Exploring Embedded Launch Activities for SAP Cloud ERP – PET 2026

Welcome to the product expert training on-demand video focused on Embedded Launch Activities for SAP Cloud ERP. Before we get started, a small disclaimer describing that the content that we are sharing here belongs to SAP and it might be changed without further notice. I am Daniel, so I am your presenter for today. I'm experienced owner for the ACPS for HANA Cloud and Meta Launch Activities, and I have been previously customer success manager and a consultant also in ACPS for HANA Cloud. So the agenda that we are going through today is why is onboarding important, what is the partner alignment, how we put out the onboarding engagement into the onboarding plan, and what it looks like, and finally we go through the QGate execution. so why is it that onboarding is important so with the search rate onboarding our main purpose is to bring clarity accelerate progress and enable customers to realize value with confidence and so at the starting point of any implementation our main aim is to get the customers started into the system and understanding the key resources that are valuable for the implementation to ensure that the implementation team is following the proper guidance that ACP puts out to the implementation of its software. Now, also, as we are seeing on the right side of the screen, we can see some important metrics which relate to the importance of the proper onboarding for the implementation team, namely the impact on the renewal rates and a smooth experience at the start of the implementation. So, as we can see here, initially customers may struggle with some complexity, lack of clarity on the next steps, and the slow time to build. And so, with the onboarding journey, we are able precisely to bring more clarity on how to get started, and the steps to get their hands-on in the system for the customer itself, and also for the partner, for the proper alignment to get the project going. with this in mind our embedded launch activities consists of these three main pillars which are shown on screen so the onboarding journey the guided enablement and the adoption touch points these are the three elemental steps to get started so the onboarding journey as we will be seeing is a structured path aimed to provide information and the guidance on how to get started for instance on the system provisioning then on the activate methodology on specific entitlements and so it's really a series of steps which lays out the journey for the customer then we have the guided enablement, which allows the implementation team to follow on a structured way what is the onboarding journey and to be able also to track the progress. And finally, the adoption touchpoint is a report that we provide to customers, which is based on the pace change from the Activate methodology and allows the implementation team to see what their progress are in regards of implementation then customer onboarding so the purpose of this slide is to mention that all customers receive an onboarding advisor to deliver the customer onboarding experience then we have the guided in element so as i was mentioning this is a course which is available from lsc which the customer and implementation team are able to track their progress The structured journey, so it follows these four steps which are being shown on screen. One focus is that we have one-to-one sessions, one-to-many webinars. So for Get Started, we go into this mode of one -to-one sessions, and from then onwards, we go into the one-to-many webinars. And so you can see that the main aim of Get Started is to get system access, then we move on to plan your implementation, to understand the main resources related to SAP Activate and SAP Cloud ALM. And finally, for getting enabled and prepared to go live, we go into the solution resources for learning, together with the enterprise support team, in which we go into a demo in the system. And the prepared to go live is to understand the cutover strategy and also what to do when the customer is running its own operations in the productive sense. Customer onboarding journey in these embedded launch activities. So we have this series of one-to-one sessions. So this is how we multiply to provide a structured journey for the customer. We start with a welcome email, as we can see on the top left. This is to ensure that we are sending the communication to the right contact in the customer. Then we go into the get started virtual meeting, where we go into the project timeline and scope, the user maintenance, the provisioning of the system, and we also run through the onboarding plan, which we will see in a moment. So the main aim here is really to provide the resources for the team to understand how to get the system's provision and get the user started in the system. Then in plan your implementation, we run through the solution overview, also the entitlements, as at present and the S/4HANA Cloud solution is sold as a bundle. We introduced the artificial intelligence, which is part of the package. And then also we introduced the customer to the service use description documentation. Then the next session, which is based on the initial ones to understand what the project is going to be about, is the one-to-one sessions related to business and entitlements. SAP Build, Talia, Concord and Sustainability Solutions, each of these may have a one-to-one session according to the scope of the implementation. On the right side of the screen, we include the completion of the quality gates. So these are one-to-one virtual meetings or self-guided. From our end, what we aim to promote is that this is a self-guided where the customer and the partner will run through this completion of the quality gates, but we can be there at the start precisely to get this kicked off. At the bottom of the screen, you see the note that I was mentioning before that this learning journey is supported by one-to-many live webcasts where you can bring your questions live into this quarterly series that we are delivering. Adoption touchpoint and the quality gates. So this is this continuous quality checks that we do at each phase transition. So from prepare to explore, explore to realize up to the run phase. So these are these quality gates where we provide the report based on the customer request from the Cloud ALM on how the team is performing in terms of leveraging the best practices in SAP Cloud ALM. so that the team itself can understand what actions need to be taken off in order to ensure that the team is following the Activate methodology from ACP. This slide aims to provide the main outputs from each of the one -to-one sessions that we have as part of the onboarding journey. So get started, main aim is to get the systems provision, get the users created