Refining Business Roles with SAP Fiori Launchpad Content Manager

Hello and welcome to this learning about refining business roles with SAP Fiori Launchpad Content Manager. This is relevant for customers using SAP S/4HANA Cloud Private Edition and on-premise systems. In this learning, we are going to explain the SAP Fiori Launchpad content, layout entities, and the different tools to adapt this kind of content. We will demo three scenarios, the first will copy a SAP business role to create your own custom business role. In a second demo we'll adjust the business role and third demo will show how to adjust business catalogs by removing and adding launchpad content. At the end of this session we will also go over the key learnings. In a typical Fiori project, you create and adapt content based on the standard Fiori content included with the  SAP S/4HANA solution you are planning to use. To try out the apps in a sandbox or development environment you can use the standard provided roles. After that, you can adapt the standard provided content, with the tools shown on this slide. When you design your processes using Fiori apps and features, you decide where you want to refine the content and navigation for your use cases. You may also decide to adjust app configuration or make extensions to apps. Let's explain first how user are linked to the apps they have access to and can start. Users are provided access to the Fiori launchpad apps and features through business roles. Each role includes one or more business catalogs that grant users access to Fiori apps and features. A role also includes layouts, also known as spaces and pages that guide the user on which apps to use for their tasks. You maintain these Launchpad content objects using the provided tools. For maintaining roles and catalogs you can use the Launchpad Content Manager tool. You can maintain technical catalogs in the Launchpad App Manager tool. You maintain layouts using Manage Launchpad Spaces and Manage Launchpad Pages apps. This learning video will focus on viewing the content of standard business catalogs and maintaining custom business catalogs using the Launchpad Content Manager tool. To use the Launchpad Content Manager tool, you need authorization to access this SAP GUI-based application. You start the Launchpad Content Manager using the transaction /UI2/FLPCM_CUST or through the SAP Fiori Launchpad which will be used in our demo this opens the launchpad content manager you'll need a transport request because these changes are typically made in your development environment and then transported to your production environment let's explore this through a demo in the first part we demonstrate the standard role and apps in this example a user is logged in with the standard accounts receivable accountant role This role is a standard business role delivered by SAP. In the latest release of  SAP S/4HANA 2025, it includes more than 34 Fiori catalogs and around 115 apps that can be accessed from the Fiori launchpad. Using the App Finder, you view the Fiori catalogs associated with this role. Access it through the User Actions menu. The App Finder is useful because it displays all the content assigned to this business role without needing to organize the Fiori launchpad using spaces and pages. Here, you see many of the assigned apps. On the left-hand side, these apps are grouped into various business catalogs. Each catalog describes its contents and includes various apps and UIs. In the second part of the demo, I create a copy of the standard role and customize it. I switch and log in with the user who has the Fiori admin role to copy and customize the role. I aim to create a new custom role with less content. To do this, I go to the Launchpad Content Manager. There are two ways to access the Fiori Launchpad Content Manager. If you have the Fiori Administrator role, you start this app from the Launchpad by clicking on the respective tile on the Fiori Launchpad page. Alternatively, you start in the classic way in SAP GUI using the transaction /UI2/FLPCM_CUST. When opening the app, you see three tabs, catalogs, tiles / target mappings, and roles. To copy a role, I navigate to the roles tab. I look up the standard role by searching for the technical name of the account's receivable role I want to copy. I notice there are many standard catalogs, along with some spaces and pages, all within this role. This is what we call the Fiori content link to the role. After deciding which parts of the standard role should be kept and available on the end user's launchpad, we proceed with the actual configuration. I copy this role and create a custom accounts receivable assistant role. Using this admin tool is low effort and can be done quickly. Usually, most work involves discussing and deciding which apps to include in the custom role. We have all the same catalogs assigned as the original role, along with the spaces and pages used for visualizing the apps on the user's launchpad. In this demo I will be changing this role significantly and create an own space later. However, this will be shown in another learning video. Imagine the project discussed and decided that users with this role only need the apps from the document processing, payment advices, and incoming payments catalogs. Remove unnecessary catalogs for now. They aren't needed to access the content required for end users assigned to this role. I've narrowed it down to the three catalogs I'm interested in. Now, I'd like to explore what's in each catalog to determine if further adjustments are necessary. I'll start by selecting a catalog and navigating to the catalog view. This action takes me from the roles tab to the Catalogs tab. I'll focus on the Payment Advice Catalog to review its contents. It contains several Fiori apps, which seem suitable, so I'll use them as they are. Next, I'll return to the role and examine the second catalog, Incoming Payments. I'll display the catalog details. I want to reuse most of the content, but I don't need the payment card data since we don't use payment cards here. Users with this role will work as assistants, so they shouldn't have access to the app for scheduling mass reverse jobs. To modify this catalog while retaining most of the information, I'll copy the entire catalog and create a custom business catalog. I'll name it Incoming Payments Lite for clarity. Copying a catalog transfers all the content from the original to the custom one. I see the same list of seven apps. To remove unwanted apps, I'll select the line and remove tiles and target mappings. I'll do this for apps like payment card data and the schedule of mass reverse jobs. The tile appears on the homepage, and the target mapping launches the app with necessary parameters and details. As you can see from the actions we are making here, whenever you need to adjust tile and target mapping details, you use this tool Launchpad Content Manager. Decided to use them as is for now. Continue with some editing of the removing and adding catalogs, and also tiles and references. We continue editing the catalog. You can see how we can use the tool to see details of roles, catalog and apps assigned and how we can make use of the tool to make changes. The custom lite catalog to my accounts receivable assistant role and replace the original as we continue editing the catalog. Now, I'll look at the last catalog, document processing. I'll follow the same process, select it and go to the catalog view. I only need four apps for the custom lite role so i'll create an empty catalog instead of copying the entire one name I'll name it accounts receivable document processing lite for easy identification in the app finder the empty catalog ready i'll return to the original SAP catalog select the apps i want and add tiles and target mappings to the new catalog this action copies the references to my empty catalog which now contains only the four apps i need I’ll replace the original SAP catalog with my custom one. Using custom business catalogs gives you more control over the content in your role. I'll select my new catalog and remove the original SAP catalog. I've completed the necessary steps to grant the account's receivable assistant role access to these apps. It's always worthwhile to ensure all apps in this role are active. To do this, I'll check services to confirm that all Fiori apps in the role are active, with the OData service and ICF node functioning. I'm looking for green lights. Finally, in the Launchpad Content Manager, I'll open the role in PFCG, complete the data authorizations generated from the selected apps in the catalog, and assign it to a user. I'll handle this offline and show you the result. Now that you have your account's Receivable Assistant role, you're in the App Finder. You can see all the apps assigned to you and your different catalogs. everything is there and working well the key takeaways of this learning video are about the Fiori Launchpad content layout entities and tools that are available to adapt these we have introduced the launchpad content manager tool and in a demo shown different ways to adapt a business role and its related catalogs in order to adapt the Fiori apps available to your end users if you enjoyed this content you might also like some of our other learning videos or blogs published around this subject. Thank you for listening and all the best.
