Navigating User Administration Tools within SAP Ariba Strategic Sourcing

This video will help customer administrators and customer user admin users within SAP Ariba Strategic Sourcing navigate the various user administration tools. We will review the user manager administration tools and see how to search for users, reset passwords, edit, create, lock, and act as users. From the home dashboard, we will choose manage, core administration, and find the user manager section. We need to go through the core administration path to see users within a suite integrated realm that includes procurement and sourcing such as the realm in our demonstration from the users link we are taken to a user page with a search at the top and various administrative tools below in the search results table let's start with the search the search filters can be used to narrow your results and the link at the top right allows you to choose which filters are displayed for use choosing search will execute the search across active users in the system, or selecting the list all button will return all active users. The results table can show or hide columns by selecting the table options icon and checking your displayed columns. If the table includes results from the search, a checkbox will appear to the left of each row to select it and an actions button to the right. If an administrator chooses the box next to a user or multiple users and selects generate passwords, an email is issued to their email address to begin the password reset process. There is a display temporary passwords checkbox if you want to see the temporary password, which can be sent to the user as a one-time login. The user can then change their password directly from their user preferences menu. Once OK is selected, the email is sent to the user automatically. Keep in mind that the password resets will not work if single sign-on is used with corporate authentication. The actions menu that displays for each menu allows customer user admin group members to edit, lock, deactivate, or reset dashboard. A customer administrator will see an extra option in this menu to act as. Choosing edit will allow the administrator to update a user's information and group assignments. The general tab lets me edit the user data except for the user ID, which cannot be changed once a user is created. The groups tab is where the The Add Remove button allows you to search for which system groups should be assigned to the selected user. Selecting Save will instantly update the user in the system. If you wish to see a user's information, you do not need to edit them. Instead, you can choose the link in their user ID or email. The Create User option is visible to create users through the interface instead of by import. The required user data fields are indicated by a red asterisk and groups are assigned in the Groups tab. Back in the Actions menu, the Lock and Deactivate options grant or deny a user access. When you deactivate a user, the user is no longer active or visible in the SAP Ariba solution. Locking and Unlocking will be indicated by a padlock icon next to the user, and they will not be able to log in when locked. If a user incorrectly enters their password too many times, they may need help by unlocking them here. When a user has permanently left your company, you can terminate the user in the system by locking the user out of the system, delegating the user's authority to another user to complete any outstanding approvable tasks, and then deactivating the user. They act as functionality is a great tool for customer administrators. It allows them to assume a user's identity and group assignments. Certain actions are not available, such as creating a project or document, but administrators can approve requests and perform other actions with the user's permission set and specific assignments. Acting as another user can help keep documents flowing when the user is directly unavailable and recreating steps during troubleshooting. A message on the masthead lets you know you're acting as the other user. To stop acting as the other user, select Stop.
