Resolving Missing Business Roles for Joule in SAP S/4HANA Cloud Private Edition

Welcome to this learning video on troubleshooting Joule features.  In this session, we'll focus on recognizing signs of missing business roles and walk through the tools and steps to determine whether they're the root cause of the issue. In this video, we will cover how to recognize indicators of missing business roles in Joule and what the expected behavior should be for each interaction. Next, we'll walk through a series of resources and tools to show you how this identification can be done. Then, a demonstration of a real-world case, followed by key takeaways and resources for working with Joule in SAP S/4HANA Cloud Private Edition. Let's begin by identifying some common symptoms of missing business roles. Consider an internal sales representative interacting with Joule in SAP S/4HANA Cloud Private Edition. If, when the user starts a chat with Joule, no quick actions appear on the home screen, or if, when they request a known capability such as show me a sales order, or create a sales order, they receive responses like, I couldn't find any apps for a semantic action, or generic guidance on how to perform the scenario, often labeled "Created by AI based on user input" in the Response Insights. Then the user may be experiencing a scenario involving missing business roles. If the expected result isn't returned and one or more of the symptoms we described appear, we should proceed with an analysis to determine which business roles the user should have and whether any are missing. Before we get to the tools, let's briefly review how identities and business roles are propagated and assigned across the SAP landscape for Joule. SAP Joule leverages SAP Cloud Identity Services for identity and access management, SAP Build Work Zone for navigation, and SAP BTP Connectivity to reach the SAP S/4HANA system. So, there are three main systems and services to consider. SAP S/4HANA Cloud Private Edition, SAP Build Work Zone, Standard Edition, in our example, and SAP Cloud Identity Services. As mentioned, Joule uses SAP Build Work Zone for navigation. The first step is to ensure that business role definitions, applications, and Joule functions from SAP S/4HANA are properly exposed to the navigation service via the common data model and then imported by SAP Build Work Zone into a content channel. This process is called content federation. Next, a replication job in SAP Cloud Identity Services extracts business roles and user assignments from SAP S/4HANA and replicates them to the Identity Directory's central user store. Finally, the user's identity and assigned business roles are propagated to the role mapping service in SAP Build Work Zone, which creates identity and group replicas. When the user accesses SAP Build Work Zone, Joule can consume both the replicated content from the Navigation Service and the identity and group replicas provided by the Role Mapping Service. Understanding the business role assignment process gives us three key checkpoints. In SAP S/4HANA, verify that business roles are correctly exposed for federation. In SAP Cloud Identity Services, confirm that identity synchronization is running successfully. In SAP Build Work Zone, ensure that federated content has been imported correctly and that identity and group replicas are present. Before the demo, let's review the key tools and resources you'll use in troubleshooting. We'll start by verifying Joule business role capabilities in SAP S/4HANA Cloud Private Edition. There are two primary resources for these checks. Use the user guide in SAP Help Portal to explore capabilities by business role and release. It includes detailed use cases organized by line of business, the required business roles for each use case, example prompts to run the scenario, and information on the underlying SAP Fiori apps used to complete the scenario. SAP Note 3523238 lists Joule navigational and transactional capabilities for SAP S/4HANA Cloud Private Edition. It provides activation instructions, and the attachments include documents that detail the specific business roles and APIs required for each capability. When it comes to business role assignments and content exposure in SAP S/4HANA, there are two key tools to keep in mind. First, transaction SUIM. Use this to check business role assignments with advanced selection criteria. If a user is experiencing issues, SUIM helps verify that the required business roles are correctly assigned. Alternatively, you can use transaction SU01 - User Maintenance, and review the Roles tab directly. Second, transaction /UI2/CDM3_EXP_SCOPE. This central transaction verifies that your content is correctly federated and ready for SAP Build Work Zone. It allows you to adjust exposure variants, view the content exposed to SAP Business Technology Platform, and review execution logs. Next, let's move to SAP Cloud Identity Services. In the Administration Console, verify that content is correctly replicated by the Identity Provisioning Service and propagated to SAP Build Work Zone, which in turn feeds the Role Mapping Service. In the Source Systems section, ensure the extraction job from the SAP S/4HANA system is enabled and properly scheduled. It's also good practice to review logs for the most recent runs to identify any inconsistencies either during extraction from the SAP S/4HANA source or when writing to the SAP Build Work Zone target. Finally, let's look at SAP Build Work Zone, Standard Edition and Content Federation. As an administrator, there are three key tools to support troubleshooting. First, the Identity Provisioning check in the Settings area. This is where users and groups are replicated. Review whether the extraction job from SAP S/4HANA, triggered by SAP Cloud Identity Services, is correctly bringing in user identities and their business role assignments. Second, the channel manager. Use this to confirm that content exposed by SAP S/4HANA Cloud Private Edition in common data model format has been correctly imported through a content channel. Third, the Navigation API. Run it for a user who is experiencing issues to verify that the service recognizes their identity, resolves their business role assignments, and returns the semantic actions needed to execute Joule scenarios. Note that this API requires the specific subdomain and region of your SAP Build Work Zone, Standard Edition instance. In the upcoming demonstration, we'll show how to construct the API call and what the expected result looks like. Now, let's move on to the demonstration of troubleshooting missing business roles in Joule. This demonstration will be conducted on an SAP S/4HANA 2025 Feature Pack Stack 01 system. We'll follow a scenario in which our dialog user, Jenny Joule, uses the tools and resources we've covered to identify and resolve a business role assignment issue. Jenny wants to test the transactional capabilities for an internal sales representative. From her SAP Fiori Launchpad, Jenny clicks the Joule