Introducing  Auto-Registering Workers in SAP Fieldglass

Did you know you can automate worker registration in SAP Fieldglass? In a standard contingent procurement workflow, when a supplier accepts a work order, the buyer receives a notification and activates the work order, changing its status from Accepted to Activated and triggering a request to the worker to register in SAP Fieldglass. When the worker registers, the status of the work order changes to Confirmed and the worker record is created. While this standard process is perfectly acceptable, buyers do have the option of streamlining it further by enabling the auto registration rule on a job posting template. This rule allows for workers to be automatically registered when the work order is activated. No request is sent and there's no need to wait for the worker to register before beginning the onboarding process. For example, let's say you've decided to hire Tina to fill in on your team for a few months. You've gone through all the steps of getting her hired and have created the work order for her. Because AutoRegister was enabled for this job posting, once the supplier accepts the work order and the buyer activates it, Tina is automatically registered to SAP Fieldglass and the worker record is created. The work order status moves from Activated directly to Confirmed without Tina having to manually register in the application. The auto-register functionality was created to accommodate workers who may not be able to access SAP Fieldglass. It is not mandatory to be configured on all job posting templates, particularly if your company has reason to perform certain tasks, such as background checks, before wanting to allow a worker to register. However, if you find that there is value in allowing some workers to auto-register, there are two conditions that need to be met for it to work. First, it must be enabled in your company configuration. If it isn't, you must contact the SAP Fieldglass support team to have it turned on. Second, you will need to update the relevant job posting templates by selecting the Auto-Registered Job Seeker rule. If there are multiple templates to update, this can be done via a job posting template upload. When auto-registration is enabled, the supplier is responsible for providing a valid email address for the worker and will manage and monitor all notifications for that worker. It is possible that you can manually enable or disable the auto -registration rule while creating a job posting, but that is also an option that must be first enabled in your company configuration and set on the job posting template. Auto-Registering Workers is also available for services by selecting the Auto -Register SOW Worker Rule in the SOW Worker Rules section of the SOW template. Depending upon your organization services workflow, this setting will automatically register the worker either when the supplier adds the worker to the SOW, or when the buyer approves the worker. The auto-register functionality of SAP Fieldglass can streamline the process of registering and onboarding workers, but be sure it's an appropriate option for your organization before enabling it on a job posting or SOW template.