in the system. then your implementation validation of the entitlements which are part of the bundle understand also artificial intelligence review the onboarding plan then we have the quality gate execution which is to ensure that the implementation team is following the guidance from acp in regards of the best practices for implementation and finally we have these one-to-one sessions for the case of btp is to understand that the customer has gone through the initial account setup and whether there are any questions that need to be clarified with ACP. We move on then to these quality gates and the continuous quality checks. So at the bottom itself, then you will be able to see what are the main elements from the adoption touchpoint itself, so from the quality gates and the continuous quality checks, what are the main aims and what is it that each quality gate is covering so that when you reach out at the end of each phase it's clear for you what ACP is going to be looking out for to provide you in the report. Partner alignment. So this is a main I would say touch point that we have as part of the onboarding journey. And the main aim here is described in these four squares. So understanding the general status on the project with a partner. So we go through digital discovery assessment check, understanding the main kickoff dates and the go live date as well. Ensure that the customer contacts are correct. So from the sales process up to now the implementation project. do a quick run -through of the presentation. So of our presentation that TCP is going to deliver, as I have mentioned before, we go through and we contact all the customers and then we do a one-to-one sessions with all the customers. But as we include also the partner, it's also important to understand whether there are any topics that have been covered already or there is a topic in which we need to provide more attention to during our presentation. and then finally quality gates assessment which is to understand whether there is some support that acp needs to be providing as part of the quality gates assessment or the partner is fully enabled to provide these sessions to the customer for the partner participation so we have divided this into pre-onboarding session and during and after the onboarding session so our main expectations is that the partner also introduces the onboarding journey to set expectations to the customer, participates in the sales and the partner and handover. So this is to share initial project information like the project status, scope, and the key stakeholders from the partner side, but also from the customer side. Then providing input for the customer onboarding plan. For instance, the one-to-one entitlement session to understand what entitlements the customer is particularly interested on for the project implementation and also the artificial intelligence roadmap. During and after the onboarding session, we involve the partners for the one-to-one session. So we go into the customer jointly. Then we intend also that the partner guides the customer into completing the quality gates with the support from our side if that is needed and plan attendance to the one to many webinars either live or recorded this is available in the onboarding resource center and position the initial learnings from the guided development itself. Onboarding plan so the onboarding plan is in essence describing the activities that we will be doing with the customer so first of all we run through these project details we go through the timelines and scope so we can see in these project details the main elements that we capture from the customer side so the main dates for the focus area of the project but then also the countries in scope solution and integration so this is really information which is helpful then for us to plan the onboarding engagement. So here you can see the onboarding plan. It starts with a welcome email. It has also the ACP4Me initial login, get started with ACP, user creation. So all of these phases, we aim to be part of the onboarding plan, but according also to what we understand about the reality of the project, we will adjust this onboarding plan. And for instance, if the customer has already provisioned the system, the users will have been created, the get started with ACP session, the first one will be redundant. And so we will be focusing on session two. And the same applies also to the solution entitlements. So this session from four to five, not all these entitlements may be relevant for the customer. And so we adjust accordingly. And with this onboarding plan, it brings clarity into how the onboarding engagement will be for the customer and for the partner because after this onboarding plan from our end so from the onboarding team we will leave it up for the whole implementation team to manage the relationship from the customer and we leave it on the hands of the partner quality gate execution so the completion of quality gates is done in cloud ALM and so this slide here is describing the different steps which we will help also the implementation team in the setup of cloud ALM and also in running through the quality gate itself in cloud ALM then the output is left out to the implementation team so to the implementation partner to the customer to run through the results of the quality gates then we have here also this adoption touchpoint so it's this continuous quality check which is for implementation gates at the phase shift and so this is really um i would this concept and benefits and the expected outcomes. So this slide which aims for you to understand what is the main value proposition here of the continuous quality check for the project team. External resources that we have available. So in the onboarding resource center we are having all the resources which support the delivery of the onboarding journey. So you can see here on the left side of the screens the different phases that we have set out for the onboarding journey so from get started with SAP to prepare to go live so this is an additional resource which aims to facilitate also your journey into consuming what the onboarding journey is about finally we have the enablement resources also from the product team so you can see that you will be able to access different learning journeys from here also courses and digital learning opportunities but also you can engage with the community for expert talks and also for ACP help portal as an important resource to continue here the conversation then from product success enablement and adoption you can see here the enablement wheel which contains podcasts expert talks product experts release videos, but also the ACP Activate community and the ACP Help Portal, which enables you to extend the learning opportunities from the ACP side.
