Introducing Full Projects in Guided Sourcing in SAP Ariba

This video summarizes the benefits, attributes, and uses of full-sourcing projects within SAP Ariba Guided Sourcing and how to navigate the single-page layout. Why would a user choose to create a full-sourcing project? A sourcing initiative may require more than a one-time exchange with supplier participants, or the buying company may have controls or compliance tasks that must be done before or after the event. The documents and task panels and full projects allow buyers to better plan and forecast their initiative before the event, analyze supplier responses better after the event, and document findings and savings directly in the project workspace. Who can create a full guided sourcing project, and what is it? A full sourcing project within SAP Ariba Strategic Sourcing is a workspace container that includes a collection of tasks and documents that outline a company's indirect sourcing process for obtaining new materials or goods. Users who belong to the system group sourcing agent or above can create projects and consume a user license entitlement. Full sourcing projects can include multiple, aligned events, and other supporting documents within one workspace with process management activities, such as the ability to assign tasks and collaboratively edit documents with team members. Single events are designed to be quick, one-time requests for information, requests for proposals, or auctions that are independent, more straightforward, and not as process-oriented. Full sourcing projects and guided sourcing are created from templates, which provide the initial specifications for the project. Using a template with predefined content is one common way of standardizing business practices. Companies can adopt a single event full project template or use template questions to separate the event types that may be required for the sourcing opportunity. Default full project templates have various placeholders that appear with associated tasks for different events or types. For example, will you need an event? Can be set to yes to make a document choice appear with specific templates. A full sourcing project can be initiated from the create menu, and the preparer will need to complete all required fields on the create page and select a template to draft the full project. The project's name is the first required field, and project owners must add values to anything with an asterisk indicating it is required. These header fields are used in system reporting or can be used in template administration to make specific templates available for selection. This initial create page is like a project cover sheet with basic project information, and the field values will appear on the project within the project summary panel. Once all required fields are completed, the template is selected, and any template questions answered, the project can be created. Guided sourcing full projects include panels instead of classic tabs. The project summary, process, tasks, events and other documents, and the project message board have been introduced. This single page project interface simplifies navigation and content management. The Project Summary panel lets you edit the fundamental details and header fields. After the Project Summary panel is the Process panel, which lets you visually track the project phase's progress. The Project Insights panel's Insight tiles summarize project components, such as the number of tasks completed, supplier participation, contracts, quick links, custom tiles, and easy access to project documents. The Tasks panel displays the workflow steps and activities, where project owners can create, rearrange, and complete tasks and phases. The Events and Other Documents panel organizes supporting documents, folders, events, and associated forms.
