Introducing Attendee Configuration in SAP Concur

Attendee Configuration  You use the Attendees feature to create and modify Attendee Types and to determine which Expense Types are tracked in the cost per attendee data. In the following examples, you will see how to modify and create an attendee type and how to update an attendee setting. To access the Attendees feature, from the SAP Concur homepage, select the Home menu... and then under Administration, select Expense. On the Expense Admin screen, select Attendees. On the Attendees screen, you will see the current list of attendee types. In this example, you will see how to modify the Business Guest attendee type. Select the attendee type to modify it... and then select Modify. Make any needed changes to the Attendee Type. For this example, select the Allow users to edit the status for this type checkbox... and then select Save. The Business Guest Attendee Type is updated to include your modifications. Now you will see how to create a new Attendee Type. Select New... and then enter the Attendee Type information in the required fields (indicated with the red bar)  and the optional fields as directed by your company. First, enter the Attendee Type Name. The Attendee Type Name is the label that users will see when they create an attendee for their meal and entertainment expenses. Next, enter the Attendee Type Code. The Attendee Type Code is a unique identifier that you can use to match to an external attendee tracking system. Note that there is a maximum of 8 characters. Select the Expense Attendee Form drop down arrow to select the attendee form. This is the form that your users will work with to enter attendee data when they select this attendee type. You configure this form separately. For this example, select the Default Attendee Form. Select the Fields for duplicate search dropdown arrow. These fields are the fields the system will monitor when the user is manually entering an attendee. If the system finds matches on these fields with an existing attendee, the employee will be asked if they are the same person. For this example, select Company, First Name, and Last Name. Select the default search for Attendees dropdown arrow. For this example, select Advanced Only. Select the Allow users to add attendees of this type to allow users to manually create attendees. Next, select the Allow users to edit the count for this type to allow users to enter a number of people for this attendee type. You can select the last checkbox if you want to allow users to edit the status for this expense type. After you enter all the appropriate information, select Save. The new Attendee Type now appears in the list. Now you will see how to update your attendee settings. the Settings tab. For this example, select the Expense Types to be included in the annual total of cost per attendee dropdown arrow. Select the Misc. Promotional Expense checkbox. Select additional expense types, or select the dropdown arrow to close the list. Select or uncheck the remaining checkboxes as needed, and then scroll down to continue. Use the Audit Rules dropdown arrows to select which custom field you want to use to total attendee information. If you do not select a field, the system will use all expenses and/or request entries. Use the Attendee Totals dropdown arrows to select the expense categories that will be included when calculating annual totals for attendees. Note that you can create two lists. Note: Once these groups are in use, you cannot edit them without help from SAP Concur Personnel. After you've updated all the information, select Save. The Settings are updated, select the Attendee Types tab to continue making any necessary updates.
