Managing Batch Definitions in SAP Concur

Managing batch definitions A batch definition consists of the funding bank account attributes, the Expense Groups that the batch definition will pay, the close and send date schedule, the status, and optionally the card program to be paid. The Reimbursement Manager creates and updates batch definitions that the Expense Payment Engine uses. Batch definitions determine when an Expense Pay batch closes and is sent to the processing engine. There are two types of batches; cash and credit card. In the following example, you will see how to create a cash batch definition for an employee program. To begin, from the SAP Concur Home screen, select the Home menu, and then under Administration, select Tools. On the Tools menu, in the Payment Manager section, select Configure Batches. On the Configure Batches screen, select the Batch Definitions tab. Select New Employee Batch Definition. Complete the required fields, (indicated with the red bar). Enter the Batch Name, select the Reimbursement Method, and the Available For fields. Next, you will create or select the Funding Account. For this example, select the Available Funding Account from the list. Note: You can also create a new funding account by selecting New Provider Account or New Pay File Account if needed. To continue, select Set Funding Account. To continue, scroll down. In the Schedule section, complete the card batch schedule fields for the Close Date and Send Date. The Batch Send Date determines when the batch gets sent to the payment engine. Though it is not required, we recommend that you set the Batch Send Date at least one day after the Batch Close schedule so you can verify funds in your funding accounts. To complete the batch configuration, scroll down... and then select Save. The batch definition for the cash program is created. To create a card batch definition, select New Card Batch Definition and repeat the steps by entering the card information and batch schedule, and then save the new card batch definition.
