Exploring Account and Data Management in SAP Engagement Cloud, enterprise edition

Welcome! In this video, you will learn about account-related features,  Business Area and user management,  API users and permissions, data types and data sources. This will help you understand how to set up and manage your account, users and data. Let's look at our use case. You are leading a marketing team and just got Account Owner access to a brand-new SAP Engagement Cloud account. First, you onboard your team by creating Business Areas, users, roles, by creating Business Areas, users, roles, and API users. Once everything's in place, your engineers set up the integrations to bring data into the platform. From there, you can track the progress and status of integrations and data on boarding in the account. When logged in, you see the Home page with different widgets that give quick access to certain features and pages. You can add or remove them according to your needs. At the top, the shell bar offers additional functions like built-in-support and help documentation. The Business Area selector lets you switch between the Business Areas you're assigned to. Business Areas allow you to separate your data into categories that fit your needs, such as regions, countries, or brands,  and control which assets users can access. While roles (what users can do)  are set at the tenant level. To create and assign Business Areas, navigate to Management, Business Areas. On this page, all previously created Business Areas are listed along with information like name, ID and status. To get started quickly, you can use the pre-configured Default Business Area. You can also import a CSV file containing multiple Business Areas or create one at a time by clicking here. Give it an ID for API reference,  a name displayed in the platform, optionally a description. Next, activate the Business Area to enable its use. A few important notes: Business Areas can be deactivated, but this action is irreversible. Active or inactive Business Areas cannot be deleted, only drafts. Once a Business Area is deactivated, you can't add new contacts or assets to it, but all its historical data and assets remain accessible. With the Business Area created, mapping and user assignment happens in SAP Cloud Identity Services. Click here to access your tenant. In SAP Cloud Identity Services, select the right application, then go to Authorization Policies create a new restriction. Once it's named, define its rules. Then select the Business Area ID you just created and save. Then assign the policy to your user. With your next login, you can verify the assignment by checking the Business Area dropdown menu on the Home page. Moving on to user management. If your team uses other SAP applications, their users already exist in SAP Cloud Identity Services. If you do need to create users, you have three options. Proxy solution from another Identity Provider. Bulk import. Adding manually. For bulk import, it's a good practice to create the user group first and include it in the import file. Once users are created, they activate their own profiles. Next, create user groups to manage access rights. Name the group, optionally add a description, select an application, and save. Then, you can bulk-assign the group to users.  To control which assets users can work with, assign the relevant authorization policy or group created earlier. That completes user setup in SAP Cloud Identity Services. Please visit the Help Portal to learn more about the Cloud Identity Services. Now, let's look at what to manage in SAP Engagement Cloud itself. Settings like interface language and time zone are configured in SAP Engagement Cloud, as well as mapping user groups to roles to handle feature permissions. Navigate to Management, User Management, only accessible to Account Owners. Here you see an overview of all users who have logged into this account at least once. Keep in mind that users who haven't logged in yet won't be listed but may still have access and users are not automatically removed when access is revoked. For accurate user status and access management, including activation and deactivation, refer to SAP Cloud Identity Services. Under the Roles tab, you can manage user permissions. System roles cannot be edited or deleted, but you can copy them or create custom roles. By default, only the Administrator role has access to Business Area management. Click here to create a new role, give it a name, and toggle the permissions needed. Under the Role Assignment tab, you can add users to a role either by entering the IDP Group name created in SAP Cloud Identity Services or by adding email addresses in the User section, even if the user never logged in. Note that Account Owners must be added individually, no IDP group assignment is possible. To further organize your account, use the Tag Manager. This lets you create labels for assets, such as Segments or Automations. Tags are set up once and can be used account-wide. Click here to create a new tag, then define the category and its values, for example “Status” with “To do, In progress, Complete.” Another important account management area is API user management, where you can create new credentials and configure API permissions for existing users. After verifying your identity, the credentials are created, and you can copy them to connect to external systems. Important: the secret can only be viewed once during creation, so be sure to save it, From there, enable the permissions needed for the user via the search bar or by scrolling through the list. After saving, share the API user and credentials with your engineering team — they'll use them to set up the integrations that bring data into the platform. Let's quickly look at the main data types and how they enter SAP Engagement Cloud. Contact data is at the core of the platform — used for identification, segmentation and execution across all channels. Any custom fields must be created via the API first, then contacts can be onboarded and synchronized through the Contact API. Product data, including key attributes, like the unique item ID, is uploaded via the Product Catalog API. Sales data is uploaded via  the Sales Data API and linked to contacts and products —  product references must match the catalog for accurate segmentation. Engagement Event data from external sources is ingested through the Engagement Events API, enabling automations, personalization, and segmentation. Website data — like product views, browsing and purchases —  is captured via Web Extend or the SAP Engagement Cloud SDK. Mobile data, including in-app activity, is collected through the SAP Engagement Cloud SDK. Now, let's look at the platform tools that help you manage and monitor your data. The Product Catalog Data page gives a high-level overview of your catalog — total items, available items, and the last successful upload. Recent activity widgets show catalog and item change history from the past few days. For deeper insight. the Failed Payloads tab helps you spot issues — for example, identifying a product upload that didn't go through. The Sales Data Loads page shows your load history, pending requests, and failed requests with their error messages  — making it easy to understand what went wrong. The Data Quality tab provides additional insights into issues detected during sales data loads. The Engagement Events service lets you process custom events from any external source for triggering automations, enriching segmentation, and personalizing content. On its page, you can review existing events. To check incoming activity, the Integration Monitor shows successful and failed loads, with details and payloads to help troubleshoot. Activated events can then be used for segmentation and automation. On the Web Extend page, you can check the status of the Web Extend implementation on your webshop, including any detected errors. As Web Extend power's Web Channel, a correct setup is essential. Universal Schema Builder lets you use externally hosted data for segmentation and personalization — without onboarding it into SAP Engagement Cloud. On its page, you can review existing connections and schemas, open any schema to view its structure, and create new ones. Please note that Product Data, Sales Data, and Web Extend are not Business Area-specific — they apply across the entire account. Beyond APIs, SAP Engagement Cloud connects to other systems through native connectors and Open Data. The SAP Customer Data Cloud (CDC) connector brings merged contact data, including consent  — into SAP Engagement Cloud. The SAP Customer Data Platform (CDP) connector unifies profile, event and engagement data, and acts as a bridge to other SAP Customer Experience Solutions — like Sales Cloud, Service Cloud, and CDC. Open Data goes in the other direction, — letting you query and export your data across email, web, SMS,  mobile app, conversational product, and more — for use in third party BI tools. With Business Areas, users, data,
