Managing Forecasts with Fiori App "Maintain PIRs" in SAP Cloud ERP

Welcome to this microlearning session. Today, we'll explore how planned independent requirements, or PIRs, support production planning and MRP. By the end of this video, you'll understand what planned independent requirements are and why they matter, how they're used in material requirements planning, how the Maintain Planned Independent Requirements App works, and how you can use the mass maintenance functionalities of this app. What are planned independent requirements? PIRs are forecasted demands based on market analysis, historical data, or information provided directly by the customer. They help plan materials and capacity ahead of time, even before actual customer orders are received. Depending on the planning strategy, the PIRs will for example get consumed by sales orders. Details about consumption and planning strategy is not part of this video. In MRP, PIRs are the starting point. The system uses them to generate procurement proposals and ensuring production starts on time. There is one related configuration in SAP Cloud ERP, the version of PIRs. It defines which PIRs apply in which context, for example, simulations or operational planning as you can see in the screenshot. The Maintain PIRs app allows planners to create, edit, and manage planned independent requirements directly in the system. It's used to forecast demand, align production schedules, and ensure materials are available when needed. Before using the app, the area of responsibility must be defined in the settings. By default, the period indicator is set to monthly. Only materials relevant to the currently selected period indicator are displayed. If you want to maintain PIRs, for example, on a weekly basis, the indicator must be changed in the product master data. By default, PIRs are maintained in the standard version 00. If the forecast should be stored in a specific version, as defined in the configuration, select the material and click the Create button. Then, choose the desired version. Only active versions are relevant for MRP. Inactive versions can be used, for example, for simulations with the predictive MRP functionality. However, this is not covered in this video. To create the PIR, click the Create and Edit button. The system will guide you directly to the edit screen, where you can enter your forecast and save it. Afterwards, a new line will appear for the version you have created. The app integrates seamlessly with SAP Integrated Business Planning, IBP. This allows PIRs to be imported directly from IBP, enabling more accurate and collaborative planning across departments. You want to know how well your forecasts perform? Use the built-in analytics to measure Accuracy – How close PIRs are to actual demand. Reach – How far into the future your planning extends. These insights help improve forecast quality and reduce planning risks. Use these Analytical fields to identify materials with low accuracy or limited reach. Now, let's take a look at the app's mass maintenance functionalities. You can copy the forecast from one material to multiple others, or update periods by applying a specific value. Select the materials you want to update and click the Edit button. When using the mass maintenance functionality, a pop-up window appears. Select the periods you want to update and define the value to be applied. In this example, I enter a value manually. As you can see, all selected materials are updated accordingly. The second option for updating PIRs is via file upload. To retrieve the correct file format, first download the existing forecast. Select the lines you want to export and click Edit. Then, use the Download to Spreadsheet button. The system generates a comma -separated file, which you can import into Excel to update or extend as needed. Afterwards, start the upload process from the initial screen by clicking the Upload and Edit button. Select your file and continue. The system will display the edit screen with the data from your file. Click Save to finalize the process. Now you know what PIRs are, why they matter, and how they support material requirements planning. You've explored the Maintain PIRs app and discovered how to use its mass maintenance features effectively. Use this knowledge to streamline your planning processes, and keep exploring to unlock even more potential.
