Requesting Approval Prior to Booking a Trip  Using Concur Request you can submit an authorization request with your expected trip expenses prior to booking a trip in ConcurTravel. In the following example, you will see how to submit a travel request for your airfare, hotel, and car rental before booking an upcoming trip to Seattle, Washington for client training. To begin, from the SAP Concur home page, on the Quick Task bar, select New... and then select Start a Request. On the Create New Request screen, complete the required fields (indicated with an asterisk), and any additional fields as directed by your company. When you have completed all the necessary fields, select Create Request. Your request is created. In the Expected Expenses section, you will enter your trip details and estimated amounts for each expense. Select Add. In the Add Expected Expense window, select the Hotel expense type. On the New Expense screen, complete the appropriate fields... and then select Save. Continue adding your expected expenses, such as your airfare and car rental. Once you have completed your expected expenses, you can attach documents for your approver's review. Select the Attachments drop-down menu... and then select Attach Documents. In the Document Upload and Attach window, select Upload and Attach. Navigate to the appropriate folder, select the document that you want to upload, and then select Open. After you have completed your expected expenses, select Submit Request... and then select Accept and Continue. The request is submitted in pending your manager's approval. Once the request is approved, your request will change from a Submitted status to Ready to Book. To continue the booking process, select the request from the Request Library. Select Book Travel. After the approval, you will continue the trip reservations and complete any required fields. Any additional travel request expenses for this trip will have to go through a separate request approval process before integrating to Travel booking. Scroll down to continue... and then select Proceed to booking. On the Shop by Fares tab You can view a list of available flights and fares You can see additional flight options and details by selecting Show all details. For this example Select View Fares to select your flight. Review your flight details and then scroll down to continue with the reservation process Select Reserve Flight and Continue. Next, you will confirm your rental car reservation. Select the price next to the rental car you want to reserve. Review your rental car reservation details, and then scroll down to continue. Select Reserve Car and Continue. Next you will book a hotel room. Scroll down to view a list of hotel rooms. You can view the Hotel details and select your room. For this example, select View Rooms next to the hotel you want to book. Review your hotel room reservation details and then scroll down. Select Reserve and Continue. Review your Travel Details and then scroll down to continue. Confirm your travel details, and then select Next. On the Trip Confirmation page, review the trip information and then scroll down to confirm your booking. Select Confirm Booking. You have the option to pre-populate transportation expenses on your expense report such as parking and taxi expenses. For this example, select Finish. Your trip is now booked from an approved request. You can view or cancel your trip from Concur Travel in the Upcoming Trips tab.
