Next, in the search bar, search for S/4HANA. The application must not be blocked. If it is, click on the row and enable it. Now let's create an Enterprise Application instance. In a command line with the Azure CLI, we will log in. We will select the account. Then we will select the subscription and tenant. And after the login is complete, we will run this command to create a service principal in Microsoft Entra. Wait a few seconds for the return. These instructions are available in the help documentation. After creating the service principal, we go to the Microsoft Entra Admin Center to verify if the operation was successful. We select the Enterprise App section, we clear the application type filter and search for the application by name, in this case S/4HANA. By clicking on the row, we confirm that the creation was successfully completed. Returning to the Microsoft Teams Admin Center, we go to the Teams Apps section, then Manage Apps. We search for 'S/4HANA' once more and click on the application. On the Permissions tab, we must grant admin consent for the application. Upon selecting the corporate account, the list of requested permissions will be displayed. Review and accept the permissions. After processing, the screen will reload and a green message will confirm that the permissions have been granted successfully. Now we will make some configurations in S/4HANA. We start with the Fiori Launchpad configuration transaction where we maintain the plug-in for Microsoft Teams. We click on Launchpad Plug-ins and here we will create an entry. We search for the COLLABORATION_MSTEAMS plug-in. Make sure the plug-in is active, and we click Save. Now we will maintain the plug-in's parameters under Configuration. We select a new entry. In Property ID, we search for the first parameter, IS_SHARE_AS_LINK_ENABLED, and assign the value X. We will repeat the process for the other parameters. For the IS_SHARE_AS_TAB_ENABLED parameter, we will also assign the value X. For the IS_SHARE_AS_CARD_ENABLED parameter, we must assign the value ENABLED. Finally, for the IS_DIRECT_COMMUNICATION_ENABLED parameter, we assign the value ENABLED and save the process by clicking the Save button. Ensure that in the end you have all the four parameters correctly maintained. Now we go to the Unified Connectivity Cockpit transaction. We start by selecting the HTTP Allowlist Scenario. We will maintain the Trusted Network Zone context. We click the button to edit the scenario and then add an entry. We specify a schema rule as HTTPS, include the host teams.microsoft.com for all ports and all paths. We also specify the Customer namespace and accept the entry. Next, we save the result. Then, we will maintain the second context for ClickJacking Framing Protection. In the same way, we add an entry, specifying an HTTPS schema rule, the host for the MS Teams application for all ports. We specify the Customer namespace, accept the entry and, finally, save. To ensure connectivity, it's necessary to export the certificates from the Microsoft Teams domain. To do this, from a browser, we access teams.microsoft.com and find the certificate hierarchy. We must export these certificates to further import them into our S/4HANA system. We select the first one of them and click Export. We select a folder to download it, and this step must be repeated for all certificates in the hierarchy. Back to S/4HANA, we access the Trust Manager transaction, where we will import the certificates. We select the standard SSL client, we click Edit. Further down, we click the Import button, and in the file path we select the first certificate, and confirm the upload. In the Certificate section we click on 'Add to Certificate List' and repeat the process for the others. After completing the import of the hierarchy, we click Save. The next configuration involves setting up an RFC destination. In the SM59 transaction, we verify if, under HTTP connections to external server, the EXT_MSTEAM destination exists. If it does not exist, click the New Entry button, add the ID EXT_MSTEAM, and connection type G. On the next screen, add a description for your destination. In the Technical Settings tab, specify the host as teams.microsoft.com and the port as 443. On the Logon & Security tab, activate the Secure Socket Layer, using the standard SSL client. Click Save to store the entry and test the connection. Verify the HTTP response status 200. Completing the configuration, we access the System Alias Mappings view from the SM30 transaction. Here we must verify that the EXT_MSTEAM entry does not exist. If you find it, delete it, as the system alias mapping is not required in this context. Now let's switch to the end user's perspective. In the Microsoft Teams, we are going to install the SAP S/4HANA app. We search for it in the apps section and add it. With that, we are ready for the test. For our first test in the SAP Fiori Launchpad, we will search for the Microsoft Teams tile using the App Finder. As we can see, we've been redirected to Microsoft Teams, which confirms that the connectivity is working. The second test will be performed as a purchaser. We will access the Manage Purchase Orders app. We are going to search for orders from this specific supplier with the Follow-On Documents status that were created this quarter. We click Go and ok, we found an order. Let's open it to see the details. Now let's suppose we want to share it with some colleagues. To do this I can go to the Share button and choose the Microsoft Teams option. We will first try sharing it as a chat. In the pop-up we can choose a colleague or a group to share this with, in this case we will select a group of purchasers. I can adjust the message to add context for the share and then click Share to finish. And switching to Microsoft Teams, we can see the link has been posted directly in the channel. Now, we will try sharing the same information, but this time as a tab. To do this we will click the Share button, Microsoft Teams, and select 'As Tab'. In this case, Microsoft Teams is brought up to complete the process. Here, we can select which colleague or channel should receive this information. Again, we will select the purchasing channel and by clicking Share, the corresponding page is automatically loaded inside Microsoft Teams. This allows us to start a conversation about the item being reviewed. Last but not least, we will share this information as a card. This option is only available on the detail screens of objects. Following the same path, this time we will click 'As Card'. Once again, the pop-up is displayed to select who to share the content with. Here, we can also preview the card, and after completing the share, we can return to Microsoft Teams. Here, we see the card, and by clicking Open the window with the purchase order is displayed. Before we finish, let's summarize the key takeaways from this video. First, the big picture: the integration between SAP S/4HANA and Microsoft Teams is designed to boost collaboration and productivity. It enables your teams to collaborate on complex tasks without switching between applications. Now, for the setup, remember that it involves two sides. On the Microsoft side, the main action happens in the Teams admin center. This is where you enable the SAP S/4HANA for Teams app and grant the required permissions. On the SAP side, the core of the configuration is done in the Fiori Launchpad Configuration, enabling the Launchpad plug-in and maintaining its parameters. This is what controls how users can share content as a chat, a tab or a card. Finally, to establish a successful connection, you must focus on two technical pillars. First, your HTTP allowlist must be updated to permit connections with the Microsoft Teams app and domain. And second, the RFC destination and corresponding SSL certificate must be correctly configured. This creates a secure and trusted channel between your SAP system and Microsoft Teams. Getting these key pieces right is the foundation for a successful integration.
