Manage Workforce App - SAP S/4HANA Cloud, Public Edition

Hello and welcome to this microlearning for SAP S/4HANA Cloud, public addition on the Manage Workforce app. My name is Jonas Willschewski and I work as a consultant in the S/4HANA Cloud MEE team for identity and access management. In this video, I would like to give you an overview and demo on the Manage workforce app. This microlearning is specifically aimed at user administrators and those who are working in the field of user management. But I would like to invite anyone to get an idea of the user creation and maintenance process in S/4HANA Cloud, public edition. This microlearning will be split into an overview, where I'll give you some general information of the app and the prerequisites that have to be performed before it can be used. After that, I will give you a demo on the functions of the app, which cover the navigation, worker creation and worker maintenance. The manage workforce app was published with the release 2208 of S/4HANA Cloud, public edition, and is primarily aimed at customers who do not have a leading HR system in place, but can also be used if you have an external HR system that is integrated in S/4HANA Cloud, public edition. With this app, you can directly create workers in the app and edit employment data, which includes e.g. the work agreement, the company code, or employment types of the workers in the system. In order to use the app, you have to assign the business catalogue, Master Data - Manage Workforce with the business catalogue ID, SAP_BUM_BC_MNG_WORKFORCE_PC to your business role. If the business catalogue cannot be found in the IAM information system, then you have to adjust the business role templates based on the SAP BR administrator. For further explanations on how to perform the required steps, please consult chapter three, adopt SAP Business or changes of the accelerator for release change activities. Now that the prerequisites have been discussed, let me go into the app and show you its functions and capabilities. Upon entering the app, you find the search bar and the filter on the top side where you can refine your search. You can also click on adapt filter on the right upper side, where you can select a large number of other filters that you can select, which will then be shown in your filter bar on top. In order to see other  workers in your system, you need to click on Go where you see all the matches. If you now select a worker, you can directly jump into the maintain business user app or go to the worker overview. If you have the required authorizations. Coming to the creation process of a worker, you have two options available. The first option is to import the users with a CSV file, which you might be familiar with with the empowered employees app. There we have five options. Upload the worker and the work agreement, service cost level, the basic import, the option to import tags and the worker employed. Depending on your country or the settings of the software, you're opening the CSV file with, use the semicolon or the comma as delimiter. If you're based in Germany and use Excel, the right delimiter to choose is the semicolon. After downloading the templates and filling in the files, but at least mandatory information which are marked with an asterisk. You can click on Import and then the workers will be created. If you want to create a business user simultaneously, you have to fill in the user name in the file as well. If you leave it out, then only a worker will be created. If you want to create a business user afterwards, you have two options, select the worker and click on maintain business user on the top right. Or you go into the maintain business user app and click on New on the top side, There, workers without business users are visible. The CSV Upload option is especially useful for mass imports and mass changes. The second option, which newly came into life with the manage workforce app is to create and maintain the workers directly in the app. In order to create a worker, you can click on Create on the upper right side. There you will be sent directly into a new worker in draft mode. In the section, personal information, you can feel all the general information about the worker, whereas last name and worker ID or mandatory. Please note, the worker ID is the person external ID, which is a unique identifier for the worker provided by the company's HR system. In the technical details, you find a user ID and a business partner ID, which will be created automatically for the worker. On the right side, you will also find the field and resource which indicates from where the worker was created. Further down, you find the worker type with start and end date that you need to choose. There is the option to select an employee or a contingent worker. A typical case for a contingent worker is an SAP consultant who needs access to the system, but is not on your payroll. If you create a contingent worker, you have to fill in the field is contingent worker off where you select the business partner with the option to use the value help. These are the mandatory steps in order to create a worker. There are two more sections that are optional. The work agreement can be either filled in the first draft when you create a worker or in the aftermath. When you click on Create, you will be prompted to insert a start date, whereas Today's date is pre-filled. You can also use the calendar on the right to select the date. After that, you can fill in the fields cost centre, weekly working days, weekly working hours, employment and percent and the manager. Now you can see that the employment situation reads initial employment. If I now want to create another work agreement, I click on Create and have three different options to choose from. First, the global assignment, which is a temporary employment to another company where the original work agreement will be inactive. Second, concurrent unemployment, which is a secondary employment within the same company code. A worker can have multiple secondary work agreements. Third, the transfer or rehire, which is a transfer between countries, regions are companies that is used when the worker moves internally with a new work agreement. While when the old agreement is terminated, then you can select the start and end date along with a company code. On the bottom, you see that you can also maintain the service cost level of a worker. If you need to change the work agreements, you can click on the work agreement directly, which you need to do for the initial employment and edit the end date directly in the field, or use correct star date on the top side. On the other hand, you have the correct function, which works for the other work agreements beside the initial deployment and gives you the options to change the employment situation, the start and end date. The other optional section is tags. The tags can be used to describe the worker, which can be e.g. skills or knowledge. You can see when and who made the changes to the tag on the right side of the respective tag. If the worker needs a business user in the system, too, the next step in this process is to click on maintain business user on the top right. As it has to be done with a CSV import as well, when only workers were created. All the information is prefilled with what you have selected in the manage workforce app. There you should fill in the username, which should ideally be identical to the username in your corporate identity provider. After that, you assign the appropriate business role. That concluded this microlearning on the manage workforce app. If you have any questions, please reach out to me. I'm happy to answer your queries. I hope you learned something new today and I wish you all the best.
