Implementing Contextual Help in SAP Fieldglass

Did you know that you can add tailored help text in your SAP Fieldglass environment? Contextual Help allows you to provide instructions and guidance as part of the SAP Fieldglass interface to internal users and or suppliers, with a range of configuration options that determine where the text appears and how it presents to the recipient. Contextual Help is set up via the SAP Fieldglass admin menu. Therefore, only users who have access to manage the appropriate admin object via their assigned user role, will be able to configure contextual help in the application. Contextual Help can be configured at the page, section and field level in SAP Fieldglass. Let's say as part of continuous improvement activities, the PMO identifies that Job Postings are being created under the incorrect owner and a lot of extra work is being created to rectify the incorrect data as a result. The PMO team collectively decides that adding some text providing clarity to their user base could be a good solution in reducing the likelihood of this same situation reoccurring in future. Having logged into SAP Fieldglass the user will navigate to the configuration section of the admin menu and select Contextual Help. Once in the Contextual Help admin object the user will see a language drop down along with a list of Contextual Help options and filters including Module, Activity and the Recipient of the on-screen Contextual Help. Since the team has determined the text should be displayed during Job Posting creation, the user will select the Job Posting, Create, Buyer, Contextual Help option shown in the list. The PMO user can now see the details of where Contextual Help can be added. By selecting Edit, the user can enter the relevant help text in the desired location for the Module, Action and Recipient selected, in this case whenever a buyer user creates a Job Posting. The user enters the help text against the owner field within the setup section. Please note that the Job Posting owner equals the hiring manager of the worker. It is possible to include links and HTML tags within the Contextual Help configuration to further format the text or direct users to another resource as part of the text instruction. The user can also preview the entered Contextual Help before finally clicking Update to save the changes. Now let's review how the Contextual Help appears in the SAP Fieldglass workflow. You can see that when the buyer user now creates a Job Posting, the configured Contextual Help is immediately displayed against the owner field specifically. It is important to note that users have the ability to turn Contextual Help on and off. The default setting is switched on, but if manually turned off by the user, will be retained between sessions until manually switched on again. The addition of new Contextual Help does not automatically display the newly added instruction if the user has it already switched off. Contextual Help must be manually set up for each individual language utilized within any given SAP Fieldglass tenant. Another helpful way to utilize Contextual Help in SAP Fieldglass is to provide instruction on the accepted format for the configured Security ID. Once configured accordingly by the buyer, the Contextual Help can display for the supplier when submitting a Job Seeker.  Including guidance in the form of Contextual Help to suppliers and indeed internal buyer users on the Security ID format specifically configured for that buyer is strongly advised, although SAP Fieldglass can advise on Security ID best practice the format is ultimately decided by the buyer. We've now defined what Contextual Help is and provided some use cases of how it can be utilized to enhance the SAP Fieldglass workflow.
