Monitoring Payees in SAP Concur

Monitoring Payees  Report payees can be either employees or company card issuers. Cash advance payees can only be employees. The Reimbursement Manager uses the Reports Payees and the Cash Advance Payees lists to investigate the payment status of a specific expense report or report payee. In the following examples, you will see how to monitor a payee, assign the payee to an open batch, batch, remove a payee from a payment demand, and maintain employee reimbursement accounts. To begin, from the SAP Concur home screen, select the Home menu, and then under Administration, select Tools. On the Tools menu, in the Payment Manager section, select Monitor Payees. The Reimbursement Manager can assign the payee to an open batch. Note: The payee must be in an Aborted or an On Hold status to be assigned to an open batch. To create a payment demand and assign the payee to an open batch, select Create. In the Create Payment Demand window, enter information in the fields to search for the employee, and then select Search. To create a payment demand, select Create next to the Report Name or Employee, and then select Done. The default displays any Unassigned reports. Use the search options to find the newly-created batch. To continue, select the Status drop down menu. From the Status drop-down menu, you have a number of options to refine your search. Note that no payment demand is associated with the report payee that is On Hold. Reports with this status can be assigned to the next batch or marked as Client Pay. Let's review the Status types and how they apply to a payment demand. Client Pay: The client arranges to generate a payment to the payee through their financial system instead of through Expense Pay. Paid: The payment demand is in a batch sent to the payer's bank for payment. If the expense payment engine  (EPE) indicates that the payee's bank accepted the payment demand, then the payment should occur within a few banking days. Note: The payee's bank might subsequently reject the payment demand. If this occurs, then the EPE will change the status to Aborted. Pending Confirmation: The report payee has a bank account with the status of unconfirmed. Failed Account: The employee's bank account associated with this means the employee's bank account associated with this report payee has a status of Failed. The payment demand will remain in the status until the employee updates their bank account information. Payment Funded: Funding has been initiated and the funding dates for the payment demand have been set. Sent/Completed: The payment demand is in a batch sent for processing. Not Sent/Not Completed: Includes all payment demands with the Status of Aborted, Assigned, On Hold, or Pending Confirmation. Accepted: The payment demand has been accepted by the payment engine but was in a batch that failed to send. Assigned: The payment demand is assigned to an open or closed batch that has not yet been sent for processing. Reports with the status of Assigned can be assigned to the next batch, placed On Hold, or marked as Client Pay. Unassigned: Includes all payment demands with a status of On Hold, Aborted, and Client Pay. For this example, select Any, and then select Search. You can view the Report Summary, Audit Trail, and Payment Batch details using the report links. Select a report line item to view available actions. You can Change Catch, Client Pay, or place On Hold for the selected report. Select the Change Batch dropdown menu. From the Change Batch menu, select Assign to Next Batch. Use the Client Pay and Place on Hold buttons to assign the appropriate status option. Next, select the Cash Advance Payees tab. From the Cash Advance Payees tab, you can investigate the payment status of a specific expense report or report payee and Place on Hold, Assign to a New batch, manually Create a payment demand, designate Client Pay, or move a payee to an open batch. To continue, select the Employee Banking tab. Employee Banking allows the administrator to view employee bank account information, including historical information, and reconfirm Failed accounts. Before a user can receive reimbursement for expenses through Expense Pay, the user must have valid bank account information in their profile. This can be imported as part of an employee import. If it is not imported, the user must provide banking information in their profile. The user can view their bank account status and history on the Bank Information page. Select the Status drop-down menu. To search for all employee reimbursement accounts, select All, and then select Search. The employee reimbursement accounts are listed, and you can Reconfirm, View History, and Inactivate the accounts as needed.
