Resending Supplier Invitations in Guided Sourcing Events in SAP Ariba

This video will demonstrate the procedure for resending supplier invitations to guided sourcing events. A supplier invitation to a guided sourcing event is sent to through e-mail with a link to access the event. Guided sourcing suppliers have contacts who are selected as participants to respond to event questions and provide quotes. The invited contacts will receive system-generated emails advising they have been invited to an event by your company containing timing information and a link to access the event content. The automatic invitation emails are sent once the project owner publishes the event. Situations occur where a project owner may need to resend the email to participants, such as the supplier not receiving it or can't locate the original email, they thought it was spam, it went to their junk folder, or they didn't respond. The project owner can help their participants simply by resending the invitation email to the invitees in need. You must be a project owner and a member of the category buyer group to perform this activity in a system. Choose the more icon next to the participant's name in the items that need quotes panel on the monitor event page. The resend invitation email option can be selected to resend the invitation. There is a pop-up confirmation request asking if this was intentional. By choosing Send, the system will automatically email the participant, and you will see a confirmation message at the top stating the email was successfully resent. There is a Messages panel when monitoring events that will capture email communications throughout the event and here the project owner can find the email invitation details and the recipients. Project owners will want to ensure they do not see any Undeliverable Email Notifications, which could indicate that one of the participants has an incorrect supplier email address. If this happens, the system will include which recipient does not have a valid email address and a bounced message will appear in the undeliverable email preview. In cases like these, project owners can select the supplier names under the Items that Need Quotes panel, which are links to preview their supplier profile to check the contact information. You may not be able to edit all supplier data fields as they are system group dependent, So you may need to work with supplier administrators if additional help is necessary.