button. Initially, she notices that there are no quick actions displayed for the sales area. So, she enters the prompt:  "Create a sales order of type OR, with reference document number 146." In response, Joule returns a generic instruction, not the expected transactional capability. Jenny reviews the message and realizes that this is an informational capability, based on the sources provided. She tries another prompt, this time to view when sales order 146 was created. Again, Joule returns a generic guide with manual steps. Checking the Response Insights, she can see that the message was "Created by AI based on user input." Jenny starts her analysis by checking the SAP Help documentation for the capability. In the Joule in SAP S/4HANA Cloud Private Edition section, she navigates to transactional capabilities, then Sales, and finally Create Sales Document with Reference. Here, she reviews the required applications for navigation, the prerequisite business roles, and examples of how to use the capability. She notices that she used the correct format shown in the sample request, so she rules out an incorrect prompt. Jenny now visits the SAP Note for navigational and transactional capabilities with Joule in SAP S/4HANA Cloud Private Edition. She reviews the details of the SAP Note and searches within the Attachments section for the list of transactional capabilities. Upon opening the file, she looks for the desired capability for creating sales orders. She checks the API used, the required semantic objects and actions, the business roles that can execute this function, and the minimum SAP S/4HANA version for execution. She finds the internal sales representative business role and now needs to ensure that it is enabled. Now, Jenny will investigate if the user has the required business role. In the SUIM transaction, she expands the User structure, then Users by Complex Selection Criteria, and then selects Users by Complex Selection Data. In the selection screen, she enters the user who is having the issue and, on the Roles/Profiles tab, she enters the business role found in the reference. Upon execution, she sees that no results were found, indicating that the user does not have the business role. Now, in the User Maintenance transaction, she enters the user ID again, and makes a change. On the Roles tab, she adds the business role for the internal sales representative. Then, she saves the authorization changes. Jenny has to ensure the business role is exposed to be imported by SAP Build Work Zone. In the transaction for Launchpad Content Exposure, she checks the list of business roles. She goes through each of the exposed business roles and, once again, does not find the business role for the internal sales representative. She adds the entry to the end of the list. Then, she saves this configuration and manually starts the content exposure to update the common data model. Jenny has completed her checks in SAP S/4HANA Cloud Private Edition. now she will check the Identity Provisioning in SAP Cloud Identity Services. In the Source Systems section, she identifies the system responsible for extracting data from SAP S/4HANA  Cloud Private Edition. In the Jobs section, for the Read Job, she checks if it is correctly scheduled. She confirms that the job is scheduled to run, ensuring that the data extraction and subsequent writing to SAP Build Work Zone will occur. Still in Identity Provisioning, she checks the Provisioning Logs. She notices that the execution is running at that moment. Here, she sees that, in the WRITE action, a user and a group were correctly written to SAP Build Work Zone, which is a good sign. After the full execution is complete, she will be able to evaluate the details of any errors that occurred and check if they are related to the case she is investigating. Jenny now validates the configuration in SAP Build Work Zone, Standard Edition. By navigating to Settings, Identity Provisioning, she locates the user who was experiencing inconsistencies. She then confirms that the internal sales representative business role has been correctly provisioned, which indicates that the replication job successfully extracted the data from SAP S/4HANA Cloud Private Edition and created the corresponding group replica. For her second check, Jenny examines the content exposed through the Content Manager. She confirms that the internal sales representative business role was correctly imported from the content channel and is available for use in SAP Build Work Zone, Standard Edition. Jenny's final verification step involves using the Navigation API. To construct the API's URL, she first gathers components from the SAP Build Work Zone, Standard Edition URL. She begins by copying the subdomain, which is the part located before "dt". Next, she identifies the service region, located before "hana.ondemand.com",  in this case, "us10". With these two pieces, the URL is now completely formed. In a new browser tab, she pastes the assembled URL. Once the resulting JSON file has loaded, she searches for the semantic action "manageSalesOrderV2" from the first steps, as found in the reference Excel file. Finding this result confirms that the user is enabled for navigation and can make related transactional calls. With all verification steps concluded, Jenny is now ready to perform a new round of testing. Back on the SAP Fiori Launchpad, Jenny starts a conversation with Joule. This time, she sees sample prompts for sales orders and also quick actions related to the capability she was looking for. She again uses the prompt, "Create a sales order of type OR with reference to document number 146." This time, Joule returns an item for confirmation. Checking the Response Insights, Jenny sees that this is the result of the use case. She then confirms the creation, and sales order 187 is created. She then views the sales order and successfully completes her test. Let's summarize the key takeaways. In this video, you learned how to recognize signs of missing business roles. If Joule returns an informational response when a navigational or transactional action is expected, this is a common indicator of a business role configuration issue. To confirm the root cause, review the three systems and services involved. First, in SAP S/4HANA Cloud Private Edition, verify that the business roles required to enable Joule capabilities are correctly exposed and that the affected user is assigned the necessary business roles. Next, in SAP Cloud Identity Services, confirm that the Identity Provisioning Service is successfully replicating data from the SAP S/4HANA source system and writing user identities and groups to SAP Build Work Zone, Standard Edition. Finally, in SAP Build Work Zone, Standard Edition, verify that identity and group replicas are present and that all content federated from SAP S/4HANA is available in a content channel. Before we wrap up, here are a few key resources to consult. We recommend reviewing the reference architecture for Identity and Access Management for Joule.
