Managing S-user ID in SAP for Me

Welcome to SAP. We're delighted to have you join us as a valued customer. Today, we're excited to introduce you Manage Users and Authorizations, a key feature of SAP for me. It is a part of the Users and Contacts dashboard. It allows Super Administrator and Cloud Super Administrator to manage users in the company. It includes create new S-User ID, assign authorizations, and delete S-User IDs. Before diving into the Manage Users and Authorizations, it's important to first understand the basics of user IDs, authorizations, and the various administrator roles. This foundational knowledge is key to effectively managing access and permissions within the platform. S-User ID You will need S -User ID to access company data or support applications on the SAP for me portal. It's important to note that an S-User ID is linked to a single customer number and cannot be reassigned to another number. Important note, never share your S-User ID and password with others, not even colleagues in your team or company. Authorizations concept. Authorization management deals with permissions that are required to fulfill certain tasks using the applications that are offered in SAP for me. For instance, create cases and check contracts. Most authorizations contain not only the user's right to perform a specific task, but also the level at which the user can exercise this right. For example, a user might have the authorization to create cases for one specific SAP product licensed by your company, referred to as an installation, but not have the same authorization for other products. Administrator Concept Administrators are S-Users who are authorized to manage other users. They can request multiple S-User IDs and manage their authorizations. For new customers, SAP creates an initial S -User ID with the highest level of authorization, designating this user as either a super administrator or, for SAP Cloud customers, a cloud administrator. Please note that administrators can only assign authorizations that they themselves possess. Super Administrator This user holds the highest level of authorizations across all applications and installations linked to a customer number. Super Administrators can fully manage other S-User IDs, including creating, deleting, and maintaining their authorizations. They have complete access to all available authorizations and can perform tasks such as maintaining system data and creating additional administrators. Typically, the super administrator is the first user set up for a new customer and is responsible for managing access and critical functions within SAP for me. Cloud administrator. This role applies to customers who have licensed an SAP cloud product. Cloud administrators have all authorizations that are required to fulfill all SAP cloud-related tasks at the highest possible level. They have authorizations specific to certain cloud installations. As a result, they can only assign authorizations according to these installations. User Administrator A user administrator is any S-user not listed as super or cloud administrator that has edit authorizations and edit user data authorizations. User administrators can create or delete S-user IDs as well as grant authorizations that they have themselves. SAP recommends that you create at least two additional super and or cloud administrators who can support you or substitute for you if needed. Now that you're familiar with these concepts, let's explore the user management dashboard. In this video, you will learn how to create and delete an S user ID, how to assign S user authorizations, how to create authorization packages. Creating of S-User ID To create an S -User ID, log on to SAP4Me via me.sap.com. Click on the Users and Contacts dashboard and select Manage Users and Authorizations. This will direct you to the User Management tab. Click on the Request User button at the top of the application. Complete the requested user form with the necessary details. If the requested new S-User has an email address that matches an existing S-User ID for a different company number, the first and last name will be used from the existing S-User. The name you enter on the Request User form will not be used. Assign the required authorizations to the new S-User ID, including roles, permissions and system accesses relevant to their duties. Click Submit to generate the new S-User ID. A confirmation email will be sent to the email address provided containing the S-User ID and further instructions. Deleting of S-User ID To delete an S-User ID, click on the Users and Contacts dashboard and select Manage Users and Authorizations. In the User Management application, go to the Users tab. Search through the list or use the filter feature to find the S-User ID you wish to delete. Select the checkbox in front of the users. Then click the Delete button or the Trash Bin icon. Please note that it may take up to 24 hours to process your request for deletion. Deleted User IDs are listed in the Deleted Users tab of the application for 12 months and cannot be reactivated. S-User IDs with important functions or critical roles can only be deleted once those functions have been transferred to another S-User ID within the same company ERP number. To add or edit authorizations, go to SAP for me and go to Users and Contacts dashboard. Click on the Manage Users and Authorizations. Find the user with the user's search option or simply locate the user on the users list. Click the user to open the User Details screen. The checkbox in front of the name does not work when you are modifying a single user. Click the Authorizations tab and click Edit or Pencil icon. There are multiple options for assigning authorizations. You can assign them all at once, assign them individually, or assign them based on specific tasks like case or system data. To grant the S-User ID the necessary authorizations for case creation, select Cases. You will notice that you have other authorizations to choose from which are useful for case management. Report technical problem. Close cases. Send cases to SAP. Display cases. And display all cases. Remember, authorizations are assigned automatically at the highest level, which means they are granted for all customer numbers and installation. If you need to modify the authorization level, simply click on the authorization you want to change. Then, click the plus sign on the right. The Select Installations dialog will open. Use the search bar to find and select the installations you want to restrict the authorization to. Once your selection is complete, click OK. Return to the S-User ID authorization overview with the back button of your browser and save. If the S-User ID needs to report cases for a cloud system, make sure to assign the Display Cloud Data Authorization for the specific installation as well. Keep in mind that administrators may only assign authorizations that are already granted to them. So, to grant an S-User ID the Display Cloud Data Authorization, you must be a cloud administrator for the relevant installation or a user administrator with the Display Cloud Data Authorization set at the installation level. Nearly there, once you have assigned the necessary authorizations, make sure to click Save on the top right of the Authorizations section to save your changes. You can then exit the User Details screen. If you want to leave the authorizations at the default level and are finished, click the Save icon on the top right of the Authorizations section, changing the authorization level. Some authorizations allow you to assign them at a finer, more granular level. For example, you may want to allow a user to only create cases for one particular SAP product that your company has licensed, represented by an installation, but not for others. Remember that software download is granted only at the customer number level and cannot be changed. Creating an Authorization Package Authorization packages allow administrators to define bundles of authorizations that can be quickly assigned to multiple S-User IDs. This is especially useful when several users require the same access. For example, team members working in the same department or handling similar tasks. Let's look at a quick example. Suppose your support team frequently handles case -related activities such as reporting technical problems, sending cases to SAP, and closing cases. You can bundle these permissions into one package called cases. Now, when a new colleague joins, simply apply the case's package to their S-User ID, updating their access with just one click. To create an Authorization Package In User Management, click the Authorization Packages tab. Click Create. On the Create Authorization Package screen, enter a name for the package. The Super Administrator can enable write protection to prevent others from modifying the package. Next, select the authorizations to include in the package. You can assign these at different levels, for example, by customer or installation. Authorizations are grouped by task areas such as cases, system data, and more. You can. Click Alt to select every authorization. Select a full group, like Cases, by checking its main box or choose individual authorizations manually. When finished, click Save in the bottom right corner. Your new authorization package is now available. You can use it like any other authorization, applying it to one or more users in a single step. Any future changes you make to a package, such as adding or removing authorizations, will automatically apply to all users currently assigned to it. Assigning Authorization Packages to S User IDs. There are two ways to assign authorization packages. Option 1 from the Authorization Packages tab. In User Management, click the Authorization Packages tab. Select the box next to the package or packages you want to assign. Click Assign Users. Select the User ID or IDs to assign the package to. Click OK. And then OK again to approve. Option 2, from the Users tab. In User Management, click the Users tab. Select the user or users you want to assign packages to. On the top right, click Assign Authorization Packages. Choose the package or packages to a sign. Click Assign, then OK to confirm. If you encounter any issues on these topics, you may submit a case for ComponentXX-SER- for me.
